It lets department managers view and manage their budgets, forecasts, and actual revenue and expenses, while still limiting access so they only see the data they need. What I like best about Budgyt is the platform's flexibility and accessibility. As Controller, I rely heavily on the Budget vs. Actual, Prior Year, By Plant, and By Year/Period reports to analyze financial performance and explain variances. The ability to view results at a high level or drill down into detailed account categories and individual GL accounts makes it valuable to both executive management and the finance team. The cloud-based platform lets our President and other executives access current financial information from anywhere without a VPN or being in the office, which is especially helpful during month-end close. I also appreciate how easy it is to update data by uploading a trial balance or ledger detail file so current information is available quickly. The ability to filter reports by specific plants and periods and to export results to Excel for further analysis adds even more flexibility to the reporting process. While the existing reporting capabilities are already strong, adding this metric would provide valuable extra insight into operational profitability and allow for more nuanced performance analysis. The problems we had before Budgyt: 1. Multiple versions of budget drafts - Budgyt provides a stable, centralized cloud location where the most updated version and even multiple scenarios can be curated clearly. 2. Tracking multiple contributor changes - Budgyt provides audit trails for seeing who changed what when, and optional approval settings for oversight as needed. 3. Coming from a more difficult, overly complicated budgeting platform - Budgyt is easy to use and has great training videos. This makes our company more scalable! 4. In response to the various chart of accounts issue. If a Category is to live in a different Group depending on Department then while doing the setup, the complexity of tracking user permissions, hierarchy roll up and many other things become very, very difficult to understand and maintain. We have found after onboarding over 1,000 companies it is better to have a universalized COA if you want to consolidate your finanicals across multiple different businesses. For instance, if Rent Expense is in COGS in one business but in Opex in another then all readers of the financials will be confused about rent in a consolidated roll up. I would like to be able to view data sheets from two different scenarios at the same time (on 2 different monitors) However as soon as you go to one, it wants to refresh to the other scenario. It's pretty easy to sync data from QuickBooks or other accounting software into Budgyt after expenses are in. I also like the ability to duplicate budgets that have been set. Since there's a lot of work that goes into setting budgets, being able to duplicate them and make some changes is useful. Data syncing is really important, and it's been helpful for program directors who may not be comfortable with QuickBooks. Budgyt provides a rolled-up view of how program income and expenses look like for the month, the year, and historically. There are a lot of single transactions, like food costs or program contractor costs, and our program directors have a hard time rolling that up into the types of different expenses that fall under each category. We do have the ability for you to control the detail level of data imported from Qbo. Under manage category you can set each category to import memo, vendor/customer/location (dimension) or none or both. You’ll see that drop down choice when editing the category. If you set that then you import the detail level you want instead of every category set for full details. It has made budgeting and forecasting much simpler for our small nonprofit organization. The platform is incredibly user-friendly, not only for me but also for others in my team, as it is quite easy to teach them how to use it. This intuitive interface has greatly streamlined what used to be a complex and cumbersome process in Excel, significantly enhancing our productivity. Furthermore, the initial setup was pretty straightforward, thanks to the supportive team at Budgyt. They took the time to understand our organization's needs and mapped everything out for us, which made the transition seamless. I find that Budgyt has limitations with its integration capabilities. Although there have been significant updates to allow for automatic downloads directly from QuickBooks into Budgyt, it currently only supports automation with one company at a time. This limitation is inconvenient, especially when managing multiple entities, and it would be beneficial if the automation could be expanded to accommodate multiple companies simultaneously. We are aiming to examine that in Q1 2026 as we now have a plan to address the multiple COA between entities and how to consolidate those using the QBO identity codes. See if you have three entities and they all have rent and they have the same COA code but QBO behind the scenes makes each of those Rent Categories a unique code and the challenge has been to know how to relate those to the one universal rent or in some cases that rent needs to be in a different roll up group. So coding for all the variations has been a challenge.
