We did a thorough evaluation of all the PSA applications available at the time and selected Projector as the hands down winner of our evaluation. Since that time we have been amazed at the ease of use and the seemingly endless list of features that can be utilized. Our installation is relatively straightforward and we did not want to be burdened by a lot of unneeded features or overhead that we could not turn off. Projector enables you to use just what you need and is feature rich enough to add more as you want them. From Time Reporting to Project Tracking to Revenue Reporting, Projector does it all. Our employees are able to enter time through the web and I am able to do all of my management reporting from the management portal. Report writing is simple and straight forward. Our reporting has never been so up to date and reliable. **What do you dislike about BigTime Projector?** I can't think of anything that I really don't like about Projector **Recommendations to others considering BigTime Projector:** Provide a case study of a typical project from contracting to time reporting through final invoicing and ask each company that you are considering to demo their system with your data. It will make it much easier for you to see and understand what they show you and I bet Projector does the best job of that. We are able to track project budgets and related stats for the project and our employees, It also allows us to transfer data quickly between our accounting system and Projector. The report writer is simple to use, and it creates powerful reports that really allow us to dig into the details. **What do you dislike about BigTime Projector?** My biggest dislike is the online help. As much as the support team is great, the online help just isn't clear to me. I have never been able to find an answer to a problem without having to reach out to the team. Lucky for me, they are responsive and always helpful. **What problems is BigTime Projector solving and how is that benefiting you?** Projector has transformed the way we track our project data. We've drastically reduced the number of spreadsheets that we used to use to create and update every month. It's helped us to close our revenue cycle each month much more quickly than before. As we've grown Projector help (sometimes forced) us mature our processes for the better. That said, when needed we've been able to tweak the system to get it to do what we want. **What do you dislike about BigTime Projector?** Functionality is split between a fat client and the web. They are working on transitioning but it's taking a while. I appreciate, however, how transparent they are on this process. On the surface it seems clunky to have two interfaces, but at the end of the day it's not actually a problem. **Recommendations to others considering BigTime Projector:** Projector is a relatively inexpensive PSA compared to Financial Force and MavenLink, but gets the job done really well. They really have thought about 99% of the scenarios you will run into. Over 80% of the company's staff works remotely. Expense reporting can be a daunting task for both staff and the accounting department. Projector is very user. The staff is able to complete this task remotely in a timely and efficient manner. Since receipts are easily attached to the expense report, staff can submit everything on-line, eliminating copying receipts and mailing back everything to our corporate office. The cloning feature for expense reporting, makes it less daunting for our staff, when one trip needs to be split by multiple projects. Our accounting department utilizes many of Projector's reporting to accurately reconcile and quickly process the expense reports. The Project Management system is used extensively for both of our companies. We can easily roll-up all of profitability margins for both companies. In addition to project management, we utilize invoicing and time management. Time management ensures accurate billing for our hourly projects. Fixed fee projects can be monitored to determine resources and profitability. We can easily bill clients for travel and receipts are automatically attached to the invoices. There are numerous features we are constantly becoming aware of as our business needs change. Projector has been very responsive in helping us meet our objectives as these changes arise. **What do you dislike about BigTime Projector?** Our company is looing into streamlining all of our systems to reduce double entry from Projector, CRM and Accounting. It is designed very effectively for use by consulting managers, operations staff and Finance staff. We selected Projector after a thorough review of the leading PSA tools. It is the best PSA tool for a software or services firm that has a portfolio of many small and medium size projects. **What do you dislike about BigTime Projector?** Very little. As with any PSA tool, implementation is largely about change management as you must adopt the application to the organization structure, processes and business rules of your company. With 75 managers to train and mentor this was a significant program but I believe the cost in time and expense was less than any other option considered. **Recommendations to others considering BigTime Projector:** If you consider the implementation, change management and ongoing support cost to maintain project, resource and rates required to produce project plans and organizational revenue/profit forecasts, take a serious look at Projector. As long as the data entered is correct, the tool produces all of the reports you would need. The best part is that the support team responds with detailed direction in a timely manner and are super helpful. **What do you dislike about BigTime Projector?** There were some reports that I wish I could manipulate differently, but that was for a very specific need that I would not really expect the tool to have. I also wish milestone billing would send notifications when milestone dates hit. There could be a function like this , but I did not explore it as I figured out a work around. **What problems is BigTime Projector solving and how is that benefiting you?** As long as you can manage your team to enter their hours and the data you enter is correct, Projector really helps manage revenue recognition and accuracy in billing/reporting. We made the move to ProjectorPSA and within a month we had all our projects in one place with everyone finding it easy to capture expenses and timesheets on time (online). Month-end was completed within 2 days with all Invoices generated and send to customers! Even contractors were impressed with the simplicity of capturing timesheets! We were able to cater for all the different invoicing requirements from our Customers. The visibility it gave management into engagements, projects and resource utilization are some of the important factors for us still using it after 5 years. The customisable reports make it easy to answer any question. We are very satisfied users of ProjectorPSA and highly recommend it to other service related businesses! Customer service is excellent with quick response from knowledgeable experts! Good vision of resource planning and availability reporting. Good skills capture. I especially like the new web dashboard for entry and reporting for easy reporting and then more detailed reports available have saved us lots of time and ability to get to up to date data easily for project tracking and look forward to more of this format. More web dashboards formats would be good to see introduced. Good time sheet and employee personal expenses capture and reporting **What do you dislike about BigTime Projector?** We still can't fully use the Quickbooks link to track all expenses ie materials and purchases as unable to raise purchase orders through Projector. We have fed this back. **Recommendations to others considering BigTime Projector:** It can be personalised to the way you work, do ask the Support team they are brilliant, even now when we have an idea to improve what we are doing we ask them for advice - it saves time and makes you aware of functions you may not have been aware of. Worth training a few Admin experts internally who really understand how to set up and use the system to suit your business as it seems huge to begin with. Needs a redesign. It is more a control panel than an application. The control panel is actually the right tool for the problem. I do somewhat appreciate their mobile access site, however it's significantly overlooked by most because accessing the mobile version for time/expense entry requires that you know the specific mobile URL. **What do you dislike about BigTime Projector?** Most similar PSA software have a mobile application available to simplify time and expense entry on the go without having to crack open a laptop. While ProjectorPSA does have a mobile version of their website, typing in the standard projectorpsa URL and logging in does not re-route you automatically to that mobile website. The complexity it's hidden under layers. The main screens and tabs and windows are not cluttered with hundreds of options - they give you the main and mandatory options. But if you need a bit more from it you can go deeper and you need even more you can go even deeper. The devil is in the details and it's the same here. We have the pro users of the tool (like the staffing manager or finance manager) that will need all the complexity possible, then you have the less advanced user (like the Project managers in need to create task plans, estimate costs at completion of the project, request resources etc) and then you have no-experience-required users like the resources in need to enter time cards - Projector manages to cater and present itself friendly and usable to all types of users. All the tools and options are intuitively and logically positioned and accessible. It is futile to talk about its complexity as I've been digging deeper and deeper into what it can do and 1 year later I have not even scratched the surface. The basic of what a company needs is attainable fairly quickly and quite easy. The rest of it however is meant to improve efficiency, control KPIs, save time with automated reports, automated warnings, automated project plan layout based on templates, etc. - the more you learn to use it the more efficient and profitable your business becomes because you'll set it just right to keep things in check and eliminate manual, repetitive, non-productive work. You let Projector do that for you. **What do you dislike about BigTime Projector?** What I'm not a big fan of is the downloadable part of the software - I would've liked it to be Web Based in order to be able to open multiple tabs and speed up some of the more time consuming tasks. But from what I hear the Web Based version is in the testing phases and will soon replace the downloadable and installable one. Even so, on Windows machines you can open multiple instances of Projector (i've tried it on MacOS and didn't have much success) so you can still go around that. Also the API connectivity I hear will be improved after the web version will be launched which is a part I felt once or twice it could help us more. **Recommendations to others considering BigTime Projector:** Only one recommendation: call the company and ask for an implementation consultant and start asking questions about what the software can and can not do for you. You'll be surprised of 2 things: 1) how few "can not" you'll receive and 2) the quality of support staff training. There have been numerous times when I wanted something weird and thought they'll give me funny looks when asking for those weird things and everytime that happened I actually discovered not only that they had already thought about that but it was done way better than I hoped for and readily available. In 1 year, starting from scratch I only required 3 hours of total training time via video conferencing. When considering such a tool, in my experience, the most important metric should be "how much time you'll waste learning it, how much time you'll waste implementing things that are there yet, how much time you'll be wasting teaching others in the company and answering their never-ending questions. Time is money, especially in a consultancy company. If you have 200 employees and each wastes, let's say, 1 minute per day fiddling with buttons and asking questions, that's 5h per user per year. That's 1000 hours per year. Think of your average rate for your resources and multiply by 1000 and that's how much money you wasted on an app badly designed. Tools of this caliber are more or less complex and will fit your needs. It's about how easy, friendly and time efficient - and Projector is all of those. **What problems is BigTime Projector solving and how is that benefiting you?** We've modeled a lot of processes in Projector: Sales process, resourcing process, time approval, PayRoll, etc. In theory everyone has that but Projector makes you follow those processes. We've set everything up in such a way that you can't skip steps. You have to follow the procedure. We're creating Project Templates with tasks predefined so when a new project is sold and estimated to the client we don't guess or approximate, we have a structure and a template that 1) avoids doing the same work twice and 2) makes sure we go through all our checklist before giving a price and an answer. After a few weeks, you really start to understand the power behind the tool. **Recommendations to others considering BigTime Projector:** Many of the other solutions are 100% web-based forms, which looks sexy and fun but the problem is that none of them allow the flexibility that Projector provides. You can enter data into Projector through many different ways. In maintaining resource allocations, you can, for example, cut and paste in a range of values from a spreadsheet directly into the tool. None of the 100% web-based tools allowed anything like that as they only allowed you to enter one field at a time, which is labor intensive. **What problems is BigTime Projector solving and how is that benefiting you?** Resource scheduling: allows our project managers to balance their needs across our large teams, which are constantly evolving, while keeping utilization high. Revenue Management: allows us to provide both high-level and detailed analysis of revenue projections in a matter of minutes with complete accuracy, where before it would take days of manual effort. ### 50. As an administrator of the firm, it is pretty easy to review and access the information of my employees. **What do you dislike about BigTime Projector?** I would like to have the capability of splitting expenses between two different projects. For instance if we have an individual expense and a portion should go to one client and the remainder to another client or to an internal project number you have to manually input this twice. The other capability that would be nice is the ability to do your time and expenses on your computer when not connected and synch this up later. This would be a real time saver if you could do this on a plane without wifi access. **What problems is BigTime Projector solving and how is that benefiting you?** It allows us to capture both our time and expenses for client matters and internal related efforts accurately and efficiently. It is very flexible in terms of setting up new client project numbers and allows us to be flexible and responsive to our changing needs.
