ZenQMS was founded in 2009 by Life Sciences &amp; quality management veterans with firsthand knowledge of the frustrations and dangers that come with using manual or home-grown systems to manage GxP compliance. **What do you like best about ZenQMS?**

The best part of ZenQMS is how it lets me customize workflows with the right timing and all the necessary details. On top of that, the validation and verification steps they use and then provide are excellent and truly invaluable.

**What do you dislike about ZenQMS?**

Sometimes it’s frustrating having to download a document instead of simply clicking a “print PDF” button. That said, they did implement a new feature that lets you select multiple documents to download at once, which helps. I just wish it worked across multiple searches as well.

**What problems is ZenQMS solving and how is that benefiting you?**

They are always looking to improve and implement new methods and strategies. Having customizable modules is something they are working on now that should benefit everyone. It could create a space for calibrations and timing tasks.

**What do you like best about ZenQMS?**

Flexibility! the workflows that can be easily configurable. The user interface is straightforward, and the customer support is quick to respond. I appreciate how responsive their customer support is, making it easier for us to implement updates or resolve issues swiftly. The price is competative with hardly no performance issues

ZenQMS provides it all, however vendor management module could be improved (UI and tracking completion, workflow)

I use ZenQMS to manage our full QMS, including a high volume of documents and quality system issues. The platform is flexible, and the customer support team is responsive, which helps me adjust workflows as needed and resolve issues efficiently. Overall, it supports our growing organization well.

**What do you like best about ZenQMS?**

We are still satisfied with the service, and the comments in our first review are still relevant.
The system is constantly evolving to improve services and make eQMS more accessible and usable, such as the latest dashboard update, which provides much better visibility of tasks in progress.

**What do you dislike about ZenQMS?**

A module that centralizes information and facilitates maintenance planning and equipment allocation would be a plus.
It is possible to extract Excel or CSV reports, but these are not always easy to use because there is no title or formal framework for what is exported.

**What problems is ZenQMS solving and how is that benefiting you?**

ZenQMS helped to move us from a paper-based QMS management system that was becoming too complicated, to an electronic QMS management system that was easier to manage.

The system is also helping us to increase user autonomy in form completion requests, as well as in the management of training plans.

At present, ZenQMS lacks native integration with external document storage platforms like SharePoint or comparable systems, which would enhance document collaboration and better align with established enterprise infrastructures. Furthermore, the formatting and alignment of text boxes in online forms could be improved when these forms are converted to PDF, resulting in a more polished and professional appearance. Lastly, ZenSign would benefit from being more intuitive by enabling users to easily reuse or auto-populate previously entered email addresses, which would minimize repetitive data entry and make the signature workflow more efficient.

The document module provides an easy and effective way to manage our QMS documentation, as well as the electronic management of subsystems such as Deviations and Change Controls. Over three years of system use, records have consistently been available, with no major disruptions experienced.

**What do you like best about ZenQMS?**

ZenQMS has a very user-friendly interface for my team to use. They never have issues finding a document they are looking for, or keeping current on training requirements. The administrative tools make it easy to configure the system to best suit our needs. The system also allowed us to start small, using only a couple modules at first. We can then add more as our needs grow.

**What do you dislike about ZenQMS?**

The built in doc numbering isn't very intuitive - we used our own via a custom doc field. There also wasn't an easy way to delete a draft document (that was never approved or released).

**What problems is ZenQMS solving and how is that benefiting you?**

Zen really helps us keep track of all our documents - SOPs, manuals, forms, etc.  Its a nice central repository with great configuration control - we even use it for other documents that are outside of our QMS.

**What do you like best about ZenQMS?**

I like that ZenQMS is a reliable, compliance-focused QMS. Having a customer support team that is highly engaged and willing to partner is a real plus. I also found the initial setup to be very easy.

**What do you dislike about ZenQMS?**

For notifications about training, I would prefer to have individual notifications sent to me. Instead these notifications are contained in a daily summary. This is a preference thing though as I have heard that others prefer the daily summary.

I use ZenQMS for document control, training management, and quality event/CAPA management. It provides a validated system that meets current regulatory requirements.

ZenQMS can be configured to do what YOU need it to do.  Workflows can be created that suit your business needs. Customer Support is super helpful and responds quickly.

**What do you dislike about ZenQMS?**

The Audits Module can feel a bit cumbersome to use at first, until you get the hang of it. I’d also love the ability to update incorrect dates entered by users, since right now that requires submitting a support ticket.

Having a single QMS for my multi-site company has been very helpful. Because all sites can see each other’s information, it supports better alignment and harmonization across the organization.

**What do you like best about ZenQMS?**

Stellar customer success team: The customer success team members and Account Managers that our team worked with are sharp, professional, knowledgeable, and helpful. 

Good Value: ZenQMS is a powerful, efficient QMS that has the right number of features without being overly complex. Pricing is extremely competitive and transparent.

Intuitive/ Ease of Use: Because our team is comfortable with sorting and filtering spreadsheets, we had a shorter learning curve in becoming Superusers. Training dashboards with the training status pie chart are streamlined and users can easily stay on top of their training assignments. The interface is efficient and consistent across modules-- from the staged workflows to the filterable, exportable full-table with customizable columns. The chat log for each record is helpful, and I appreciate the ability to link records including records in other modules (i.e. linking a change control record to documents.) 

New Features: The ability to update a document with a minor revision with a separate workflow is a great new feature. Several of our users were very excited about online collaboration feature for collaborating on drafts through Office 365. There are nice touches such as the version history slide-out window which lets me select 2 historical versions of a document and download a comparison of the two versions. A significant UI improvement has been combining the document view with the metadata panel which has the “Complete Training” button for documents that are in a training assignment. This change addressed a concern an older review had about ensuring that users looked at the document before adding the read & acknowledge e-signature. 

Training modules and articles: Their just-in-time training approach has been very helpful. Many video clips in the Super User training lessons are under 5 minutes and are embedded in articles that include screenshots. 

Transparency and commitment to compliance and quality: ZenQMS genuinely seems committed to having a culture of continuous improvement. If they identify a priority area for improvement, information is available when key tasks are completed. At any point, we can look at quarterly documents and see the logs of successful daily and weekly backups. The system includes an online form for customers to submit ideas for suggesting new features. I'm also impressed to see that the CEO personally signs off on important system validation and compliance documents.

Release Documentation: System Release records include test results (including screenshots and test steps) which help customers understand how a new feature can be thoroughly tested, if needed. They also provide Excel templates with test steps and traced requirements that customers can leverage when creating their UAT scripts. Before each major and minor release, ZenQMS makes available a summary of changes (enhancements and bug fixes.) Since I subscribed to the Product Updates page, I receive emails notifying me of the upcoming releases.

**What do you dislike about ZenQMS?**

Implementation: Understanding and using the Data Migration template involves a learning curve and an investment of time and attention (even though the training materials were excellent and our POC/Account Manager has been amazing). Once we got the hang of it, we appreciated the clarity and logic behind the migration template. If customers have trouble remembering how to avoid common mistakes, the process could take longer than anticipated. 

Timing or scope of a major release: Since we started using ZenQMS in 2020, there was 1 time when a major release could have benefited from more testing. Fortunately, whenever a priority patch was needed, it was addressed quickly.  Customers were given a generous amount of time to test a single build of the release in a testing environment.  It’s possible that this extended testing period contributed to a higher number of successive patches than usual, but I also wondered if the release date could have been pushed back or whether any of the features could have been included in a later release. We did find a possible bug after one of the patches, but it was complex enough that we had to dig into the audit trail to explain our concern in a support ticket. A colleague was able to escalate our question to a more knowledgeable account manager who was able to address and resolve it immediately. While there has been a major improvement to the audit trail (ability to export a filtered audit trail to show activity related to one document), parts of the audit trail are still complex and not as easy to follow. 

Views in the Full Table: Although this may be a helpful feature for some users, the system remembers the last filter that you applied to the full table (e.g. selecting a Document Category or entering a term for filtering results in the Document Name column.) Writing this review prompted me to submit a suggestion to include a Clear Filters option above the table, so maybe this will be considered in a future release.

**What problems is ZenQMS solving and how is that benefiting you?**

Our requirements are simple: a well-supported, secure, easy-to-use 21 CFR Part 11-compliant document management system that allows documents to be approved through workflows, upversioned (ideally with both major and minor version numbering), and assigned in training tracks (courses) to roles. Key information needs to be easily accessible for certain use cases: employee who needs to see/complete training assignments, training manager who needs to track training compliance and generate reports for auditors, document author or approver who needs to see documents with deadlines for periodic review or approval, administrator who needs to activate/deactivate users and assign them to roles. Authors need to be able to approve a document and set an effective date in the future to allow users time to complete training. 
ZenQMS meets these requirements and has transparent, detailed documentation available to support customers during audits or inspections. ZenQMS has a history of recruiting and investing top-notch people in the customer success team and when the RIGHT people are available to address problems, things get fixed quickly and creative solutions are proposed which show a deep understanding of client needs.

**What do you like best about ZenQMS?**

We came to ZenQMS after using two very unfriendly and difficult to use QMS systems. ZenQMS was easy to learn and is very intuitive. We loved the short, easy to digest training modules they provided. Implementation in our organization was much easier than expected. The ZenQMS staff is engaged, knowledgeable about the product and easy to work with. They generally respond quickly to inquiries. ZenQMS offers different options to allow users to document training as group events, personal training, or on the job training. We find adding quizzes helpful to increase comprehension. Managers can easily track and manage their employee trainings. The change control module provides an easy way to track changes with an easily customizable workflow. Overall the ease of use and foolproof approach has worked well for our organization. We also use the Issue module to track our issues. We appreciated the ability to customize the workflow. The audit trail has been helpful during Sponsor audits. In the Documents module, we set periodic reviews to meet our statement of work requirements. We can see in the report which documents are coming up for review. Also, they have a process by which users can submit suggestions and they often implement these suggestions when they consider features for new releases.

**What do you dislike about ZenQMS?**

The search function in the documents module could be improved.
Lately, the responsiveness to customer service requests has been a bit slower than usual.

**What do you like best about ZenQMS?**

I enjoy using ZenQMS because it is user friendly.  I like the way the ZenQMS group is always looking for ways to improve an already great system.  They take real feedback and suggestions and work to implement them in the system.  The help desk is quick and efficient and their training and self-help catalog is extensive. 
KPA recently transitioned all of our SCORM based product training from a system that the traininer were experiencing consistent issues with into our ZenQMS system.  The intergration and implementation of this material was seamless and has thus far received nothing but positive feedback.  
As the system administrator I am in the system everyday, but even for those individuals that do not work inside the system on a regular basis, there seems to be minimal issues with system use.

**What do you dislike about ZenQMS?**

My only complaint about the system currently is that I wish there was a way to arrange the assignments in specific order so that the users could follow straight down list and take the assignments in the order that we want them to.  Also I wish that you could place tests and associated training modules together on an individuals dossier so they do not have to search for the associated documents.

**What problems is ZenQMS solving and how is that benefiting you?**

Zen's SCORM functions have recently saved KPA almost $30,000 by allowing us to terminate our services with a different LMS company.

04 Dec 2024 Update: Recently ZenQMS has made changes to their documents module that has altered the documents themselves, affecting archived documents as well. The documents are no longer in a presentable format and cannot be reconfigured. The support team has already been contacted and nothing else can be done.

ZenQMS helps with easily exporting a list of procedures and identifying which ones are due for review. It is also great for viewing training records across company. Training can be easily and quickly managed with the "Courses" functionality to assign training to a pre-existing group of individuals.

**What do you like best about ZenQMS?**

The first thing to mention is the excellent customer support, thoughout validation and continuing into routine use. The team were *so* responsive to general queries and and technical issues alike. I really felt like my little account of half a dozen users mattered to them.
Also, the pricing model was so transparant - with access included from the off to all modules, which made it an incentive to implement them all. We took our entire quality system completely paperless in less than a year - documents, QMS processes, supplier management, audits, training, everything!
Validation support was also really good, with UAT templates provided, full project manager support throughout, with pricing all agreed up front. Migration of documents into the system was straightford, as was routine usage. I used ZenQMS to create digitally signed QP batch release certificates in an EU GMP Pharma environment, the incortporation of company headers into the templates looked very professional.
As a consultant, I've had to interact with plenty of other 'big name' QMS systems, but none were as easy to use and configure as ZenQMS.
There are some really useful features - the word search feature in particular was extremely powerful and useful to filter documents or records with the term in question.
And the flexibility and ease of setting up your own workflows in the devations / changes modules was excellent - you can use these for just about anything from logbooks to risk assessments, and any other QMS process in between. Once you've grasped assigning 'tasks' to the right workflow stage, it's a breeze.
Last thing - as a cloud based SaaS, the ability to schedule a full download into pdf format of every record you have in the system was a massive benefit for business continuity, and all the other concerns that go with hosting GMP records in the cloud.

**What do you dislike about ZenQMS?**

In all honesty there were very few downsides. ZenQMS is built up of 6 main modules, and the only one I didn't love using was the audit module - I think this one is the 'oldest', and could probably do with an update. But even this one had some great features, e.g. compiling audit reports and attachments into a single pdf file, fully paginated. The bits I didn't like (observation / CAPA handling) I just created my own workflows for those in deviations / changes tasks modules, and just used the audits module to schedule and report internal and external audits.
Audit trails for the deviations / tasks / changes module were super easy to interpret, but for the documents / training / audits modules these were a bit more clunky and it would be good if they were all brought to the same level of user-friendliness, especially for non-IT people like me.

**What problems is ZenQMS solving and how is that benefiting you?**

In short, I ran a virtual EU GMP batch release site, and ZenQMS solved the mess of scanned signatures / huge docusign manifests / and everything else that went with trying to operate a paper QMS 'remotely'. My QA manager and I were able to collaborate and sign all types of documents and QMS records, with fully Part 11 / Annex 11 EU GMP compliant signatures

The Documents module has made it much easier to retrieve SOPs, WIs, and other important documents for audits and revision updates. The ZenQMS team did a great job integrating our legacy documents into the system. Issuing Controlled Copies is a more secure process. Updating and adding employee training matrices and forms is also easier than our all-paper-based system. Their customer support team has been incredibly helpful in resolving issues and responding to feedback.

Performing workflows for Change Controls and Issues can be confusing, mainly regarding the layout. There is no notification when a document is updated and a Controlled Copy has been issued (and therefore, needs to be destroyed and re-issued).

During the implementation Steve Smith was absoluting amazing and helpful answering all of our questions. Validation was super easy as well as the provided documents were easy to use and met all requirments. The system is easy to use and understand once you know your way around. Steve was even able to share Change control records Zen Uses internally to help with easy of configuration.

OFFICE ONLINE!!!! Office online is not built for editing - only reviewing. This causes major issues with formatting, ease of use, and frustration. It has caused additional work to be added to the quality team to download every document and edit in the desktop app and then re-upload. Steve as assured me that this is something being worked on but I wanted to make sure to identify this here. I also wish there was a true document change control process that govered the approval of the documents. We need a way to link multiple documents to a document change control and when the change control is sent for approval, the documents are sent for approval. Otherwise No complaints!!

Our team did not have a controlled way of handeling change controls or deviations. ZenQms has filled that gap completely in a strong way. We also did not have a strong DMS as we used sharepoint.

I think my favourite part of ZenQMS is the flexability it allows with its modules to capture so many different things. It is very user friendly and allows for many ways in which to use it in our Quality toolbelt. We have integrated many of our paper based processes into Zen which has made working across multiple locations much more efficient with a small Quality Team. As someone who has used multiple different QMS over my carreer thus far, I think this is by far one of my favourites and having amazing customer support just boost my faith in the system as a whole.

To be quite honest, there isn't much that comes to mine in terms of what I don't like. The deveopment team is always very open to new ideas, so though we may come across something that we wish may be configured differently or worked a different way, we are always given the chance to suggest changes or updates to how things currently are laid out.

It has definitely solved many things for us, but I think 2 of the biggest would be running across multiple sites, this gives us one platform to contain all of our QMS so that training and incident management are all handled consistently. In addition, we have just moved our training documentation (on the job training forms and group training forms) into the system as tools within the Issues module (which is where most of our company tools live) and this has been an absolute game changer!

**What do you like best about ZenQMS?**

My company had purchased ZenQMS before I started, and my role was to reconfigure the application and expand it's use within the organization. I have experience working for and with several other major QMS software systems at life sciences companies, and ZenQMS is by far the easiest, most intuitive QMS I've encountered to date. There isn't a lot of special terminology for things in the system, and new users catch on really quickly.  I've been using ZenQMS for a little over a year now, and have implemented four "custom" forms using their Issues module, which allows you to build out a process with various field types and workflows to suit your needs. This is ideal for a small, mostly remote workforce to route paperwork and maintain metrics. Their customer support team is super responsive and always helpful and friendly. They respond to requests quickly and never make me feel bad if the issue was due to my error/misunderstanding. As our Quality Systems Manager, I am in the system multiple hours a day, every day. I can always find what I'm looking for, as well as direct others to find what they need without reading through extensive training manuals.  I can usually get all the instructions needed on how to do something in ZenQMS on a single page cheat sheet. They are very responsive to feedback and are introducing new features in the Documents Module that will take an already great system to the next level. And they provide excellent documentation of their testing and validation with each release, so I don't have the burden of repeat validation testing. Not having to pay a fortune for every single license when a new person starts is also a HUGE benefit.  I can add users to the system without worrying about how much extra it will cost.

**What do you dislike about ZenQMS?**

As a smaller company, there are a few bells and whistles that the larger companies offer that ZenQMS does not yet, such as multiple workflows for a single document type (although this is coming soon I hear), and customization of notifications, but no system can have everything.

**What problems is ZenQMS solving and how is that benefiting you?**

ZenQMS solves our document management and training needs, as well as allowing us to complete our Change Controls, Deviations, CAPAs, and multiple other forms electronically. We will soon be implementing the Audit Module as well. Having all of these things in one system provides our users a great experience in retrieving documents, and completing paperwork with ease. During audits, we have all the documentation we need in one place, easily searchable and retrievable.

Before ZenQMS, every training record was an individual PDF file that had to be created and stored in a known place.  There was literally a PDF for every version of every SOP or other Quality System Document for each staff member in the entire organization and all those files had to be made available to any auditor who wanted to verify that a particular individual had the training and experience required for their position. We were keeping 0.5 FTE busy just managing documents.  It also took a lot longer to verify that all users had completed all required training.

ZenQMS is extremely user friendly and intuitive to use. There are tutorials that are simple and easy to follow on select topics if a user forgets how to do a certain activity or functionality of ZenQMS.

Remebering that ZenQMS is a value for the money product and not the highest priced QMS system pout there, there are some minor trade offs. ZenQMS is not automated in that things are not automatically pushed to the next step in the workflow, an adminsitrator has to be overseeing the process and pushing things to the next step.

ZenQMS provides for a more controlled and easier to manage lifecyle system for controlled documents, management and tracking of training on controlled documents, change controls and CAPAs.

We went live in August 2023 and have implemented all the modules by now. It is cost-effective compared with similar systems, especially when you can leverage all the validation work the ZenQMS team does for every new release. During configuration, particularly of the Change Control and Issues modules, the team was responsive to our questions and helped us re-think our more manual workflows and use ZenQMS optimally. Once implemented, it is simple enough to use and maintain. You can link records across the modules easily, and the interface is consistent enough that training of new staff is straightforward. The mobile interface works well too.

**What do you dislike about ZenQMS?**

For experienced eQMS users it will be clear that there is still development work to do before many expected functionalities are in place. The system is certainly in a state of continuous improvement, and there are big updates on the horizon, but that means that for the time being we’ve had to implement “workarounds” for functions that come as standard in more mature systems. The lack of an Equipment module is a major gap.

**What do you like best about ZenQMS?**

The ability to view, at a glance, the status of the quality system in easy-to-view graphs. Also the visibility (to QA/Super Users) of the workflow status of documents; in the days of the paper-based system it was sometimes hard to know who was working on the document - or worse, 2 people would make simultaneous changes that would then have to be combined. ZenQMS makes it much easier to get a streamlined and consecutive review of documents, which ultimately is less work for everyone. Also, allowing unlimited users is a benefit that cannot be overstated.

**What do you dislike about ZenQMS?**

The biggest drawback we have seen is the relative difficulty in finding or doing tasks beyond the most basic (completing training and signing / reviewing a document). Trying to launch an audit in the system feels like rocket science, and trying to keep audits flowing through the system is extremely complex and not very intuitive.  The old Issues module was also a bit "clunky"; my organization is experimenting with Issues Module 2.0 which we hope will allow us to fully digitize our non-compliant event program.

ZenQMS has made external (client) audits a breeze. It also helped us to transition seamlessly to fully virtual audits, which obviously became a necessity during the COVID-19 pandemic.

ZenQMS is a friendly system that is approachable, even to those without QMS experience.  Training needs are minimal for new user success in the documents and training modules.
The dashboard, and training status pie chart specifically, provide a great, easy to understand, overview from a company or individual user perspective.
Use of ZenQMS is generally intuitive.  My message to new users is that ZenQMS is 'what you see is what you get' and to not be hesitant to explore as it is hard to break anything.
Every interaction with ZenQMS support, and our primary account contact, is pleaseant and positive.

**What do you dislike about ZenQMS?**

The 'audit trail' functionality is not as robust as I would like.  While compliant, I would like to see additional tracking of various changes, specifically training curriculum assignments.
While ZenQMS is friendly and approachable, it requires heavy administrative input.  This is not necessarily a negative thing, but most workflows require lots of hands-on work and setup to allow seamles user input.

I've been a user and performing implementations of ZenQMS since July 2019 and love this system.  I completed 8 implementions and merged 4 separate ZenQMS systems into one.  For my clients, they start off with a high level of concern about moving to a new system and the unknown pitfalls of this effort until after the second migration where the start to see results of their efforts.  A normal implementation takes between three to five months and is easily completed using migration templates provided by ZenQMS.  The implementation timeline and experience depends on the client, how well defined the current processes for document control, training matrix, change control, deviations and audits, and how much data is to be migrated.  The leverage of having a 100% cloud based, validated system is a bonus for small and mid-sized companies with limited resources and experience; making the qualification activity a simple effort (UAT, Data migration, and configuration verification). 

After the system is implemented, new users find the system to be straightforward and easy to use; especially for the user not well versed in computers and only logs in to find a document or train.  The Administration of helping new users and maintaining is very quick and easy.  Seldom do you need to contact ZenQMS for help as most of the actions needed can be performed by an Admin level user.

Customer Support is above and beyond expectations and I always have my request addressed in a timely manner.

**What do you dislike about ZenQMS?**

The reporting functionality is probably the least favorite part of the system.  The data can be filtered 100 ways, and you can find what you want, but to format and print out a nice report is non-existent, the best option is exporting data and from excel, create a header/footer or chart data which is not the quickest method of presenting data for a supervisor or auditor.

It would be nice to be able to upload legacy documents after the implementation and set the actual effective date rather then opening a ticket.

ZenQMS can be implemented quickly and configured easily.

The third important point is, the ZenQMS company provide a very professional service package, so user can easily get to know what to do in each phase and don't worry about the implementation, migration of legacy documents, validation or UAT.

From the administrative side, ZenQMS is easy to set up and customize based on company size and maturity of your quality systems.  Additionally, the customer support is the best in my experience.  There have been several cases where we were thinking of implementing something in Zen and was able to reach out to our representative to bounce ideas off of and come up with a solution.  Furthermore, their online guides are super helpful.  

From the end user side, the platform is intuitive and easy to use compared to other eQMS systems.

Some nice features that would make the system even more useable: 

- being able to have Zen create document numbers.  I know this is currently a feature that just came out, but the numbering scheme does not allow for leading zeros, which is what my company uses

- being able to review/edit documents within the system.  Currently, you have to download, edit, and then upload the document as a separate file.  

- being able to make a course that include multiple training types.  For example, if I could create a training course that had the applicable SOPs, OJTs, and quizzes that would be great (there might be a way, but I have not figured it out)

The price cannot be beat and it a no-brainer for executive buy-in.  This is a great system and should be considered for any company that is currently using a paper-based QMS.  Anything you can do on paper can be built in Zen!  The interface is very user friendly and our users love it!  
Quality Leaders, particularly those who are finding themselves at smaller companies, should really consider thinking 'out of the box' and using a system like Zen over some of the bigger, higher priced systems from your past.  
ZenQMS is easy to implement - we were able to implement with limited IT support (i.e. desktop IT support only).  ZenQMS has fantasic customer service with a can-do mindset.  We were able to configure Zen quickly to meet our needs which allowed us to go electronic right out of the gate with our SOPs, Training, Change Controls, Events, and CAPAs.  This is the first time I've had all quality systems in one system and it is so easy to link and reference records.

**What do you dislike about ZenQMS?**

The downsides are the following:
1. No Attachments can be uploaded in the Documents Module.  This is a challenge for attaching data to reports, attaching word or signed copies of vendor documents.
2. Attachment Placement within the Zen Event and CC Module Records.  Would prefer that all Attachments be shown at the end of the record.
3.  As a low-cost alternative, individuals should understand that the 'out of the box' features are as is (reports/downloads of records cannot be configured to any specific format, etc.)

**What problems is ZenQMS solving and how is that benefiting you?**

Enabling use of our e-QMS from anywhere, which supports our hybrid work environment and ensuring compliant storage of our records.

The User Interface and ease of use was what drew me to ZenQMS intially. I had looked at the platform while seaching for an eQMS, while at another company and was the first platform I wanted to consider in a new company/position. The main purpose of implementing ZenQMS was document control and internal training/tracking and with the great implementation and customer support from our ZenQMS Project Manager we were able to integrate our quality/compliance activites. The platform comes with access to all modules and does not follow the pay per user found with other eQMS platorms. We are now in the position to continue building out our program using additonal modules, such as Audit and CAPA. We use ZenQMS on a daily basis and as we integrate the additional modules, we expect that usage to increase. The support provided from Customer Service, Project Manger, QA, and others at ZenQMs has demonstrated their priority to the customer's success and has been most notable in how easy the integration of the system was to our processes.

**What do you dislike about ZenQMS?**

The only thing we have found in using ZenQMS is the dashboard has confused a number of our employees who will 'click' on the 'pie' to see any missing trainings/reviews and be presented witha full listing of everything. They have found that the coming due trainings, although showing a 2024  date. Once we troubleshoot with them they can see that although they just completed one training that training will remain on the list, only with the date for the next review.

Document Control, Centralization of training, and soon to be - Audit/Vendor Management, Change Management, CAPA

I love the reminders and notifications, you can set them at a frequency that is most helpful to you (the user).

**What do you like best about ZenQMS?**

We pruchased ZenQMS with the hopes of removing manual work off of us. Prior to the software, we would manually have to download each individual training record, rename the file name and save it to each employee's training binder on our network. Additionally, we would record each training in a tracking program we had for this purpose. ZenQMS, when fully transitioned onto it, would likely be very helpful with this, and this was its biggest pro for us. Unfortunately, it is taking us some time to get there, as explained in what our company doesn't like.

The other thing we really liked about ZenQMS is our point of contact (POC), Elizabeth. She has been very helpful and attentive to our needs during our transition period.

**What do you dislike about ZenQMS?**

The worst thing about ZenQMS is the implementation process by far. Data Migration is buggy and sensitive to spelling mistakes. We have spent hours upon hours QCing training records that should be in the system after several rounds of Data Migration and are not. This makes it especially frustrating when pulling training reports for our auditors because then we have to go in and QC it based on our own records outside of ZenQMS to ensure the person has all the trainings completed that they should. We have had to edit these excel files manually to include the trainings that should be there but are missing. Also, the training reports are not customizable before downloading. We have had to go in and manually number our SOPs once we downloaded the training report as an Excel file. We have also requested customized training reports in the past from the ZenQMS team. At first, we went through their Help Desk for an audit, and the first time, they were extremely accommodating and prudent. The second time, they were very rude and unwilling to provide us with what we needed in a timely manner. Fortunately, we went through our POC for help, but I wonder if they also edit the training reports once downloaded from the system. I found errors in the training reports provided from our POC, namely document categories not matching the documents, which shouldn't have been the case if the system was doing the generating of the report. This process of transitioning has been months in the making, and it's been time consuming and frustrating at times. We are still finding errors from data migrations that we are trying to fix."
 
Additionally, we wouldn't say the system is user-friendly. My team and I were trained as super-users, and I have the most experience with the software as I was the one to validate it for my company's use. My team members still have difficulties using it--as it is not clear-cut or intuitive. There are also many ways to do and view the same thing, which I think is helpful in some cases but extremely confusing for someone who didn't recieve super-user training. The training materials provided to us from ZenQMS to give to our fellow non-superuser employees were not helpful. My team and I created our own guides for our fellow employees to use while navigating, and I have made myself a resource for them to come to, jumping on calls with employees as needed to help them through the process.  We have had some complaints about it because of this.
 
The system is not fully customizable either. Our POC at ZenQMS has told us that updates will be made in the future, but the training dossiers/reports should be customizable with what information we want to see. We cannot backdate, if needed, and anytime we want to upload a document that was maybe signed years ago, we have to go through the Data Migration process (which involves filling out a template and compiling documents to send to ZenQMS). It would be so much easier to just upload the document, be able to edit the dates and versioning. Versioning is also not editable. We can't have minor versioning like (0.1, 0.2, 0.3, etc.), which has forced us to rethink how we do versioning at our company. Also, if you manually put in training for someone, you cannot edit the date they trained; it is automatically put in as the current date.

When it comes to completing trainings, the system doesn't force anyone to review the document they're training on. It is very easy for an employee to just sign, saying they read the document, and move on without actually looking at the document.

**What problems is ZenQMS solving and how is that benefiting you?**

We no longer have to manually save and record each individual training certificate for our employee trainings.
