Qvidian is helpful for RFPs. No more digging for old answers and the content library and AI suggestions make it fast and easy to use and implement (user friendly). Teamwork is smooth and it syncs great with Office and CRM. Good customer support and can be used daily.

The interface needs an update. It is priced well for big companies, but it can be expensive for smaller teams.

The library features and organization helps to keep all our information organized and clear across many different product lines. Support is next level, questions are answered quickly and there are many learning resources.

**What do you dislike about Upland Qvidian?**

I have no big complaints. Would love to see more intuitive and AI integrations - however they are releasing and working through that and am excited to work that into our project management.

Qvidian speeds up my response times, and allows me to automate parts of my processes. This is extremely helpful when I have multiple RFPs at once.

**What do you like best about Upland Qvidian?**

There are two ultimate highlights of Qvidian: firstly, the Library and its ease of use and searchability, and secondly the intuitive interface of the Qvidian platform.

The Library has become a go-to source of intellectual capital within our business, enabling self-service of information by myriad end users who would formerly burden individual SMEs directly with repetitive queries. As our business has evolved and grown we are seeing ever-more complex RfPs and the Library is an essential resource to enable a small RfP team complete a first draft of the response; we are typically able to complete at least 75% of an RfP with a response from the Library, then use the in-built workflow collaboration / participation tools to engage with SMEs to complete the rest with minimal off-platform admin (email or messaging).

The user interface is super intuitive and has recently received a stylish and minimalist revamp. In fact, the initial user dashboard and Library interfaces are so intuitive that we have cases where staff have been able to participate in RfPs and search the Library just through exploring on their own and without any training.

**What do you dislike about Upland Qvidian?**

Document architectures for different document types and templates are extremely technical to establish and require very detailed knowledge of the nuances and features of Microsoft Word. It's a rare occurrence that we need to set up a new document architecture so by the time we come back to do it we have forgotten how and require the support of the Qvidian team.

The content update process post-RfP project is also cumbersome - if a piece of Library content has been used as the base of an RfP answer which is then customised for a particular RfP, there is no easy way to review the specific changes that were made in order to aid decision making around whether to commit those changes permanently to the Library item.

**What problems is Upland Qvidian solving and how is that benefiting you?**

The centralisation, storage, and maintenance of 'intellectual capital' i.e. functional Q&A, which would be impossible to do without a tool like Qvidian. This enables our business units and SMEs to be de-burdened from the repetitive task of drafting responses to the same/similar questions over and over again for DDQs and RfPs.

Managing the RfP process including minimising the administrative burden of emails and messaging. This enables our SMEs to focus on a live, up-to-date version of RfPs and their specific tasks at hand, rather than wading through myriad emails and messages to get the same tasks done.

Change tracking, outsourcing, review processes, and formatting are quite nice.

**What do you dislike about Upland Qvidian?**

Merge codes have the ability to be the most impactful portion of the system, but they're only optimized for proposal completion, not for automation. The merge code uploader should be standard, and merge code management should be much easier.

As a financial institution, we are constantly dealing with numbers in our responses, so the difficulty of implementing up to thousands of merge codes has been our biggest impediment to full Qvidian usage.

Additionally, Qvidian's refusal to embrace Excel as a form of export is painful, as more and more questionnaires are in excel. The add-in is ok, but bulk changing in excel would be a breeze, and we can't do it.

Finally, merge codes need to have different formats. Merge codes only being a few hundred characters is annoying- we access biography data from our back systems, and have to manually transcribe them into library answers, rather than just upload as merge codes. The following changes should be made:

1. Have a "Long Text" option for merge codes, which allows for interchangeable paragraphs.
2. Have a "Number" option for merge codes, which allows for number formatting options (decimal places, dollar signs, etc).
3. Make the merge code uploader standard. This is a massive impediment to successful Qvidian use for financial firms, and has been since we started using the system in 2017.
4. Integrate merge code coding into document building. I.e., if we're filling out a proposal for "x" product, let that flow down into all merge codes to get the right ones (performance, assets, etc.).

Finally, integrating Qvidian is quite difficult, and the document building screens were arcane and difficult to use.

**What problems is Upland Qvidian solving and how is that benefiting you?**

Mostly just a standard answer library right now, but we're trying to make it a reporting and outsourcing hub. It's not working too well because of the reasons listed on the first page.

**What do you like best about Upland Qvidian?**

Over the last few years, I’ve been contacted by several competing proposal management software companies with claims of a better product at a better price. In pretty much every case, I’ve found that after a short conversation the software is more expensive and does not have the robust functionality that Qvidian has. If there’s a better (or even similar) product on the market, I haven’t seen it.

I have no major complaints. Upland continues to focus on refining the software, and it does everything we need it to do.

**What do you like best about Upland Qvidian?**

We have many products and services that we offer prospects and customers. Having QPA enables us to manage content in a easily consumble way. We've tried other solutions that were not that user friendly. The role-based security functionmakes it easy to give end users access to just what they need. Folder-based layout is familiar to everyone which improves buy in to actually use the system - lower learning curve! <br><br>Customer Support is bar-none the best! They treat us like a partner - not a vendor!

I think the least favorite part is that everyone needs a license. I believe there are new licensing structures possibly available now BUT getting buyin from the company to purchase more licenses can be difficult.

In addition to my earlier comments. Using QPA has definitely cut our response time dramatically. Before implementing we were mining old proposals, which was risky and took time. Now we search the library and have instant answers.

**What do you like best about Upland Qvidian?**

I use Qvidian everyday since I am a Qvidian admin in my organisation.
I really enjoy the ease of doing assignments and the possibility to send direct messages to my colleagues.
The Customer Support has always been nice to me even if I stressed them a lot after the latest release.
The implementation has been easy, and it is also easy to teach new colleagues on how to use the platform.
I cannot say anything about the ease of integration since we are not integrating Qvidian with Microsoft Teams at the moment.

**What do you dislike about Upland Qvidian?**

I dislike the fact that, as up to now, it is not possible to make multiple re-assignments at once.
Also, I would like to have the possibility to send push notification at a set date before the deadline.

Qvidian allows us to connect people all over the world. Since we are a global organization, with technical expertise at a corporate level, we need to connect people with Corporate SMEs that are able to answer RFPs from a technical point of view.
Qvidian allows us to do so, helping colleagues all over the world finding the right Corporate SME to answer.

**What do you like best about Upland Qvidian?**

I have been a professional working with proposal database tools for 25 years and have used several database products in this time. Once you've been forced to work with a system that isn't Qvidian, you understand that it's really the only option for proposal professionals. When I was unfortunate enough to work in an organization that didn't use Qvidian, I was quick to advise them that there isn't another tool geared to proposal professionals that comes close to the features and capabilities that Qvidian offers. 

It's clear that people who understand proposal and RFP needs are behind this system. The search features are fantastic, but the administrator features are even better ensuring database content maintenance is as simple as possible for all involved. The ability to customize views allows a very personalized experience. 

There are a wealth of features and you can use all of them or just those that work for you. This makes it easy to baby-step into the system, slowly adding features as you need them. My team implemented the Qvidian RFP database and then moved added proposal automation as a phase two implementation. This allowed us to become more familiar with the system and better users before expanding its capabilities.

Qvidian is the first tool I open every day as it's integral to everything I do throughout the day. I have lived in a world without Qvidian, and I can attest, that it isn't a world you want to live in.

**What do you dislike about Upland Qvidian?**

It can seem overwhelming at times because Qvidian has so many features. Qvidian will often offer three ways to do the same thing, allowing you to customize your practices. This level of choice can sometimes lead to confusion, but SalesEdge resources can help identify best practices that can work for you. I have always utilized SalesEdge as a partner in Qvidian and have been amazed by their knowledge and ability to help. They're a fantastic partner and I wouldn't want to work without them.

**What do you like best about Upland Qvidian?**

Qvidian has a huge number of content management features that allow you to easily track how content is being used as well as manage updates. Customer support is excellent and quick to respond and resolve support requests. Being able to streamline proposal creation by managing things like Word styles, headers, footers, dates, common content, etc. in one spot is a huge time-saver.

**What do you dislike about Upland Qvidian?**

Features can sometimes seem less than complete when released. Specifically, the search function within Qvidian for Office (an Office 365 add-in) is not as robust as the library search. The sheer number of features can make it difficult for new users to fully grasp how to effectively use Qvidian without training.

Qvidian helps us effectively manage our content in one location, helping us establish a single source of truth for the proposal teams. By using metadata tags we can effectively identify out of date and unused content and then either update our information, or remove it from our library. Building proposals in Qvidian ensures that users have the most current and accurate information, saves users time, and reduces mistakes that can arise from copying and pasting out of old proposals.

**What do you like best about Upland Qvidian?**

The Qvidian content library is what we use the most. Our proposal contributors no longer have to remember which previous proposal they wrote certain content and where to find it. It is "all" in one place, searchable, editable, formatted and now accessible from MS Word or a browser. Having expiry dates on certain records helps us maintain that content accurate.

Automated proposals is the other feature we use most. We have pre-approved specific topic proposals that can be assembled by simply supplying the client, sales rep and pricing info. After a self-serve proof of concept, we will now give our sales reps access to Qvidian to be able to build their own, bypassing the Proposals Team queue altogether.

**What do you dislike about Upland Qvidian?**

The only downside for us is that we are not using "all" that Qvidian has to offer and that's on us. The type of proposal we put together (solution) is unique to each RFP, hence, at the moment, we are not using the Project with assignments.

**What problems is Upland Qvidian solving and how is that benefiting you?**

The Qvidian library is keeping all of our re-usable content in one place, making it easy to search, especially written references. We attach keywords to those references making it easier to find the right fit for specific RFP reference requirements. And now with the flexibility of searching the library directly from MS Word or a browser has made it even more accessible at our fingertips.

With a shortage of proposals staff, making automated pre-approved proposals available to our sales reps will allow them to self-serve these proposals any time they need to, bypassing the Proposals Team's (at times) long queue.

**What do you like best about Upland Qvidian?**

Qvidian is a great resource for being able to track responses that we've previously used in RFPs or questionnaires. We use the system more as a way to track a robust answer to a question and then extract out what we need to provide a response to a specific RFP since all questions are slightly different and need emphasis put on different aspects of things. We also don't utilize the embedded code feature much, since we don't mass produce documents. I like best that Qvidian seems to really take users' comments and feedback into account and are constantly trying to make it easier for users to integrate the platform into their workflows (e.g., the new library features to find similar content and linked content, the word/excel/internet tools to seamlessly pull in responses).

**What do you dislike about Upland Qvidian?**

I wish there was a better way to see how content has changed over time. I know that there is a track changes feature that has recently been implemented, but my example is this. Yesterday I KNEW we had given a response that talked about how we've adapted to the evolving ESG norms. BUT, that response was a prior version of a record, so when I did a search for "evolving", the current version of the record didn't contain that word, so I couldn't find the old answer everywhere. 

I also wish there was a better way to categorize content / design folder names. In many instances a record in our system could relate to "policies" or "compliance" or "people" and it's hard to know where to save something that would make sense to be saved in many different folders.

Lastly, I wish there was a better way to save multiple responses that answer a similar question. For example, we have a record that discusses our trading process, but we may have answered it in slightly different ways depending on whether the question asked us to focus on efficiency vs transaction cost vs broker risk.

Qvidian allows us to track responses that we've given in RFPs or questionnaires. It's benefiting us because we can easily reference our most recent responses without having to go back to each old RFP to see how we answered a question.

Ability to search by terms or key words, which make it easy to find language. Being the sole person in my role, this is a huge advantage. Qvidian is also very helpful with training and guidance. I never feel like I won't be helped out with a question I may have and I get a response quickly.

Qvidian is a centralized source of content repository that can be utilized to efficiently manage the completion of RFPs and DDQs and house updated language. It is user friendly and can be accessed by other subject matter experts to collaborate the review and editing process while maintaining an audit trail of the last update. The automation functionality is great and works alongside word/excel/browser.

No material dislikes thus far. We need to make the most use of the database by staying on track with all the new features and optimizing the usage for our benefit to create process efficiencies.

I like the document templates which mean that over half the work is already done before I start. The doc templates are reasonably easy to set up initially, then you don't have to worry about them again. I've also gotten good response back from Qvidian whenever I've had a question.

I wish the reporting was easier to use and had more flexibility. I had to create a custom report for what should be routine information about changes to the Qvidian content database.

I think the customization abilities within the library are very useful. Beyond standard upload and tagging, creating metadata is very crucial for our ability to really get to not only the core of what each record <em>is</em>, but providing background information and a breadcrumb trail to trace back where and who it came from, if/when needed.

**What do you dislike about Upland Qvidian?**

I think there should be some sort of way to make working on live projects with multiple users easier or more realistic to do. The Project functionality and uploading a questionnaire works great in theory I think for small organizations, but for large ones like ours in which SMEs are all over the place and training them up is not always realistic, there are too many potential pitfalls to really take advantage of it, and we end up just using OneDrive. Qvidian for Office I really liked when I heard of the idea, but I haven't seen much focus on improving that in some time, which is a shame.

Library storage is our primary usage. All proposal teams need a functioning library once they get big enough (network drives and excel sheets will only get you so far - not far at all); having what I think is a good, solid library function is the primary benefit.

**What do you like best about Upland Qvidian?**

Qvidian is a comprehensive, easy-to-use tool that provides RFP-specific content management and proposal generation capabilities. The HPE Aruba Networking RFP team uses Qvidian to store and access boilerplate and requirement responses to help efficiently generate consistent, formatted proposals. As a Content Manager for the RFP team, I find the seamless record and record metadata management to be the most helpful part of the tool. The ability to easily update templates, keywords, review dates, owners, and other properties helps me maintain a larger number of records than a typical SharePoint repository. The various types of content editing features allow me to maintain control and oversight of records that require review from Qvidian users and non-users in the HPE organization. I also appreciate the ease with which I can share and post boilerplate records for those in the organization that do not have a Qvidian license through generated URL links, which minimizes the boilerplate management and centralizes the location. I highly recommend the Advanced Content Management learning path provided by Upland (which allowed me to go from a mediocre user to a super user of the tool), and the Microsoft Add-Ins (which allow users with a Qvidian license to search and add content to proposals directly in Microsoft Word or Excel).

**What do you dislike about Upland Qvidian?**

The only downside to using Qvidian is the limited number of users in my organization who have a license. While this is not necessarily a comment on the tool, itself, it would be helpful if the generated web links (which allow Qvidian users to share records with others that do not have a Qvidian license) had a longer lifespan. This would lower the manual effort to maintain links to standard boilerplate documents on a SharePoint accessed by HPE users that do not have a Qvidian license.

**What problems is Upland Qvidian solving and how is that benefiting you?**

When I started at HPE Aruba Networking, a lot of the Qvidian content was expired or stale. There had been a gap of several months in maintenance, and it was up to me to gain control of the content while also navigating our Journey to One rebranding. I was grateful for the support of my team who also had a host of newer content ready for upload to "replace" the stale content. In a typical SharePoint environment like I was used to, this task would have been almost Herculean and unmanageable for one person. However, Qvidian's array of features made this task much more manageable. I was able to easily update the template for thousands of records with the “Apply Template” feature and deactivate the old template for the users through the architectural properties. I was able to update properties for multiple records (including owners, review dates, and keywords), add custom metadata to help track what had been reviewed, and export large numbers of records all merged in one Word file to find and replace the company and updated product names. The “Bulk Upload” features allows me to break up and store large requirement response files from my team into individual records for future RFPs. The “Similar Content” features allows me to remove or archive duplicate content or previous versions of old content. I was also able to add new keywords in the administrative menu that seamlessly populated to the properties menu for records I was uploading. The customizable Content Summary view in the Details Panel also allows me to review the necessary metadata as I work through the files. These features, and many others, have solved a number of logistical business issues through my rebranding and content management efforts.

A like the fact that the tool is using Microsoft word, which is a tool that I'm familiar with. Its very pleasant to change a document without opening every files.

I think that the log in time is too short? Because when you are working and Qvidian disconnect so quickly, its a bit disturbing. And sometimes the search bar can't find a long serie of word.

We usually have several SMEs contributing to a project - for us, project management and tracking capabilities are essential. The Library provides our team with consistent, verified answers.

**What do you dislike about Upland Qvidian?**

We have to use customer-formated documents for our responses. Qvidian can't preserve custom formating.

**What problems is Upland Qvidian solving and how is that benefiting you?**

We have a small bid management team, and we could not respond to the volume of opportunities we do without Qvidian. The ability to allow a number of people to simultaneously work on a project and use established answers in the library are very important for us.

It can be less intuitive for new users than desired.

**What do you like best about Upland Qvidian?**

Qvidian makes it possible to find a text very quickly among a multitude of others, to make modifications to several texts (e.g. change of company name) very quickly, to work in collaboration with members of my team (e.g. send each other ID texts) to have better traceability of the use (or not) of certain text

**What do you dislike about Upland Qvidian?**

Qvidian doesn't yet offer translation from one language to another, which could be very useful for us who work in French and English. Qvidian could also use new AI technologies to correct certain errors in texts.

**What problems is Upland Qvidian solving and how is that benefiting you?**

Thanks to Qvidian, I'm faster, I waste less time looking for texts, and I have a better overview of the different sections that make up our text library. Soon we'll also be using EMS, which will be very useful.

**What do you like best about Upland Qvidian?**

Qvidian contains all the elements required for generating sales proposals, answering RFx documents, keeping content up to date, managing PowerPoint slide decks, and so much more. I have been in demos with many of the other competitors and functionality wise Qvidian is a top notch solution.

**What do you dislike about Upland Qvidian?**

I can always count on customer support to help me with any issues. My wish list is small but one thing is improving the architecting of the document automation feature. This is on their roadmap. It is a great feature, just could be easier.

**What problems is Upland Qvidian solving and how is that benefiting you?**

Aside from RFPs, it helps us stay consistent with our messaging when generating sales proposals. This is done through the Document Automation process. It takes less than 10 minutes to generate a sales proposal.

Our CSM, Katrina Perry, she keeps us up to date, thinking about how we can expand the tool and supporting us through our many conversations on next steps and obstacles we encounter internally to Lumen.

**What do you dislike about Upland Qvidian?**

That our Proposal Managers don't adapt and learn more about Qvidian to leverage all of its capabilities.

Qvidian has allowed us to create templates for repeatable proposals we see in healthcare. Qvidian also is solving the ability to look for answers to compliance items or technical questionnaires by leveraging automation.

I find the analysis features of Qvidian most useful. I can see how many times my entries have been used - and from there, I can identify trends in the questions asked in RFPs.

**What do you dislike about Upland Qvidian?**

I have to allocate blocks of time for housekeeping - it takes time to publish new content (meta data tags etc) and update expiring entries.

Takes away repetitive work. With just 1 click, you get several possible answers to a question. No more digging around in old files.

**What do you like best about Upland Qvidian?**

Qvidian provides several robust options for content management. I like that I am not tied to one method, but can chose the option that works best for me to accomplish my work in a timely manner. I can easily work with Subject Matter Experts and provide them with information in the format that works best for them. 

The ability to easily respond to portal RFPs and requests without using copy paste. 

I have been able to create self-service deliverables for my sales and service organizations that include proposals, quotes, SOW's, security questionnaires and PowerPoint presentations. 

I use Analytics to review content usage trends and how my team is using Qvidian.

**What do you dislike about Upland Qvidian?**

Qvidian ongoing Support has been great and they are very responsive to product enhancement requests.

**What problems is Upland Qvidian solving and how is that benefiting you?**

RFP response and content management processes have greatly improved. I am able to focus on the quality of the proposal rather than rewriting answers. As a result, our win rates have increased and our sales and services team are able to quickly create client-facing documents (SOW's, Presentations, Security Questionnaires, RFP Responses, and Proposals).

Qvidian helps to streamline our RFP process. It is a one stop shop for a database and final documents.

**What do you dislike about Upland Qvidian?**

I haven't experienced anything that doesn't work well for us.

Prior to using Qvidian all our data was saved in different folders across multiple people. Qvidian gave us a place to store all of our data. Qvidian also allows more people to work on an RFP. Also Qvidian gave us a template for use for the creation of the final RFP.

**What do you like best about Upland Qvidian?**

Qvidian is an intuitive tool that has helped us move, as a proposal team, from totally disorganized and looking through past bids for the simplest information, to completely organized and curated.

**What do you dislike about Upland Qvidian?**

I don't have a lot of dislikes about Qvidian. Some of the changes to the new UI have still taken me some time to figure out and some of them have made Qvidian more complicated.

**What problems is Upland Qvidian solving and how is that benefiting you?**

Qvidian solved the problem of not having organization and the cohesive library we needed to be a productive, efficient proposal team. Since introducing Qvidian, we were able to increase our productivity so much more, that we were able to justify the need for a separate content team.

The ability to allow users to create draft contracts and proposals in the document type space with selections that determine which clauses are applicable on a deal by deal basis.

Some enhancement requests seem to be ignored or not rolled out when approved.
