I have been using Sophos Email for a good amount of time now as part of my daily job as a network security engineer at Vibs Infosol Pvt Ltd. As an admin, I manage this product every single day, and it has become one of the most important tools for our organization, because we have thousands of clients and almost all our communication with them happens through email. Since email is our main channel of communication, protecting it properly was very important for us, and Sophos Email has handled that responsibility very well. The feature I use and rely on the most is Anti-Spam Protection. Before this, our employees used to get flooded with unwanted and junk emails daily, which used to waste their time and sometimes important client emails would get lost in that mess. Now with Sophos Email's anti-spam engine, most of that junk gets filtered out automatically, and our team's inbox stays clean and focused only on genuine communication. This alone has improved daily productivity for our whole team, not just me. Anti-Phishing and Anti-Malware protection are two features I check regularly, especially because phishing emails are one of the biggest threats we face, given that we deal with so many external clients daily. Sophos Email scans incoming emails and blocks suspicious links and attachments before they even reach the employee's inbox. I have personally seen cases where a phishing email pretending to be from a known client was blocked automatically, which could have caused a serious security incident if it had reached the employee. Domain Protection is another feature that gives me peace of mind. It helps stop attackers from spoofing our company domain and sending fake emails pretending to be from us to our clients. Since our brand reputation depends on our clients trusting our emails, this feature protects not just us internally but also protects our clients from being tricked by fake emails using our company name. Outbound Email Scanning is something I use daily as well, since we are sending thousands of emails to clients regularly, it is very important that our outgoing emails are also clean and do not accidentally send any malware or sensitive data out. This feature scans outgoing mail and gives me confidence that our organization is not accidentally becoming a source of a security problem for our clients. Email Encryption is a feature we use whenever sensitive information needs to be shared with clients. Instead of sending sensitive details in plain text, I can apply encryption policies so that only the intended recipient can open and read that email. This has helped us maintain trust with clients who share confidential business information with us. Policy-Based Security is something I configure and manage regularly. I can create specific rules for different departments or specific types of emails, instead of applying one generic rule for everyone. This flexibility has made our email security much more precise and effective for our specific business needs. The Reporting & Dashboard feature is something I check almost every day. It gives me a clear picture of how many threats were blocked, what kind of spam was filtered, and overall email traffic health. I use this data directly for my monthly security reports to management, which has saved me hours of manual data collection every month. Alerts & Notifications keep me updated in real time whenever something serious is detected, so I don't have to keep the dashboard open all day, I get informed the moment something needs my attention. An unexpected benefit I found is that since implementing Sophos Email properly, our whole organization's day to day email communication with clients has become much smoother, without random spam complaints or phishing related panic from employees, which used to happen earlier before we had this solution. Even though Sophos Email works very well for our organization daily, there are a few small things I feel could be improved, through they are not big enough to change my overall positive opinion of the product. The first thing is that occasionally, some genuine client emails get marked as spam by mistake, especially from new clients we are communicating with for the first time. This means I have to manually check the quarantine folder sometimes to release important emails, which adds a small extra task to my day. A smarter learning mechanism that adapts faster to new but genuine senders would help reduce this. Second, the initial policy setup and configuration took some time to fully understand, especially since we have thousands of clients and different departments with different needs. The interface has a lot of options, and for someone new, understanding how policies stack together needs some learning time. Simpler guided setup for beginners would help. Third, sometimes the dashboard reporting could offer a bit more detailed drill down options. While the summary reports are good for management, when I want to investigate one specific incident in deep detail, I sometimes need to cross check with logs separately. Fourth, regarding pricing, since we protect a large volume of email traffic daily for our organization, the licensing cost is a factor we have to plan carefully in our yearly budget. Once I explained the ROI clearly to management, based on incidents prevented and time saved, the cost was justified, but the initial pricing understanding could be simplified for admins presenting this to their higher management. Fifth, support response time is generally good for critical issues, but for smaller configuration doubts, sometimes I wait longer than expected to get a detailed answer. Even with these points, I want to be fair, these are minor issues compared to the overall protection and peace of mind Sophos Email gives our organization daily. Before using Sophos Email, our organization was facing real risk, because we communicate with thousands of clients daily purely through email, and email is one of the most common ways attackers try to enter into a company's system, through spam, phishing, or malware attachments. We struggled with employees receiving large volumes of spam and junk emails daily, but now with Anti-Spam Protection, most of that unwanted traffic gets filtered automatically, which has resulted in employees focusing only on genuine work emails and saving a good amount of time daily across the whole team. We struggled with the risk of phishing emails tricking employees into clicking malicious links, especially since we deal with so many different clients and unfamiliar senders regularly, but now with Anti-Phishing and Anti-Malware scanning, most of these threats get blocked before reaching the inbox, which has resulted in zero major phishing related security incidents since we properly implemented this solution. We struggled with the risk of our own company domain being spoofed by attackers to trick our clients, but now with Domain Protection, this risk has reduced significantly, which has resulted in better trust and safety for our clients when they receive genuine emails from us. We struggled with the risk of sensitive information being sent in plain readable format to clients, but now with Email Encryption, we can securely share confidential business information, which has resulted in stronger data protection and better compliance with client expectations around data safety. The AI-powered phishing detection is a particular standout, catching sophisticated social engineering attempts and business email compromise (BEC) attacks that traditionally slip past basic spam filters by mimicking legitimate communication patterns. The Time-of-Click URL protection is another genuinely valuable feature in a real-world environment. Links in emails are re-evaluated at the moment a user clicks them rather than just at the point of delivery, which means even URLs that were clean on arrival but later weaponized are still caught they can do defense, that extra layer can do damage. The most consistent pain point is false positives legitimate emails, particularly those from bulk senders, automated notification systems, or less common international domains, occasionally get quarantined without clear reasoning. End users frequently escalate these as missed emails, and tracing why a specific message was flagged and configuring the right exclusion to prevent recurrence takes more effort than it should. The quarantine management experience, while functional, could be significantly improved. End users receive quarantine digest emails and can release messages themselves, but the self-service portal is not particularly intuitive for non-technical users, leading to frequent helpdesk tickets from people who can't figure out how to release their own quarantined emails. A cleaner, more guided end-user experience would reduce that administrative burden considerably. Reporting is another area that feels underdeveloped relative to the depth of data the platform collects.
