Rentman is the operations management platform built to support event &amp; media production teams. With Rentman, teams can create quotes, plan crew and equipment, centralize communication, track equipment and control costs, all in one place. Rentman offers two products to manage different parts of a business: Equipment and Crew.   Use the Equipment product, to save important information about your equipment, schedule equipment lists to projects, manage repairs and inspections, and track items dispatching from your warehouse or returning from productions with serial numbers, QR codes, and RFID tags. With the Crew product, you can manage all crew-related processes in one place. Save important information (like contracts, skills, qualifications, holidays, etc.), schedule and communicate with crew, send invites and track worked hours. Each product comes in different tiers with more features as you go up, and can be customized with different add-ons.

**What do you like best about Rentman?**

What I love the most about Rentman is how feature rich it is!  The ability to customize the software (or not) to our specific need is extremely helpful.  I know we haven't even scratched the surface in terms of custom fields, templates, and integrations that we could be utilizing.  It helps all aspects of the business, from business development, labor coordination, quoting, and beyond.

**What do you dislike about Rentman?**

What I dislike the about Rentman is that you are unable to have multiple people actively editing the same project.  There are times when employees will go home for the night and their computer still had a project opened, which restricts other employees from making changes to that project.  Or in busy seasons when projects are actively being worked on from a labor coordination, schedule, and warehouse perspective.

**What problems is Rentman solving and how is that benefiting you?**

Rentman is meeting a niche in the marketplace for our industry.  There are other softwares out there, but they either aren't all inclusive of what we need or they are difficult to use and have a poor user interface.

**What do you like best about Rentman?**

I have lots of positives about Rentman, especially the transport volume calculations of equipment and the crew planner. The transport volume feature helps us determine which vehicle is appropriate for each project, providing data to back it up, which is incredibly useful. The crew planner acts as a day-to-day calendar for all of our external freelancers, making booking teams for projects fast and effortless. Freelancers can log in and populate the calendar themselves, reducing the need for a lot of 'are you available on this day' type phone calls. One of the primary attractions was the Crew and Transport management features, alongside the rapid rate of development and increased level of customer support and responsiveness.

**What do you dislike about Rentman?**

I find the accessories/combinations feature somewhat clunky and awkward. It's incredibly frustrating that accessories can't be presented in the same format as combinations in quotations and lists. This makes quotations and lists incredibly busy and messy. We've had to make virtual combinations of equipment for one light, which is a functional workaround but is incredibly inconvenient and awkward. Initial setup wasn't that easy, it took a while to learn the unique ways of having to do things.

**What problems is Rentman solving and how is that benefiting you?**

I use Rentman for project delivery and stock management, including financials and bookings. It solves equipment availability issues and streamlines crew scheduling. The transport volume calculations and crew planner features are especially helpful, making logistics efficient and reducing unnecessary calls.

**What do you like best about Rentman?**

I really appreciate how Rentman streamlines the crew scheduling and overview process. This feature allows me to quickly see all of my events and readily identify which positions are filled or still need staffing, which is incredibly beneficial for maintaining an organized overview of our staffing needs. It's particularly valuable because we work with a large pool of specialists, like audio engineers and lighting designers, and Rentman helps ensure that we always assign the right crew to the right job. Furthermore, the initial configuration of Rentman was quite straightforward and fit well with our business operations, minimizing setup stress and facilitating an efficient transition. This simplicity in setup was complemented by helpful documentation and support staff, which eased the migration process immensely.

**What do you dislike about Rentman?**

Rentman lacks features for accounting or payroll management. While I can track hours and rates, it doesn't facilitate easy tracking or sending of payments, requiring the use of a separate payroll system.

I find that Rentman efficiently manages scheduling, prevents double booking, and ensures no event details are missed, streamlining our operations and enhancing crew selection for each job.

**What do you like best about Rentman?**

What I like most about Rentman is how seamlessly everything connects in one platform. From scheduling crew and transport to tracking gear availability and sending out invoices, it all happens in the same system. I especially like the clear overview of my projects and the fact that I can always see exactly what equipment is available and where it needs to be.

Also the support from the Rentman team is insanely good. They help with all issues, change there program or explain choice that are made. They can even access via remote to help control or show functions.

**What do you dislike about Rentman?**

The only thing I’d point out is that the mobile app could be a bit clearer in terms of overview. It works well, but sometimes finding the right info takes a little longer than I’d like.

**What problems is Rentman solving and how is that benefiting you?**

Rentman helps us manage our projects and equipment in one clear system. Before, we had to rely on spreadsheets, which made it hard to track availability and avoid mistakes. Now we always know exactly what’s available, planning is much smoother, and the whole team has the right information at the right time.

I'm still quite new to Rentman but so far the best features to me are:
- integration of logistics of trucking and labour into a rental software
- the accessibility of event documents via the app
- order prepping/returming via the app

fairly steep learning curve for admin users

adding folder to the file section is great but it would be best if items could be dragged into the folder directly rather than after its been uploaded to the project

One place for projects, equipment, crew, and documents.
Complete: availability, subrentals, QR/barcodes, quotes, invoices—it all fits together perfectly.

Learning curve: you have to persevere, otherwise you won't get the most out of it.
Getting freelancers on board: not everyone follows the planning tool; invitations and instructions require extra attention.

Projects, quotes, invoices, crew communication, and equipment tracking are all on one platform—your single source of truth.

Rentman encompasses about 90% of the tasks we perform as a company, it is the ideal place to consolidate everything. The software is continuously being worked on to develop and improve it even further for the users.

The configuration of documents is not easy. It takes a lot of time to get this right.

**What do you like best about Rentman?**

What I like best about Rentman is how intuitive the interface feels once you get used to it. The dashboard makes it easy to see exactly what projects are active, what equipment is out, and which staff are booked. I especially appreciate how customizable it is—you can adapt workflows to fit the way your team operates instead of being forced into a rigid system. The mobile app is also a big plus, since it lets crew members check schedules, mark equipment as scanned, and update progress without being tied to a computer. Overall, it feels like a tool that was actually designed with event professionals in mind, not just generic project management.

**What do you dislike about Rentman?**

What I like least about Rentman is that some of the advanced features take a bit of time to learn, especially when you’re first setting everything up. The system is very powerful, but that also means there are a lot of menus and options that can feel overwhelming until you’re familiar with them. I’ve also noticed that certain reports could be a bit more customizable without needing workarounds. It’s not a dealbreaker, but there’s a bit of a learning curve before you can really take full advantage of everything.

Rentman solves a few major pain points for me. Before, managing crew schedules, equipment availability, and project timelines meant juggling multiple spreadsheets and endless email threads. Now everything is centralized—I can see at a glance who’s available, what gear is booked, and when projects overlap. The equipment tracking alone has saved us from double-booking or losing items, and the digital packing lists make load-ins way smoother.

The biggest benefit is time savings. Instead of chasing down information from different sources, I have a single platform where everything connects. It’s also improved communication across the team—everyone can check schedules, project notes, and equipment lists in real time, so there’s less confusion and fewer mistakes. That directly translates into more efficient projects and happier clients.

You don't have complete control over all the data. And sometimes you have to wait for innovations you want to have yesterday.

**What do you like best about Rentman?**

The software was very easy to set up and the offered workflow is completely in line with our business requirements. Planning and executing projects, managing materials and customer specific pricing is very intuitive and easy to learn. Especially the integrated QR-code functionality and the mobile phone app make mobilization and demobilization of project materials very comfortable and easy. Since we use Rentman, we have never lost a single cable or screw.

**What do you dislike about Rentman?**

The functionality of the business cockpit (dashboard) is still very basic. I would love to see more possibilities to customize the widgets shown.

**What problems is Rentman solving and how is that benefiting you?**

We are organizing the complete workflow of a rental and service company for hydrographic survey equipment with Rentman. From warehouse to project management and all the way up to invoicing. Rentman replaces several software packages, we have used before: Project management, warehouse management, hours accounting (on projects), invoicing.

**What do you like best about Rentman?**

Once you get to know the program, it's pretty straight forward to use and helps us a lot. Since it's a online software, we can manage all our equipment and projects when we need. Mobile app is also very simple to use and our crew like the simplicity to see all the events related to them.
And the support is fantastic and quick.

**What do you dislike about Rentman?**

The learning curve is little steep, but once you get over it, you will enjoy all the options made possible. I would love to see dedicated mobile app for the superusers, but it's not a dealbraker.

**What problems is Rentman solving and how is that benefiting you?**

Greatest benefit for us is warehouse management and project planning. We can also assign different tasks to the crew right from the Rentman software.
Before we moved to the software we managed our warehouse in excel, so for us it's a great step forward :)

**What do you like best about Rentman?**

Rentman offers exactly the features we need as a rental company. The cloud-based nature allows us access to scheduling and personnel planning at any time. Personnel planning is also made very easy thanks to the app.

**What do you dislike about Rentman?**

Support for barcodes would be very useful for us. All our materials are labeled with barcodes. Unfortunately, Rentman only offers QR codes. This causes us a lot of work.

**Recommendations to others considering Rentman:**

Initially, we were hesitant to shut down a system we had used for years and switch to a new one. We used Easyjob for 7 years and created thousands of offers and invoices with it. But we used the new start with Rentman as an opportunity to "tidy up". Delete unused items and refresh the customer database. Importing the items (over 5000 pieces) was relatively easy thanks to Excel export from Easyjob and import into Rentman.

We manage our entire material planning and personnel planning with the system. We also create offers and invoices with Rentman. Through the flexible registration and deregistration of power users, we are always flexible and can minimize costs.

The new color scheme, it has a flavor of DDR, i'ts just boring (You are "orange" company with a bright appearance). And I don't like the way the left menu list is performing it was better before when you could decide small or big.

Some functions are too complex for you to set things up yourself.

A current manual or tutorials would be helpful. Alternatively, the team's email or phone support is excellent.

We can represent all the requirements for our rental business (construction industry) in a completely individual and tailored manner. From material planning, offer creation, delivery note and invoice issuance, dunning, repairs, customer management, correspondence... In short, we completely cover all requirements in one tool. And it's web-based, accessible from any online device. Rentman rules!

**What do you like best about Rentman?**

I haven't seen global online access to such a robust set of tools from any other provider.  From reserving and tracking equipment to scheduling people, the majority of functions are a breeze.  Updates are frequent and relevant based on an open online user community suggestions board.

**What do you dislike about Rentman?**

Because this is a SAAS solution, you are limited in customization.  There are a few key features that are important to me, but not to any of their clients, so it is unlikely that I will ever get those things that I'm looking for.  I would like to see a stronger focus on: annual inventory verification process, route planning, Outlook / Office 365 integration, Point-Of-Sale transactions, and CRM functions that are not connected to individual projects.

**Recommendations to others considering Rentman:**

Look at the total cost of system ownership.  In my 2 super-user deployment, there is no more cost effective system out there, especially if I were to pay for a support contract.  I'm sure that larger firms of 10+ superusers may benefit from an on-premise solution, but then you need to consider the costs and values of adding VPN access to your solution.  Also, before settling down on your solution, look into how many of your users would even need to have super-user access.  From my experience, there is no need for a warehouse staff member, or show-call worker to have a paid account, just sales, management, and accounting.  There really is a lot of functionality available at no charge for an unlimited number of users, with awesome security personalization options.

**What problems is Rentman solving and how is that benefiting you?**

Moving from our previous software suite, the mobile app and online access were key.  Staff scheduling and subhire management were also important features.  I also enjoy, but do not require, the beautiful dashboard and calendar views.  Using the system to email quotes and apply template verbiage to those emails has also become key to my workflow, significantly speeding up the quote and change-order processes.  Online signature pages are a Godsend.
