The request is really two jobs that pull toward different tools: prospect notes are a system-of-record job, and audience segments are a data-engine job. The catch without an ops person isn&#39;t setup, it&#39;s that a bundled tool like Apollo keeps notes in its own mini-CRM, so half your prospect history ends up there and half in the HubSpot or Salesforce the rest of the company runs, and nobody owns keeping them married. Worth choosing on whether notes and segment membership write back into the CRM you already use, since a second island is the maintenance cost a small team never budgets for.
