# What's the best knowledge management software for building an internal wiki?

I've been going through the Knowledge Management category for a project where the goal is to replace a pile of outdated Google Docs and half-finished Notion pages with something that actually behaves like a wiki. Most "best of" lists just repeat feature checklists, so I went through actual reviews instead to see what people use these tools for day to day.

Confluence comes up constantly for teams already living in Jira. Reviewers use it for SOPs, onboarding docs, and technical runbooks, and several mention it becomes the single source of truth once the page structure is kept tidy. The tradeoff people mention most is search getting messy as content piles up.

Notion gets used as a wiki through its nested pages and databases. One reviewer said it let them cancel two other subscriptions after consolidating their internal wiki and project docs into it. The flip side is a real learning curve for non-technical teammates setting up the page hierarchy.

Scribe isn't a wiki by itself, but reviewers use it to feed one. It auto-captures screen steps into guides, and people mention using it for SOPs and onboarding material that gets dropped straight into Notion or Confluence.

ClickUp shows up for teams that want documentation living next to their task boards instead of in a separate tool. Reviewers like not having to switch platforms, though a few say things can feel cluttered once a workspace grows.

Anyone here actually gone through a full migration from scattered docs into one of these? Did the search experience genuinely improve once everything was centralized, or did you just trade one mess for a differently organized one?

Knowledge Management reviews on G2 keep returning to the same tension: centralizing content is easy, keeping it findable is not. The real answer for most teams migrating into Confluence is that centralizing content fixes the where-is-this-document problem, but doesn't automatically fix search, since reviewers across different company sizes keep flagging the same pattern of search surfacing outdated or duplicate pages once a space grows large. What tends to separate a real improvement from a reshuffled mess is whether the team commits to page structure and naming conventions from the start, since users say the tool holds up fine when that discipline exists and gets messy fast when it doesn't.

The Jira integration seems to justify the migration on its own for engineering teams, since linking documentation straight to tickets removes a step; scattered docs are never handled well anyway. So the search tradeoff is real, but it has more to do with whether the migration included an actual structure plan than with the platform itself.
