&lt;p&gt;To the &quot;what forced a switch&quot; question: often nothing breaks technically at all. What breaks is trust. The first few times someone follows a documented process and it turns out to be two versions old, they stop searching and go back to asking in Slack, and from there the knowledge base is dead regardless of its search quality. Which reframes the platform choice: the differentiating feature for this company size isn&#39;t search or permissions, it&#39;s whether the tool makes staleness visible, through verification dates, owners, and expiry nudges, so a reader can tell a current answer from a fossil.&lt;/p&gt;
