Project and Portfolio Management Software Discussions
Hi G2, I run a small team, and every time I search for project and portfolio management software the results assume I need portfolio-level reporting and resource forecasting across dozens of projects. We don't. We just need task and timeline tracking that's easy to set up without a training week. Curious what's actually working for other small teams here.
- ClickUp: small business reviewers talk about time tracking, calendar syncing, and affordable pricing as the draw, though more than one mentions the platform gets heavy once you're juggling multiple clients or workspaces and could use a lighter starting template.
- monday AI Work Platform: small business users describe it as user-friendly with a big library of training videos that makes onboarding simple, and like the automation for reminders and due dates, though a few flag that AI features sit behind the higher-tier plans.
- Smartsheet: even at the small business end, reviewers say the spreadsheet-style interface feels familiar and easy to pick up fast, with pricing on advanced features being the tradeoff once you outgrow the basics.
If you're running a small team, did you end up outgrowing your lightweight tool and switching to something heavier, or has one of these stayed simple enough as you added more clients and projects?
Hey G2 community, I've been digging into project and portfolio management software for a mid-market team, somewhere in the 51 to 1000 employee range, and the search keeps splitting in two directions. Most tools either lean toward simple task boards that don't handle resourcing and reporting, or they go straight to enterprise-grade PPM with an enterprise price tag and a steep setup. What actually holds up for a team our size that wants solid dashboards and resource visibility without the overkill?
- Smartsheet: mid-market reviewers keep pointing to the dashboards and reports for tracking KPIs and sharing real-time updates, and several mention automations saving real time on manual work, though a few note that reporting setup takes some getting used to.
- ClickUp: mid-market users highlight the built-in dashboards, custom fields, and capacity planning as strong for day-to-day project oversight, though a couple mention it's missing deeper finance and schedule management once things get complex.
- Celoxis: this one comes up specifically for resource management in the mid-market segment, with reviewers describing how it centralized project planning, resource allocation, and progress tracking that used to live across spreadsheets and email, with a learning curve during setup being the main tradeoff.
For those running PPM at a mid-market company, how are you handling resource allocation across multiple projects without buying into an enterprise PPM suite? And has anyone found a tool where the reporting works well out of the box instead of needing heavy customization?
From what I've heard, most mid-market teams accept some upfront customization as the tradeoff for avoiding enterprise pricing, tools like Smartsheet and Celoxis get real reporting depth, but it takes real setup time to get there rather than working well right out of the box.
We’ve found Moovila easy to learn with a straightforward onboarding, and the ConnectWise integration plus calendar-based AI scheduling has been a big time-saver for timelining tasks and scheduling projects like onboarding and offboardings. Project templates also help us move faster and see ROI quickly. One challenge is how ConnectWise pulls ticket info from Moovila, and task email workflows land in the inbox differently than expected. How are others handling ticket syncing and task notification formatting?
