This tool had an advantage and capability of removing the panic of audit prep by putting every contract, risk management and document in one place. As a bank with 1.5 billion in assets, we have between the 70-80 different vendors we use at our institution to provide all our services. We average around 30 high risk vendors that require a full risk analysis of their security systems. With many of these vendors providing multiple services, I typically have 50-75 SOC reports, 10 financial reviews and 25-30 cyber reviews. All of these reviews would span over 2-3 months of work and up to 3 employees. But by utilizing the Venminder services, i am able to cut that down to under 1 month of analysis to prepare the annual risk review. **What do you dislike about Venminder?** We required an IT risk solution to review our physical assets. it was not available at the time we selected the vendor review system so we chose another solution for those services. **What problems is Venminder solving and how is that benefiting you?** We are able to outsource all of our SOC reviews and financial reviews. They also partner with a 3rd party to help us perform the cyber security reviews on a monthly basis. ### 6. I was new to vendor management (and I am still learning) since I started working as our Executive Assistant. The Venminder team has been very helpful and willing to suggest ways to improve our risk management program as well as provide training when needed. **What do you dislike about Venminder?** The user interface can be intimidating at first, especially to those who don't have prior experience with vendor management software. However, the Venminder team is always willing to help navigate. The cost is on the higher side compared to similar services, which might deter some clients. There is a minimum flex fund balance in addition to the annual fee, which can be used for add-ons and to automate certain functions. For smaller organizations with limited budgets, these tools might not be necessary but since there is a minimum balance, you have to use some services. There are somewhat limited settings for reports you can pull as well, which can make it difficult to read a report without spending more time on it. The reports are created as a spreadsheet file though, so once you have downloaded it, you can edit the view for printing in that software. This just adds another step. There are some unnecessary tasks that are added for some of our vendors. We can pay for an add-on to limit the tasks for certain types of vendors, but the cost is pretty high. I would be more vigilant in setting up the correct tasks and reminders for vendors when we first add them so we don't have to manually change the tasks at this point, when we have had these vendors for a long time. **What problems is Venminder solving and how is that benefiting you?** It is convenient to have all our contracts in one place and know we have support if we need it. The tools are very helpful with the option to automate due diligence and the Venminder team helps us to collect due diligence documents when needed so we aren't spread too thin with other tasks. ### 7. It is SaaS based so there no setup required. Just work with the implementatin team to get familiar with it and everything is good to go. The platform is very intuitive and easy to use. It also allows for some customization which is great. For examples, one can add additional fields to a vendor dashboard. Also one can create custom questionnaires that can be send to vendors during the onboarding process. Over time the platform has seen a lot of new features and improvements. The staff of Venminder is very knowlegdebable about the product and always very helpful. I like our monthly cadence calls with our CSM. It is always great to talk with her and usually new ideas emerge during those calls. **What do you dislike about Venminder?** No real dislikes that I can come up with. There are some minor cosmetics that could be changed maybe. You can easily filter what contracts are coming up for renewal, what vendors you manage, etc. We went through our first regulatory exam last year while using Venminder. Our examiner had never heard of Venminder and was super impressed. Implementation was easy and customer support is the best. We love the interface, it's easy to use and intuitive for new users. It's a great solution to help us key in contract dates and set up notificaitons so we don't miss a date. It's really a full suite of applications and servers 99% of our needs without having to purchase additional modules. Pricing seems comporable to others I've used in the past for what you get, we just need to use it to more of it's potential and so far it's been very helpful in getting us on track with our vendor due dilegence requirements where we're not just doing it to check the box but it's helping us avoid risk. **What do you dislike about Venminder?** When exploring other services and add-on's it refers you to Talk to Sales where I prefer a little more self service when trying to access demo's, view pricing and add services without needing to speak with a rep. When I have talked to our rep or support it's been great, but sometimes it's helpful to do it on my own. **What problems is Venminder solving and how is that benefiting you?** It's great for contract lifecycle management but it's really helpful at keeping all the different business units together in how we manage vendors. The benefits of logging vendors and their respective risk information in Venminder Exchange isn't even comparitive to the old, outdated way of saving everything in a folder. Additionally, by outsourcing assessments to Venminder, our Vendor Management team saves time and money. With this service there is not a need to review the information ourselves or hire employee(s) who specialize in particular areas. Lastly, there has never been a better way to send questionnaires to vendors than using the questionnaire feature in Venminder. Fully customizable, directly sent out of the platform, progress tracking, completion notification - what more could you ask for? **What do you dislike about Venminder?** There are not many things to dislike about Venminder, in fact, only one thing comes to mind. Venminder, like all companies, must complete updates to their software, and unfortunately, sometimes this causes random bugs in the Exchange platform. If our team notices something off, or a feature not working properly, we contact support and the fix is usually taken care of in a day or two. **What problems is Venminder solving and how is that benefiting you?** Venminder solved our problem of manually tracking and risk rating vendors. This is beneficial because our institution maintains around 500 vendors/products. The Control Assessments are a great help for a lean TPRM function and take some of the load off. Each CSM I've had has been abundently helpful and quick to help any time it's needed. The interface is easy to use and move through and implementation is a breeze, with Venminder being more than willing to schedule a call anytime it's needed. Outside of you CSM, the customer service chat function within the system is incredibly helpful if you have an immediate need. **What do you dislike about Venminder?** I have very few complaints with the system, and Venminder is always open to suggestions and often implements user suggestions! That said, it would be nice to have a bit more role-based access, and until recently, I would have also said that the contract module could use a bit of work as there was no way to identify parent-child contracts, but they've recently made updates to the system that do allow for that! **What problems is Venminder solving and how is that benefiting you?** Venminder Control Assessments have helped us conduct more concise reviews that allow our SMEs to have the time freed up for other tasks while still fulfilling the need to ensure safe and sound third party relationships. If continued on a 2nd day, the questionnaire freezes and staff is unable to continue. **What problems is Venminder solving and how is that benefiting you?** Venminder helps me to organize and complete the required due diligence on the critical vendors. We are able to involve several staff by assigning product ownership to them and requiring that they complete the Risk Assessment for each of their respective products and services. Venminder helps me to schedule required due diligence for the critical vendors and to email the respective product/service owners on a regular basis. ### 22. It makes tracking them easier, especially at my firm where a lof of the product managers don't have the capacity to dedicate much time or attention into contract emails. Venminder itself is a pretty straight forward tool to use and like the ease of adjusting contracts, adding vendors and products, and running reports. Another aspect of Venminder that is really great is our account manager, Daniel Knigge. He has always been very communicative, quick to respond, and checks in with us often to see if there is anything we are needing! **What do you dislike about Venminder?** One thing that I really disliked last year when doing our annual due diligence was the amount of time and manual effort it took to send questionnaires individually and set up a schedule. It seems that changes have been made on the Venminder platform to better support this, and am looking forward to seeing how it has been improved. Another thing I think could be improved is the accuracy of contract processing by the Venminder team. There was a period of time last year where we heavily relied on Venminder to input contract details, and now I dont think it's worth it becuase of how much it had to be checked and readjusted.
