What I like most about SettleUp Pro is its mobile‑first AI‑powered receipt capture and straightforward reimbursement submission flow, which fits my busy role as a Client Relationship Executive at EuroTrade Mannheim, our 28‑person German import‑export SME. I spend a lot of my time out on the road for client site visits and trade‑fair events, rarely sitting at my desk to sort out expense paperwork. Right after a client dinner, taxi ride or small trade‑fair supply purchase, I can quickly snap photos of receipts on my phone right after expenses occur, and the AI automatically reads out merchant names, dates, and amounts. The project tagging and approval‑tracking workflow is also very useful, as I can assign each expense to a specific customer or project and see in real‑time whether my claims are pending, approved, or need edits. Before we adopted SettleUp Pro and were still using Roomex plus messy Excel spreadsheets, I had a bad experience at a regional import‑export trade fair. I collected multiple paper receipts for client hospitality meals and local transport, and one of the dinner receipts from a local restaurant slipped out of my folder and got lost. I had to guess the exact amount when submitting reimbursement, and finance rejected my claim. I wasted hours reaching out to the restaurant for a duplicate receipt, which pulled me away from customer calls, business negotiations and order follow‑up. This setup frees me from hoarding stacks of paper receipts in my briefcase and significantly reduces manual reconciliation hassles, ensuring I can focus more on core customer communication and closing business deals instead of firefighting receipt‑related issues. What do you dislike about SettleUp Pro? The export module has persistent character‑encoding issues, with German umlaut characters in customer‑project names and city names like \*München\* or \*Köln\* often becoming garbled into broken symbols inside PDF and CSV outputs. This requires me to manually open every report, proofread and correct corrupted entries line‑by‑line. During one busy month‑end that overlapped with trade‑fair preparation, this correction work took close to two extra hours that I should have spent handling client inquiries. Another downside is the lack of pre‑configured expense‑reporting templates for German import‑export SMEs, so I have to manually adjust columns, filters and date ranges and set up reports from scratch every time, which takes up significant time and increases the chance of human error. Once I accidentally omitted the customer project code column on a finance export, causing short delays in their reconciliation work. There is no native integration with our CRM Bitrix24, meaning I have to copy‑paste expense data manually over to customer project records, adding to my workload. During a high‑pressure sales phase with multiple ongoing negotiations, I forgot to transfer a batch of approved expense entries and created gaps in our client‑cost tracking. Also, the initial setup was labor‑intensive, with no expense‑policy presets specific to import‑export sales teams. I needed to manually build categories for client hospitality, trade‑fair supplies and travel allowances from scratch. Some advanced customization menus are only available in English, confusing some of our native‑German‑speaking team members, so they often come to me for support. Additionally, there's no bulk‑import feature to migrate historical expense records we inherited from Roomex, forcing manual entry for old records, which is very inefficient for our small sales team. SettleUp Pro solves some of the biggest real‑world frustrations I faced under our old hybrid Roomex‑and‑Excel workflow. Back then I carried around piles of physical receipts everywhere, and losing paper slips was a constant risk. I still clearly remember that trade‑fair incident where I lost a restaurant receipt for a client business dinner. I could not provide proper proof of purchase, my reimbursement got held up, and I lost valuable working time chasing duplicate documents instead of advancing client talks and order follow‑up. Now SettleUp Pro saves me from losing receipts or making guess‑work errors by letting me snap photos of them on the go the moment I incur a cost. Its AI extracts key data such as merchant, date and total amount automatically, greatly simplifying reimbursement submissions. I can tag every single expense to corresponding customer projects, add short business‑purpose notes, and monitor approval status inside one platform, reducing chaos in expense tracking. Finance also receives more complete, standardized claims, so there are far fewer back‑and‑forth queries on my submissions. That said, important pain points still remain. Garbled German special‑character exports need manual fixing, there is no Bitrix24 sync so manual copy‑paste can create tracking gaps, missing SME‑specific templates and no bulk‑import for legacy data add setup overhead. Even with those drawbacks, SettleUp Pro eliminated the worst parts of our old receipt‑chasing routine and helps me keep my client‑facing work as the main priority.
