PolicyTrak Reviews & Product Details

COMPANY DESCRIPTION PolicyTrak was built for compliance officers, HR leaders, and operations teams who spend too much time chasing employee acknowledgments, tracking down outdated policy versions, and scrambling to update documentation every time a regulation changes. We built the platform that makes policy management proactive rather than reactive — and compliance audits an event you are always ready for, not something that catches you unprepared. PRODUCT DESCRIPTION PolicyTrak is an all-in-one policy and SOP management platform for multi-location businesses and regulated industries. We centralize policy creation and version control, automate employee acknowledgment tracking with e-signatures, monitor regulatory changes across all 50 states via Law Watcher, run AI compliance gap analysis against your existing policy library, support location-based policy assignment, integrate with your HRIS, process scanned legacy documents via OCR, and deliver real-time compliance notifications through Slack and Microsoft Teams — all in a secure, GDPR-compliant platform with immutable audit logs and passwordless employee access. WHAT WE DO PolicyTrak replaces the shared drives, email attachments, printed policy binders, and disconnected acknowledgment tracking that most organizations use to manage policies and SOPs — and that leave compliance teams exposed when an auditor asks for proof that every employee at every location received, read, and acknowledged the current version of a specific policy. Our platform ensures every policy is versioned, every employee acknowledgment is tracked with a timestamp and e-signature, every regulatory change that affects your policies is flagged automatically, and every audit request is answerable in seconds rather than hours. KEY FEATURES Policy and SOP Creation and Management Rich text editor for creating policies and SOPs directly in the platform. PDF upload with text extraction — including OCR for scanned legacy documents — so existing policy libraries can be onboarded without retyping. AI-powered grammar and spelling checker during drafting. Document categorization with tags, hierarchical category structure, and full-text search across all policies. Draft, Pending Approval, and Active status workflow with multi-level approval routing before any policy goes live. Version Control and Audit Trail Full version history for every policy and SOP — every change, by every user, at every timestamp — with the ability to view and restore any prior version. Immutable audit logs capture every document creation, edit, approval, publication, and acknowledgment event. When an auditor asks whether an employee received the updated HIPAA privacy policy before a specific date, the answer is in the audit log in seconds. Employee Acknowledgment Tracking with E-Signatures Employees receive notifications when new or updated policies require their acknowledgment. E-signature acknowledgment is captured with timestamp, device, and IP address for each employee at each location. Managers see real-time acknowledgment status — who has acknowledged, who has not, and how many days are overdue — with configurable escalation alerts for unacknowledged policies. Passwordless Employee Portal Employees access their assigned policies and acknowledgment queue through a passwordless OTP-based portal — no account setup, no forgotten passwords, and no friction that reduces acknowledgment completion rates. The portal is mobile-optimized for frontline workers and supports custom branding per tenant with logo and color configuration. Location-Based Policy Assignment Assign policies and SOPs to specific locations, regions, or the entire organization — so employees at each site see only the policies relevant to their location, and location-specific regulatory requirements are reflected accurately. Auto-assignment rules apply the right policies automatically when new locations are added. Law Watcher — Regulatory Change Monitoring Law Watcher monitors regulatory changes across all 50 US states and surfaces alerts when new laws or regulatory updates may affect policies in your library. Compliance teams receive proactive notifications rather than learning about regulatory changes from a violation notice or audit finding. AI Compliance Gap Analysis PolicyTrak's AI analyzes your existing policy library against regulatory requirements for your industry and jurisdictions and identifies gaps — policies that are missing, outdated, or not aligned with current regulatory language. This turns compliance gap identification from a manual, annual review process into an ongoing automated scan. HRIS Integration PolicyTrak integrates with your HRIS so that employee records, job titles, and location assignments stay synchronized — new employees are automatically assigned the correct policies for their role and location, and departing employees are removed from active assignment queues without manual cleanup. Slack and Microsoft Teams Notifications Policy publication notifications, acknowledgment reminders, and overdue escalations can be routed through Slack or Microsoft Teams webhooks — reaching employees in the tools they already use rather than requiring them to check a separate system. GDPR Compliance and Role-Based Access PolicyTrak is GDPR-compliant with role-based access control ensuring sensitive policy and employee data is accessible only to authorized personnel. Enterprise customers can configure white-label branding for a fully branded compliance portal experience. Most policy management tools focus on document storage and acknowledgment tracking without regulatory monitoring or AI gap analysis. PolicyTrak gives compliance teams both the documentation infrastructure and the regulatory intelligence to stay ahead of changes — not just manage the paperwork after they happen.
