**What do you like best about FileCap?**

FileCap has been helpful for sharing and managing files in a more organized way. I started using it a few months ago, and one thing I liked was that file transfers felt simple without needing too much setup or technical knowledge. It was useful for sending project related files securely and keeping uploads manageable for team collaboration. The interface also feels straightforward, so daily use does not become confusing or time-consuming.

**What do you dislike about FileCap?**

One thing I did not like was that some parts of the interface felt a little outdated compared to other modern file-sharing platforms. In the beginning, it also took some time to understand certain settings and sharing options properly. A few additional customization and preview features would make the experience smoother for regular team collaboration.

**What do you like best about FileCap?**

Honestly, I went into this looking for holes because thats what I do. But FileCap surprised me. We were using standard encrypted email for client docs, but the moment file sizes went over 50MB or we needed to send something with PII, everything fell apart. The Outlook plugin is the biggest win for us. I hate asking my team to change their workflow just for security, but with this, they literally dont have to. It sits right there in the ribbon. You hit send, it handles the encryption in the background, and you dont get those annoying bounce-backs because the file is too large. I also really like that the data stays in the EU. From a compliance standpoint with GDPR, that takes a massive weight off my shoulders. The audit trail feature is tight. I can actually see who opened what and when, which helps when clients ask "did you get my contract?" It just works.

**What do you dislike about FileCap?**

The initial setup of the business rules took a minute to wrap my head around. Setting up the "Always with FileCap" lists vs the exclusions is powerful once you get it, but the admin UI feels a little dated compared to the slickness of the Outlook add-in.

**What problems is FileCap solving and how is that benefiting you?**

The core problem is the gap between "secure" and "usable." Previously, we had developers trying to zip and password-protect files, or using WeTransfer, which honestly scares me from a liability standpoint because you have zero control once that link is live. FileCap solves the "shadow IT" problem. Now the team uses one approved method. It solves the risk of data leaks on our end. If we send a spec document to a vendor, I can set it to expire in 7 days. If a client sends us a file with personal data, I know it landed in a secure portal, not some random unencrypted mailbox. For me as CTO, the benefit is peace of mind. I dont worry about fines from regulators anymore regarding how we transmit data, and I dont waste time fighting with email servers over attachment limits. It just removes the friction so we can actually get work done.

What I like best about Filecap is how effortless it makes sharing files with clients. The interface is clean and straightforward, the learning curve is easy and I can send files quickly to clients. I also feel the security and privacy features, which give me confidence that sensitive client files are safe while sharing. Additionally, the onboarding process is smooth and well-supported with the setup being straightforward and the support team was helpful in getting everything up and running quickly. This saved me time, and eliminates the need for third-party workarounds.

The upload and download speeds can sometimes be slow, especially  when dealing with large files. this can be a bit frustrating while you are working on a project with time sensitive data that needs to be shared with client. While FileCap offers good value for its security that cost to me feels high for smaller businesses or individual users who only need basic file sharing. it will be great to see more flexible or affordable plans.

FileCap solved the problem of sharing large, sensitive files with client securely.The seamless integration with tools like Microsoft Outlook makes it easy to fit into my existing workflow without disrupting day-to-day operations. Our team relies on FileCap every single day to share high-volume, regulation-bound trade documents safely with international partners. Before adopting this tool, we constantly ran into classic email headaches: rigid attachment size caps, bounced messages, and full mailboxes killing delivery entirely. Its native Outlook integration is hands down my favorite feature. Instead of detaching files or switching to a separate platform, we simply use the built-in add-in to turn bulky attachments into encrypted shareable links. Recipients access files directly via the link with zero complicated setup on their end, cutting down on delivery errors dramatically. As a business operating under USMCA rules, the built-in audit logging is invaluable. Every file download is stamped with a precise timestamp and full activity history, so we never have to sift through thousands of sent emails to pull compliance records for audits. The workflow stays familiar for the whole team too — there’s no new dashboard or complicated software to learn, just a simple click of the FileCap button within Outlook to drag, upload and encrypt files automatically. As a team handling customer feedback and market research data, we rely heavily on secure file distribution, and FileCap’s GDPR-aligned framework is its greatest strength. It comes pre-configured to meet German data protection requirements, with role-based access rights, time-limited sharing links and comprehensive activity logging built right in. These features let us fully control who views, downloads or forwards sensitive customer survey data, and the detailed tracking records drastically cut down the time we spend preparing for regular compliance audits. The platform is also incredibly intuitive. Both our in-house research staff and external clients get up to speed immediately, with no lengthy training sessions required. Even when transferring large aggregated survey datasets and lengthy research reports, file transfers remain stable and consistent, so our customer experience projects never face unnecessary delays. Having all file sharing centralized in one dedicated tool has also helped us move away from scattered sharing methods and standardize workflows across the entire department.

FileCap works well for basic secure sharing, but it has several limitations that impact our day-to-day research operations. Its native reporting functionality is very basic; we can only view simple file activity logs, with no option to build custom analytics. We cannot correlate file access trends with individual customer experience projects, which means our team has to manually compile and analyze data for internal performance reviews. Native integrations are another weak point. We use Zigpoll for all customer surveys, yet there is no direct connection between the two platforms. Moving survey raw data and finished reports back and forth requires constant manual uploading and downloading, creating repetitive extra work. Folder permission settings also lack flexibility. We organize research materials into project-based main folders for different clients, but we cannot apply unique access rules to individual subfolders inside them. To keep sensitive data isolated, we are forced to create numerous separate top-level folders, which gradually clutters our overall file structure and makes navigation harder over time. On top of that, the notification system only sends generic alerts for file access or sharing events. There is no way to set custom alerts for high-priority research files, nor can we filter notifications by user, project or file category. Our team wastes time sorting through a stream of irrelevant alerts to identify critical activity.

What I appreciate most about FileCap is its built-in DSGVO-first design paired with granular access control and secure temporary sharing features, which perfectly fit our dual workload of confidential HR administration and proprietary e-learning asset management at Business Academy Ruhr GmbH. First and foremost, all data is hosted on German local servers without any cross-border data transfer outside the EU. This eliminates nearly all compliance worries for our highly sensitive personnel files such as payroll sheets, employee tax documents, and trainee identity records. Unlike mainstream cloud storage that requires complicated privacy configuration to meet German education regulatory standards, FileCap’s encryption, data retention rules, and audit logs come pre-set to satisfy local data protection requirements. When external auditors review our personnel archive storage each year, I can instantly export complete access activity records from FileCap to prove proper data handling, which drastically cuts down audit preparation time. Its layered folder permission system is another standout feature. The customization options for branding and the overall user experience feel somewhat limited. Because of these limitations, we worry that our data could go somewhere without our permission. If there were more branding options, we would also feel more secure.

**What do you like best about FileCap?**

I like how secure and reliable FileCap is for sending large files. The standout features for me are strong encryption, no attachment size limits, and control over how files are shared, like setting expiration dates and download limits. It’s also easy for recipients to access files without complicated steps, which makes sharing large documents much smoother.

**What do you dislike about FileCap?**

I think the user interface design could be more intuitive and modern, which would make it easier for all users. Sometimes, the performance in terms of upload and download speeds can be heavily dependent on network quality, which can be a bit frustrating. Integrating with Outlook/Office 365 required a few extra steps and clear instructions. There were challenges with add-in deployment as it took time and needed admin permissions. Initial sync issues with user accounts were present and the settings for security and file size rules were confusing. Additionally, there was limited in-app guidance during setup.

As a user I found the user interface and user experience to be really nice and intuitive, many of these security solutions aren't very appealing to the eye, FileCap is also really good for data compliance and control, you can track files to ensure there has been no interceptions and even set expiration dates to lock the file completely after a certain point.

**What do you dislike about FileCap?**

Whilst using FileCap I had a pretty basic corporate laptop and due to the specifications of the laptop and the complexitiy of FileCap I noticed some severe and degrading performance issues at times, this may not be an issue on more powerful machines but it was for my laptop.

FileCap made it really easy to be compliant with GDPR here in Europe as they handled all of these requirements on their end, the large file size for emails is also a nice feature the standard 10MB on Outlook can often be an issue but not with FIleCap.

I have always really enjoyed using FileCap. My reasoning for this is that it is a very effective and the added security makes me feel safe when sending important documents. I wouldn't want to send these documents without the security that FileCap gives.

The only downside of FileCap that I can think of is that it does tend to run a bit slow sometimes. However, this could simply be the setting in which I am using it. My office space may not have the best internet.

Best thing for me is I can send the large 4k resolution videos to my fellow employees securely. Users can open the files if and only if they have the required password. I can even send the videos and photos encryptedly.

There is not much to dislike with the FileCap application but if there were more integrations other than outlook and Microsoft tools. It will be great if they integrate with gmail.

The best thing about this product is the simple add-in for Outlook that enables all the functionality. In addition to it, I can use it for my other emails as well.

It cant be used currently on Google Chrome, but I have heard that their Development Team is currently working on it, and the functionality through the Google Chrome browser will be enabled in the future.

**What problems is FileCap solving and how is that benefiting you?**

You usually have issues when sending large files because there is a limit of attachments on email servers. I can send large file sizes in any format without limitations.

Being able to send multiple large files within an email & not having it bounce back due to attachments being too large. The Plugin for MS Outlook is very handy & user friendly

A couple of my emails ended up in the receipients SPAM folder, however upon 'whitelisting' the domain this resolved the issue. Sometimes a little slow to upload however this may be my internet connection

Sharing large files amongst teams both internally and externally, without needing to worry about the file size. Being able to password protect the content is also advantageous
