DocuKlaud Modern Document Management for SharePoint is an advanced solution designed to empower organizations in optimizing their document classification, review, approval, signing and archiving processes through flexible and efficient workflows. All documents and data remain in your organization's own Microsoft 365 tenant, keeping your organization in full control of its information. With a robust set of features, DocuKlaud offers a comprehensive document management experience: Automate Your Document Lifecycle - Custom Workflows: Design custom approval workflows. Define specific stages and determine whether approval is required from all participants at each stage or only from the first approver or rejector. - Internal and External Approvals: Each approval stage can be defined as internal or external. External participants are added as contacts and receive unique links to review and approve documents — no account or license required on their side. - Electronic Signature: Integrate signature stages into your workflows using DocuKlaud's built-in Simple e-signature or the native DocuSign integration under a bring-your-own-license (BYOL) model: connect your organization's own DocuSign account to send, sign and track envelopes directly from the workflow, with both internal and external participants. - Document Templates: Create documents from predefined templates, automatically filled with the information you enter in the form when uploading a document. - Advanced Version Control: Customize your own version naming, allowing you to keep a clear and organized track of your document iterations. - Document Coding: All documents are automatically assigned a code based on the hierarchical configuration of the folders. - Batch Upload: Mass tag your documents and submit them for approval workflows in a single action. - Transmittals: Formal tracking of document delivery to your stakeholders, ensuring that communication is smooth and well-documented. - Expiration Management: Get a panoramic view of documents that are nearing their expiration or have already expired, helping you maintain effective control and take timely action. Find and Understand Documents with AI - DocuKlaudGPT: Uses artificial intelligence to let users ask questions and get answers about the content of a document. Supported formats: docx, pdf (with searchable text), csv, and txt. - Optical Character Recognition (OCR): Convert scanned PDF documents that are not searchable into searchable documents — enabling content search and DocuKlaudGPT queries over your scanned archive. - Custom Fields: Incorporate custom tags and fields for document classification, adapting them to your specific requirements. Govern with Full Control - Flexible Permission System: Set specific authorizations for your main folders and maintain rigorous control over access to information. - Detailed Document History: Access a complete history detailing previous workflows and the actors involved in each stage of document review — a transparent, auditable view of the entire process. - Customize Your Corporate Identity: Configure your company's logo and colors to have the platform match your brand's image.
