Dench CRM provides a comprehensive solution for managing complex AEC projects, offering features such as customizable project fields, layered permission groups, and immutable activity logs. These tools facilitate seamless collaboration among architects, engineers, and municipal authorities, ensuring compliance with GDPR regulations and reducing administrative burdens.

**What do you like best about Dench CRM?**

I really value Dench CRM’s bundled deployment support and flexible record‑handling structure for our architecture and urban‑planning workflows at ArchiPlan GmbH. As Project Coordination & Digital Workflow Manager, we work closely with their in‑house implementation team to reshape the platform around our real‑world needs: municipal authority consultations, tender discussions and multi‑party engineering coordination, rather than sticking to its default sales‑oriented setup. Our firm is around 110 employees, and we do not have a dedicated CRM specialist on staff, so that hands‑on deployment assistance makes a world of difference. The implementation consultants helped us build custom project fields for tender phases, zoning feedback and BIM‑review status, plus layered permission groups for senior architects, junior coordinators and external engineering partners. I still think back to that mixed‑use urban‑development project last autumn, where zoning feedback got trapped in a junior coordinator’s spreadsheet and caused major tender delays when we were on monday CRM. A few months after we went live with Dench CRM, one of our junior staff tried to adjust GDPR‑controlled data‑retention settings on a large city housing project record. The permission guardrails blocked that change right away, shielding us from potential compliance violations with our public‑sector client. I also depend heavily on its immutable activity logging for our regular GDPR audits. When our data‑protection officer carried out a recent review of municipal project records, I pulled full edit trails directly inside Dench CRM. I could instantly verify who added stakeholder comments and when updates occurred, without chasing team members or digging through old email threads and spreadsheets. We add cross‑system references inside each project record pointing to PowWowNow meeting logs and DRACOON where we store BIM models and confidential construction contracts. All in all, guided implementation support, strict access boundaries and transparent activity logs keep our multi‑stakeholder architectural projects running smoothly. We avoid repeating those costly missteps with municipal partners, and our client‑facing communication stays fully aligned with German GDPR requirements.

**What do you dislike about Dench CRM?**

Even though Dench CRM delivers solid core value for our architecture firm, several shortcomings create repeated manual work for me in my day‑to‑day role. To start, there are no native saved filter presets built for AEC‑specific scenarios: active tender projects, municipal authority assignments, BIM review coordination or private developer commissions. Not long ago our data‑protection officer requested a complete audit overview covering all active municipal urban‑development projects. Dench CRM only allows searching by exact partner name or project title. I exported the full dataset of project records and manually sorted thousands of rows inside Excel to filter out all municipal‑related entries. That tedious filtering took close to two hours just to compile the documentation required for our GDPR audit. Multi‑month bulk exports also hit frequent timeout failures. When I attempted to generate one consolidated log of tender feedback and stakeholder correspondence for our quarterly internal project review, the export process would abort halfway through. My workaround is running multiple smaller date‑range exports and manually combining the spreadsheets afterwards. To make matters worse, the cross‑system references we link to PowWowNow meeting records and DRACOON BIM repositories do not carry over into exported files. I have to copy and paste those links back into each spreadsheet entry one‑by‑one after export. We also run into occasional German umlaut rendering glitches within custom project fields. A couple weeks ago a coordinator logged details for a `Stadtentwicklungs‑Wettbewerb` urban planning competition; special characters became garbled after saving. Our design team saw corrupted text while preparing for a remote review meeting, so I needed to go in and correct those entries manually. These pain points do not make Dench CRM unusable, but industry‑specific saved filter views, stable background export jobs and proper preservation of cross‑system links would cut down massive amounts of repetitive admin work for our 110‑person architecture firm.

These improvements would significantly reduce repetitive administrative tasks and improve overall efficiency.

**What problems is Dench CRM solving and how is that benefiting you?**

Before we moved over to Dench CRM and relied on monday CRM, all stakeholder feedback, tender remarks and municipal authority updates were scattered across spreadsheets, email chains and isolated notes. There was no unified central location for our whole team to track project requirements. I still recall that stressful mixed‑use urban‑development project for a local municipal authority last autumn. One of our junior coordinators logged updated city zoning feedback only inside a personal spreadsheet. The rest of our design team never received that critical update. We created preliminary construction drawings based on outdated rules. Once we submitted those drafts, the municipal engineering department pointed out the inconsistencies. That error pushed our tender schedule back significantly, damaged our relationship with the public‑sector partner, and forced our architects to work heavy overtime hours reworking full layout plans. On top of project delays, putting together evidence for GDPR audits was extremely time‑consuming; I had to chase staff across different departments to gather scattered files and email snippets, manually building timelines for confidential project data handling. Now all client consultations, tender discussions, engineering‑partner input and municipal correspondence are captured centrally within Dench CRM project records. Layered permission rules prevent junior staff from accidentally altering sensitive project metadata or GDPR retention settings. We build cross‑system references linking each project entry to PowWowNow meeting logs and DRACOON secure document storage holding BIM files and contracts. Immutable activity logs automatically record every edit to project records, and we configure proper GDPR‑compliant data‑retention policies inside the platform. For our 110‑person firm, the real gains are clear. Costly project delays caused by overlooked stakeholder feedback are far less likely to happen. Our collaboration with municipal authorities, engineering consultants and private developers is much more consistent. I no longer waste hours hunting across disjointed systems to assemble documentation for compliance reviews, and every project maintains full traceability under German GDPR rules.
