CertiFlow Reviews & Product Details

CertiFlow is a compliance management platform that helps franchise groups, restaurant and QSR operators, and other distributed workforces keep every employee document current, verified, and audit-ready. If your business runs multiple locations and depends on staff certifications, delivery-driver paperwork, or regulated training, CertiFlow replaces spreadsheets, shared drives, and manual reminder emails with a single system of record. The platform tracks employee certification requirements end to end: it provisions the exact document slots each role needs, ingests uploads, and uses OCR and document intelligence to read expiration dates, license numbers, and VINs straight off the file. Automated expiration monitoring sends escalating email reminders to employees, managers, and admins before a certification lapses, so compliance gaps get closed before they become liabilities. A two-step review workflow lets administrators approve, reject, or request updates on each submission, with a full version history and tamper-evident audit log behind every decision. CertiFlow is built for delivery and personal-vehicle-driver compliance. It manages vehicle registration, auto insurance, and inspection requirements per vehicle, validates that uploaded documents match the vehicle on file, and flags non-compliant drivers instantly — critical for operators carrying hired and non-owned auto (HNOA) exposure. Native HRIS integration keeps rosters accurate without double entry. The Paycor sync imports employees, work locations, job titles, and employment status on a daily schedule, automatically deactivating terminated staff and preserving records through mandated retention windows. Compliance data integrations pull inspection and audit results from field-operations tools like Zenput and reconcile them against certification requirements. Multi-tenancy and role-based access control (admin, district manager, manager, employee) mean each location sees only its own people, while regional leaders get roll-up visibility across their territory. Organizations get configurable notification preferences, location-level compliance scoring, and dashboards that surface exactly who is missing what. Key capabilities: employee certification tracking, automated expiration alerts, OCR document extraction, vehicle compliance management, Paycor and HRIS integration, audit logging and data-retention controls, multi-location reporting, secure document storage, and self-serve onboarding with email invitations. CertiFlow is offered in tiered plans scaling from certification tracking to full document verification and integrated workforce compliance, so growing operators can start simple and add automation as their location count and regulatory burden increase.
