Its the MicroManager Karen of Systems. **Rating:** 3.0/5.0 stars **Reviewed by:** Verified User in Construction | Mid-Market (51-1000 emp.) **Reviewed Date:** August 31, 2021 **What do you like best about DataForma?** Ability to write out contracts with templates that can be downloaded into Word to personalize contract. **What do you dislike about DataForma?** Everything Else. It takes an average 6 clicks just to see the information that you want. Plus the added frustrations of the App not being able to upload PDFs and needing a different app to illustrate on pictures before uploading on the regular app. Make a mistake and need to delete, well to bad because administration is the only one that can delete. Need to look at all the photos? Get ready to download them or look at them one at a time....you can also do the slide show but forget about zooming in/out on the photo besides the fact that this will only open to about 1/4 of your screen. Want to organize the photos? Good luck cuz they need to be in numerical order, so that is lots of fun! (Hope you can sense the sarcasm.) The phone app also does not sync up with the project so if you call/text/email your client you have to do double entry into Dataforma instead of it automatically logging in the event. The program does not sync up with Google Mail, Contacts nor Events so if you utilize Google then double entry again. The program does not synch up with Quickbooks either so need to do a Purchase Order get ready to do the Order in Quickbooks, Email that out, Download then upload it into DataForma Docs then go back and write down a note and you best believe that the docs, note are different windows. Do your PMs get an email when you update the notes? Of Course Not. You will have to open up another window, the email window and send that out. Does not assist in efficientcy. **What problems is DataForma solving and how is that benefiting you?** The company moved from PipeDrive to DataForma with high expectations that this was a more Production Department and Accounting Department Friendly program even though it was not that Project Manager friendly (in comparison to Pipedrive). What benefits we realized? Unfortunately, NONE: Commercial Dept utilizes Ghantt Chart Only; Residential Dept went back old school to XCell and Accounting Department does use the payable and receivable sections, but solely as a notification to managers of invoices/payments, they still use Quickbooks. ### 2. DataForma is a comprehensive platform for the management of construction services. **Rating:** 4.5/5.0 stars **Reviewed by:** Jairo C. | Mid-Market (51-1000 emp.) **Reviewed Date:** April 17, 2023 **What do you like best about DataForma?** I think that what I like the most about DataForma is that it allows to create and manage construction projects in an easy and fast way, besides controlling budgets and project resources. **What do you dislike about DataForma?** DataForma is quite expensive compared to other project management tools such as Microsoft Project, if they would adjust their licensing and service prices it could be a little more accessible for medium sized companies and could even reach other markets. **What problems is DataForma solving and how is that benefiting you?** has allowed the management of projects from 1 to 5 at the same time, but has no limits according to the license that is acquired, through its graphical interface you can validate the progress of each project validate the tasks and resources and budgets and resources allocated to each project, which facilitates the management, administration and cost savings. ### 3. From the mobile app to the detailed building history, it provides us a clear picture of our customers and their needs. **What do you dislike about DataForma?** Can be cumbersome for new users. New updates seem to fall behind schedule. Would like customers to have the ability to report service calls through the mobile app. **Recommendations to others considering DataForma:** Be patient, but consistent. It takes a long time to bring everyone on board. **What problems is DataForma solving and how is that benefiting you?** Scheduling our repairs and maintenance work orders and assigning them to technicians has never been easier. Dataforma cuts down on the endless phone calls and gets the information out of people's heads and into a format we can use. ### 4. Doesn't integrate with other solutions we use like Follow-Up Power, Quickbooks (it does, but only in limited transaction capacity), Windows explorer (why not a windows explorer tree for project docs?) **Recommendations to others considering DataForma:** Plan to spend the time with Dave Caves to learn what you're doing. It was confusing as hell until I spent time with him in training. **What problems is DataForma solving and how is that benefiting you?** Scheduling & tracking of start dates and tying up loose ends on projects have been improved. ### 5. Easily tracks leads, sold projects, stores documents for each project and creates reports. It has so many more capabilities than what we are using it for, and I can't wait to get into using it more!! **What do you dislike about DataForma?** My only dislike currently is that it can become a burden to keep updated. We are way behind at keeping our Dataforma records updated due to the fact that we'd have to double enter mostly everything with our accounting system and we are so busy we can't even find the time to enter leads... so nothing wrong with the product per se, we just need to use it better! **Recommendations to others considering DataForma:** I definitely recommend having one person assigned to be your "Super User," as DF calls it. This person will make sure everyone is on the same page with how they are supposed to be using it, as well as making sure the information stays updated. **What problems is DataForma solving and how is that benefiting you?** There are huge benefits in using Dataforma for project management. I just wish that we could start using it better for field service as well as keeping our records updated. Would be awesome to integrate fully functioning accounting! ### 6. It allows the entire office to track leads from the initial call to the sale. **What do you dislike about DataForma?** Client portals would be extremely helpful, unfortunately, it comes at an extra cost and is not highly customizable. **Recommendations to others considering DataForma:** If you are looking for a client platform that they can easily access, Dataforma has that feature available. Unfortunately, it comes at quite a high cost. **What problems is DataForma solving and how is that benefiting you?** Our office is able to run smoothly and staff saves a lot of time by uploading their documents directly into Dataforma.
