## CatalogIt Reviews
 ### 1. CatalogIt easy for experienced and novice users alike

**Rating:** 4.5/5.0 stars

**Reviewed by:** Phil K. | Fundraising Counsel and Management Consultant, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 29, 2026

**What do you like best about CatalogIt?**

I really did find the use of the platform quite intuitive, the more I used it. Collections hasn't been my main museum work up until now, but with CatalogIt, it was easy! The learning curve was fast, especially coming from Past Perfect, and once I understood the structure, the search functions and inventory control features were very helpful. When we had technical questions, support was responsive within 24 hours.

**What do you dislike about CatalogIt?**

I'm sure there are more efficient ways to import data - we used .csv spreadsheets, and the field mapping took a little trial and error (some fields like "notes" appear in multiple places. But "undoing" and "redoing" imports was easy to manage.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt made it easy to create an object catalog and then use that catalog to complete an inventory

 ### 2. CatalogIt: User-Friendly Yet Detailed Cataloging

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kaleigh P. | Research & Reference Assistant, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 19, 2026

**What do you like best about CatalogIt?**

CatalogIt is user friendly while also allowing you to go into great detail.

**What do you dislike about CatalogIt?**

CatalogIt could be improved if fields could be customized - added, deleted, and edited. There are a lot of fields that I don't use but still have to scroll through to find the ones I do.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt is solving the management of our database for artwork, making it accessible from any location.

 ### 3. A modern cms that is easy to use!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Matthew K. | Ebay Seller, Small-Business (50 or fewer emp.)

**Reviewed Date:** January 15, 2026

**What do you like best about CatalogIt?**

CatalogIt is clearly designed by people who understand how museums and archives actually work. The data model is flexible without being sloppy, relationships are meaningful and not forced, and the system supports professional descriptive standards instead of fighting against them. The cloud based structure makes collaboration far easier than legacy desktop systems. The CatalogIt Hub is also a major strength, providing an easy way to share collections publicly, discover how other institutions structure their records, and feel part of a larger professional platform rather than working in isolation. The CatalogIt team was responsive and genuinely helpful during migration and onboarding, which made a complicated transition feel manageable.

**What do you dislike about CatalogIt?**

Some cleanup and bulk editing tasks require careful planning, and there is a slight learning curve if you want to take full advantage of relationships, controlled vocabularies, and custom fields, though certainly no more so than legacy systems. Storage is another consideration, as the 100 GB base tier can fill up quickly when working with video files or large media sets.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt is solving several long standing problems common to legacy collections systems, including limited collaboration, rigid data structures, and heavy reliance on local infrastructure. By moving to a cloud based platform, it has made it easier for staff and volunteers to work simultaneously, manage media consistently, and maintain a single authoritative version of the collection. The system’s flexible data model and strong relationship handling allow for more accurate and meaningful description, which improves both internal management and public access. Overall, this has reduced friction in day to day work and allowed us to focus more on collections care and interpretation rather than fighting the software.

 ### 4. Extremely Comprehensive but Easy to Use

**Rating:** 5.0/5.0 stars

**Reviewed by:** Sandy D. | Member, Small-Business (50 or fewer emp.)

**Reviewed Date:** August 10, 2025

**What do you like best about CatalogIt?**

This product is extremely comprehensive and could meet the needs of any organization needing to catalog its collection. The customer service is very responsive and helpful, checking in occasionally to see how things are going.

**What do you dislike about CatalogIt?**

There are no downsides to using the product. At some point, our organization will request that more "entry types" be added.

**What problems is CatalogIt solving and how is that benefiting you?**

Our historical society's collection dates back to the 1950s. Over that time, we've had multiple curators, collection and recording techniques (most on paper, of course), with the result being a hodgepodge of data that is difficult to manage and keep track of. CatalogIt will solve this problem for us, providing ONE SECURE place to document our precious items.

 ### 5. User friendly cataloguing tool

**Rating:** 5.0/5.0 stars

**Reviewed by:** Beth A. | Researcher, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 08, 2025

**What do you like best about CatalogIt?**

It's a really intuitive tool for organising and cataloguing collections, as well as a way of sharing these with the community. It feels like it was designed with the end user in mind. The Hub means that you can share quickly and easily without needing to have your own website built for purpose, although you can link these if you want. Support is very quick and friendly. All in all, a very handy thing to use with lots of benefits.

**What do you dislike about CatalogIt?**

There's nothing to dislike! It would be good to have the facility to share short video clips with the wider community, but for now there is the facility to store these for internal use.

**What problems is CatalogIt solving and how is that benefiting you?**

Organising and sharing our collections, and keeping information stored in one place.

 ### 6. Easy to Use, Fast Web Publishing, and Great Value for Money

**Rating:** 5.0/5.0 stars

**Reviewed by:** Ulrich H. | Managing Partner, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 03, 2026

**What do you like best about CatalogIt?**

Easy to implement and use. Fast web publishing. Value for money. Great customer support.

**What do you dislike about CatalogIt?**

Many entry fields provided, which are not all relevant. This means a lot of scrolling.

**What problems is CatalogIt solving and how is that benefiting you?**

No problems so far

 ### 7. CatalogIt is worth the switch

**Rating:** 4.5/5.0 stars

**Reviewed by:** Michael D. | Curator and Director of University Art Collection, Small-Business (50 or fewer emp.)

**Reviewed Date:** January 16, 2025

**What do you like best about CatalogIt?**

The cloud-based system allows us to view/edit from anywhere on any OS. The app is easy to use, and the database is robust. The outward-facing publishing allows our collection to be accessible to the public, with data updates showing instantly w/out having to 're-publish'. The customer service has been fantastic. As we have migrated our data from PastPerfect, our rep has offered free Zoom training sessions with my staff and checks in every couple of months to see how the program is working for us.

**What do you dislike about CatalogIt?**

Not being able to print directly to my Dymo Label printer is the only downfall at this point. However, the robustness and intuitiveness of the program far outweigh this minor inconvenience.

**What problems is CatalogIt solving and how is that benefiting you?**

With our previous Collections Managment System, we could only update data from one location as it is a PC based software. As an arts institution that uses Mac OS - having a PC for the sole purpose of the collection was cumbersome and antiquated. With the cloud-based system, we are able to update data from anywhere and from any device. The freedom it has given my staff is a huge benefit. Also, we no longer have to pay extra to host our collection online giving the public greater access to our collection/research.

 ### 8. It has been great for cataloging our personal art collection.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Glenda D. | Retired, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 08, 2025

**What do you like best about CatalogIt?**

The program is easy to use. It is very intuitive. The customer service has been top notch.

**What do you dislike about CatalogIt?**

I’ve used it for five months and haven’t come across any things that I dislike.

**What problems is CatalogIt solving and how is that benefiting you?**

Needed to have a way of inventorying our art collection.

 ### 9. Friendly and affordable

**Rating:** 5.0/5.0 stars

**Reviewed by:** laura S. | Founder & Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** September 18, 2025

**What do you like best about CatalogIt?**

I like the way my page site looks; it has a museum-quality appearance.

**What do you dislike about CatalogIt?**

nothing yet.............................

**What problems is CatalogIt solving and how is that benefiting you?**

nothing yet

 ### 10. Great for sites with multiple buildings/locations.

**Rating:** 4.0/5.0 stars

**Reviewed by:** Con T. | Archivist, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 17, 2024

**What do you like best about CatalogIt?**

The ease of access from anywhere was very important to us. They have also been very communicative and helpful.

**What do you dislike about CatalogIt?**

This is a very powerful system that can be utilized for a wide range of collections, sometimes there are too many options, it would be nice to be able to turn off or hide features that aren't used by an institution.

**What problems is CatalogIt solving and how is that benefiting you?**

We have multiple locations and team members that work off site. Being able to easily access the catalog from anywhere was the most important aspect.

 ### 11. Getting Started with CatalogIt

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 14, 2024

**What do you like best about CatalogIt?**

I have just implemented CatalogIt for an all-volunteer historical society. I'm impressed with its overall layout and features.
Training another volunteer to use CatalogIt was easy. I like that authority control is built into selected fields (author, publisher, etc). The Export feature is intuitive. Batch editing is available for some fields, such as categories and folders.
Customer support is excellent.

**What do you dislike about CatalogIt?**

I wish I could designate some fields as required. I also would like to be able to create a form for inputting books that limits the fields available (more than the program limits them). Other than that, I'm happy with the program.

**What problems is CatalogIt solving and how is that benefiting you?**

The historical society has had no catalog or inventory of its collections. We have selected CatalogIt in order to have an inventory and an online catalog.

 ### 12. Migrating to CatalogIt

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** September 25, 2023

**What do you like best about CatalogIt?**

My institution spent about a year researching different museum cataloging softwares before settling on CatalogIt, and I'm so happy that we decided to go with them. The software is fairly intuitive, while also offering pretty robust cataloging hierarchies that allow users to describe deep relationships between different objects and entities. Overall, it has been easy to implement at our site with about 4000 objects (though we're still very much at the beginning of the process) and I could see how it would scale easily, depending on how in-depth you need your catalog to be. The customer support is also absolutely top-notch; they are so responsive and knowledgeable, you get helpful answers within 24 hours.

**What do you dislike about CatalogIt?**

CatalogIt is definitely built to be applicable for a wide variety of physical collections, including art, botany, and ethnographic collections. Because of this wide reach, there are a lot of cataloging categories that I will never really need to use that crowd the data entry screen a bit. CatalogIt could also improve its archival cataloging capabilities, and I would love to see it grow in this direction.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt is bringing our collection catalog into the 21st century - it's easy to use, it will help us publish our previously unpublished collection online (down the road), and it makes consolidating multiple digital objects into a single record a breeze. For our collection that combines art and history artifacts, it covers both types of objects well.

 ### 13. Skyscraper Museum Archive

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** April 05, 2024

**What do you like best about CatalogIt?**

Ease of use; great customer support; lots of options

**What do you dislike about CatalogIt?**

Uploading photos through different means results in different UIs

**What problems is CatalogIt solving and how is that benefiting you?**

Helping us organize our disparate archival materials. This helps us clean up and have everyone aware of the items we have.

 ### 14. CatalogIt Review

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Information Technology and Services | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 27, 2023

**What do you like best about CatalogIt?**

CatalogIt is a cloud-based, web, and mobile collections management system. It supports archival and object collections within one system. Conservation can be documented, and reports can be generated. One can create linked exhibitions and publications histories. The system is easy to learn whether you are a beginner or an expert. CatalogIt's customer support is helpful, responsive, and timely. It is among the most comprehensive collections management systems for its price and is a leader among its peers. The collections online HUB feature is exciting, and I am glad it has an API.

**What do you dislike about CatalogIt?**

CatalogIt has support for multiple file media file types, offers a light cropping tool and captions for media, but a more mature digital asset management approach would be a future benefit.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt is helping my clients manage their archival and object collections. It enables my clients to access digitized collections and for their important assets to be better managed and preserved.

 ### 15. CatalogIt has changed our museum!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** January 22, 2024

**What do you like best about CatalogIt?**

Ease of use, implementation of artifact photographs, Web based.

**What do you dislike about CatalogIt?**

Not able to upload sound or video into the program.

**What problems is CatalogIt solving and how is that benefiting you?**

Heling to organize archive collection and create a viable inventory.

 ### 16. Catalogit has been a great program for our historical society.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** June 16, 2023

**What do you like best about CatalogIt?**

It is easy to learn. The transition from Past Perfect to Catalogit went smoothly. We received excellent customer support. We are able to work more efficiently now. Everyone on staff has been trained and it was painless.

**What do you dislike about CatalogIt?**

Past Perfect had very structured search features that allowed for highly specific or focused search queries. However, Catalogit is so much more efficient in every way that it is a feature that we hardly miss.

**What problems is CatalogIt solving and how is that benefiting you?**

We were using Past Perfect before Catalogit. Catalogit is helping us by being easier to use, easier to train staff/volunteers to use, makes it easier to find things in the database, move item locations, upload photos, and easier to search. We also are able to use the HUB and share our collections online for the first time.

 ### 17. Catalog Review

**Rating:** 5.0/5.0 stars

**Reviewed by:** Hugh F. | Small-Business (50 or fewer emp.)

**Reviewed Date:** February 22, 2023

**What do you like best about CatalogIt?**

CatalogIt is very easy to use yet comprehensive.

**What do you dislike about CatalogIt?**

The search feature could be made better.

**What problems is CatalogIt solving and how is that benefiting you?**

CatalogIt is solving our collections management organization and is allowing us to far better organize and access our collections in a very straightforward yet comprehensive manner.

 ### 18. Yellowstone County Museum

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** August 08, 2022

**What do you like best about CatalogIt?**

Very easy to use and has every feature the Museum needs.

**What do you dislike about CatalogIt?**

I do not think there are any downsides to CatalogIt.

**What problems is CatalogIt solving and how is that benefiting you?**

Created a program that does everything PastPerfect does, but is far easier to use.

 ### 19. Great for Museums!

**Rating:** 5.0/5.0 stars

**Reviewed by:** CHELSEY K. | Collections Curator, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 23, 2021

**What do you like best about CatalogIt?**

This program is easy to use, once to watch the tutorials. It gives a lot of "bang" for it's "buck". With cloud services, easy photo uploading, app ability, multiple users and more, the program is completely worth the price. It has saved us a lot of time and energy compared to programs we used prior, and I cannot recommend this program enough.

**What do you dislike about CatalogIt?**

It is not intuitive where certain things and options are located, however one can watch the tutorials to easily master this program. Otherwise, I would love for their to be more options in laying out the "HUB" or online public part of the software. This HUB allows museums to share their collections to the public, which is great, but there isn't a lot of customization. That would be a great way to upgrade this software.

**Recommendations to others considering CatalogIt:**

As I said above, I highly recommend this product. It is everything a museum may need for a nice yearly bundle price.

**What problems is CatalogIt solving and how is that benefiting you?**

Our small museum is in the process of doing a complete do-over of our curatorial collections. We needed a reliable and easy software that could be updated from multiple computers at once. Thsi one fit the bill and budget.

 ### 20. So Glad We Upgraded!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** June 07, 2021

**What do you like best about CatalogIt?**

Having a cloud-based system was ideal for our non-profit Society since we operate four (soon to be five) independent museums. Our collections are scattered throughout these sites and it can be difficult to enter information into a server-based CMS. The ease of use and intuitiveness of CatalogIt has revolutionized our operations. The fields are well thought out, easy to populate and easy to search. We rely on volunteers to enter information, and they have been very complimentary of software.

**What do you dislike about CatalogIt?**

There have been a few hiccups with integration with our WordPress site, but the team at CatalogIt have worked with our web developers to solve the issues. We do wish for additional functionality, but these changes are in process.

**What problems is CatalogIt solving and how is that benefiting you?**

We are now using a cloud-based system with immediate transfer of collections to our website. This provides great community access. Also, we are thrilled with having users be able to update information in real time.

 ### 21. Outstanding Product

**Rating:** 5.0/5.0 stars

**Reviewed by:** Billie L. | Curator, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 04, 2021

**What do you like best about CatalogIt?**

The option of having it on any device (phone/tablet/computer) at any given time for on the fly research or accessions is amazing. The program is easy to use and easy to train others on as well. The immediate attachments of images to records is also a huge plus.

**What do you dislike about CatalogIt?**

So far there is nothing bad I can say about this program.

**What problems is CatalogIt solving and how is that benefiting you?**

The old museum software I had been using (Past Perfect) was difficult to train anyone on. It had constant glitches and crashes that took long periods of time to remedy and at times we were even charged for. Catalogit is incredibly quick and helpful on any questions or concerns and no glitches or problems in the year that I have been using it.

 ### 22. Great product!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Libraries | Small-Business (50 or fewer emp.)

**Reviewed Date:** April 06, 2021

**What do you like best about CatalogIt?**

Makes it so easy to update the archived information from our Historical Society on the back end, and creates a great experience for the end-user on the front-end. Customer support is also fantastic

**What do you dislike about CatalogIt?**

Wordpress plugin has been glitchy at times. However, customer support has always been proactive in helping to address and fix the problem.

**What problems is CatalogIt solving and how is that benefiting you?**

Facilitates cataloging and sharing historical information for our local Historical Society.

 ### 23. CatalogIt catalogs it the best!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Marjorie S. | Research Curator, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 17, 2021

**What do you like best about CatalogIt?**

CatalogIt is easy to learn to use even for people who haven't used a collection management program. It is very forgiving and accommodates all the information I need to store. The display and interface is very user friendly.

**What do you dislike about CatalogIt?**

There is nothing to dislike. It's great!

**Recommendations to others considering CatalogIt:**

Try it out! It's a very robust system with great support.

**What problems is CatalogIt solving and how is that benefiting you?**

We can store data and search for it very easily. It's a great organizer and timesaver.

 ### 24. Catalogit review

**Rating:** 5.0/5.0 stars

**Reviewed by:** Dan S. | Military Historian, Archivist and Curator, Military, Small-Business (50 or fewer emp.)

**Reviewed Date:** September 24, 2019

**What do you like best about CatalogIt?**

The fact that we are no longer tied to a desk computer. With over 80 storage and exhibit sites located throughout the State of California the ability to operate from multiple platforms (i.e., smartphones, tablets, laptops and desktops) is extremely important. Date entry is extremely easy and the fact that you can access an artifact on a single page which cuts the time to enter an artifact into the system. When you are entering several like items under the same accession number, you can duplicate an entry in the system which saves even more time

**What do you dislike about CatalogIt?**

We would like to see the ability to print accession, deaccession and loan documents. As an alternative, we use online faiilable PDF document. I would expect that Catalog will add this feature as the system matures.

**Recommendations to others considering CatalogIt:**

For all intents and purposes, the conversion was painless and completed within our requested timeline.

**What problems is CatalogIt solving and how is that benefiting you?**

Mobility and multiple curators at multiple locations were the problems we previously encountered. with our former system. Catalogit solved those problems effectively.

 ### 25. Great for Small Museums

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** April 22, 2020

**What do you like best about CatalogIt?**

easy to use, ability to create your own folders and see everything in your collection all at once.

**What do you dislike about CatalogIt?**

occasionally glitches when trying to scroll in the All Entries section

**Recommendations to others considering CatalogIt:**

It offers good pricing options for all museums and the API integration has been a great additional feature.

**What problems is CatalogIt solving and how is that benefiting you?**

I am able to clean up data that was previously disorganized; see everything in our collection; have more than 1 user working in our database and integrate our database with our website.

 ### 26. Easy to Use, Affordable, Beautiful Collections App

**Rating:** 5.0/5.0 stars

**Reviewed by:** Amy C. | Executive Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 21, 2019

**What do you like best about CatalogIt?**

There are so many pros about this software! The best part, for me, is that I finally have access to my collections in the cloud, and that I can easily pull up a record for any object on my phone or tablet during a meeting. The interface is super user-friendly, and it looks beautiful whether it's accessed on my computer, tablet, or phone. And, it works just as well across all three platforms. I can pull object lists/insurance valuations/object labels with one button, saving me a lot of time, and I know more features like this are being added.

Customer service is super responsive; features are constantly getting added, and suggestions for added features and improvements are taken seriously by the developer. As the director of a small non-profit, one of the biggest pluses for me is the price. It is really affordable!

**What do you dislike about CatalogIt?**

I'd like to be able to add administrators/change user roles more easily, but I know that feature is coming soon.

**Recommendations to others considering CatalogIt:**

This is a super easy-to-use and nice-looking app. It's made my presentations more professional (ie when I pull up an object record in a meeting, folks are impressed with how nice the app is, rather than waiting for me to open an old Excel doc and scroll through to find the object's info), and is really affordable.

**What problems is CatalogIt solving and how is that benefiting you?**

I'm no longer tethered to my desk for collections software, and am able to store information that was previously on a bunch of different documents in one usable database. It is easy to use and affordable, which is important to me and my small non-profit!

 ### 27. Collections Care Business

**Rating:** 5.0/5.0 stars

**Reviewed by:** Justine W. | Conservation Technician and Admin, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 05, 2019

**What do you like best about CatalogIt?**

It's user friendly and mobile! It helps keep everyone on the same page as a very accessible platform.

**What do you dislike about CatalogIt?**

Sometimes it's quick to upload images, other times it's pretty slow

**Recommendations to others considering CatalogIt:**

As a user-friendly, mobile, and reliable database, Catalogit has made a world of difference in documenting the conservation process for our clients and providing accessible records to our staff. I highly recommend it!

**What problems is CatalogIt solving and how is that benefiting you?**

It helps share photos and information with our staff and clients about what we're working on, and helps track objects as they move around the studio. Our staff and interns find it easy to use and it was pretty simple to integrate into our daily practice.

 ### 28. CatalogIt is Superior

**What do you dislike about CatalogIt?**

There is nothing I dislike.

**What problems is CatalogIt solving and how is that benefiting you?**

There are no costly upgrades nor downtime, and CatalogIt can be accessed anywhere there is an Internet connection - even your phone.
