# Which lead retrieval software works best for a trade show booth where multiple sales reps are scanning badges and you need all the data in one place instantly?

The multi-rep booth is where lead retrieval software either earns its keep or creates the exact spreadsheet-merging problem it was bought to kill, so I read recent reviews to settle which lead retrieval software works best for a trade show booth where multiple sales reps are scanning badges and you need all the data in one place instantly. That meant reading for team-level evidence specifically: shared dashboards, real-time syncing, and what happens under live event load. These held up best:

Captello: The strongest team evidence in the window. Buyers describe real-time lead capture and data syncing across the booth, with everything landing in one dashboard and routing to Salesforce automatically, and one team ran an interactive multi-station booth activation on it without losing centralization. Support gets singled out repeatedly, which matters at 9 AM on show day.

Popl: Built around exactly this: a team dashboard where every rep's scans land instantly, with admin-managed cards and qualifiers so all reps capture the same fields. The honest counterweights from its own reviews are cost, since per-seat pricing across a large booth team adds up, and a setup process some new users find confusing, so do the provisioning before show week.

Blinq: Team management, consistent branding, and automated provisioning put every rep on the same footing (vendor-stated), and its universal badge scanner means the whole team works at any event regardless of organizer. Reviewers describe contact details flowing in automatically after each exchange, which is the one-place-instantly behavior the question asks for.

Swapcard: The organizer-side answer, with real-time scanning unified across the exhibitor team when the event runs on Swapcard. Its recent reviews carry the caveat this question specifically needs: some reviewers report technical instability during high-traffic live moments, which is precisely when a busy booth is scanning.

For teams that have run a four-plus rep booth: did every scan genuinely appear centrally in real time, or did you discover gaps at the nightly export? And who owned the dashboard during the show, a booth captain or whoever happened to look?

At a busy booth the same prospect speaks to two reps, and if your platform merges duplicates but loses notes from either rep, you've moved the problem rather than solved it.

### Comment 2

Standardized fields and a booth captain solve a lot of the data-quality problem. The next thing I’d test is duplicate handling. At a busy event, the same prospect can easily speak to two reps and get scanned twice. I’d want to know whether the platform merges those interactions without losing either rep’s notes, because otherwise “one dashboard” can still leave the CRM team cleaning duplicates after the show.

### Comment 3

Alongside the dashboard, what decides whether the data is usable afterwards is whether every rep captured the same fields. Five people freestyling their notes gives you one merged list with no way to sort it, so locking the qualifiers centrally before the show matters as much as the syncing. Popl and Captello both come up for admin-controlled setups like that.

### Comment 4

We designate one person as booth captain whose job is to check the dashboard twice a day during the show. Gaps discovered at the nightly export are much worse than gaps discovered at lunch.
