# Which knowledge management tools do remote-first teams actually rely on?

Hey G2 community, I'm putting together some notes on knowledge management tools specifically for teams that never share an office. It's a different problem than picking software for a team that can just walk over and ask a question. Everything has to hold up async, which rules out a lot of tools that look fine on paper but fall apart once nobody's in the same time zone.

Slack (4.5 stars, 39,341 reviews) keeps coming up as the backbone for distributed teams, with reviewers specifically calling out threads and channels for keeping conversations organized across time zones. The common complaint is that important info still gets buried once channels multiply.

Notion (4.6 stars, 13,839 reviews) is where a lot of these same teams put the documentation Slack can't hold onto. Reviewers mention using it so new hires and remote teammates can self-serve answers instead of pinging someone directly.

ClickUp (4.6 stars, 14,224 reviews) shows up from solo operators and small remote teams who like running tasks and docs from one place. One reviewer specifically mentioned it keeps their whole business visible without needing a daily check-in call.

For teams that are fully remote, does a tool like Notion actually stay current on its own, or does someone always end up nagging people in Slack to update it? And has anyone found a real balance between too many Slack channels and not enough structure at all?

From what I've seen, Notion staying current almost never happens on its own. Someone ends up doing that nagging in Slack whether it's an official role or not, and the teams that seem to avoid burnout on that usually made it an actual responsibility rather than hoping habit would carry it. On the channel question, the balance seems to come less from a magic number of channels and more from a shared sense of when something belongs in a thread versus when it belongs in a doc, and that only holds up if the team actually agrees on it instead of each person deciding for themselves.
