# Which intellectual property management systems give in-house teams and outside counsel a shared workspace for prosecution and filings?

Asking this on G2 because the answers usually stop at "it has a portal". Which intellectual property management systems actually give in-house teams and outside counsel a shared workspace for prosecution and filings?

Prosecution work passes between in-house teams, outside counsel and foreign associates constantly, and most of that handover still happens over email. A shared system is meant to end that, but it only gets used if outside parties can be let into their own matters and nothing more.

Four systems come up often for this on G2:

AppColl. Best known for sharing a filtered slice of the docket with clients and stakeholders instead of opening the whole database. Does that filtered view still hold up when your client is a corporate IP team running its own system?
IPfolio. Best suited to teams that want outside parties entering at fixed points, with inventors submitting disclosures through a portal and billing data moving through an API. Access rules like these are hard to unpick later, so how much did you lock down before go-live?
AQX. Built for corporations and law firms sitting in the same system, and often the reason a team can bring work back in-house. It is an enterprise purchase and takes a while to learn, so did the shared view genuinely cut the back and forth, or just move it?
Alt Legal. Takes the opposite route: clients submit through an intake link and get status updates by email, so there are no extra logins to manage. It is trademark-first, which patent-heavy teams will feel.

What is missing from this list that handles external access better? And for the in-house side, what finally gets outside counsel to work inside your system instead of emailing a spreadsheet?

IPfolio is another solid pick, cloud-based IP management that in-house teams like for a shared view of filings and deadlines with outside firms. PATTSY WAVE and Alt Legal are also worth a look, Alt Legal in particular is known for trademark prosecution workflows. To be real, "shared workspace" varies a lot by how each handles permissions for outside counsel specifically, so I'd demo exactly that, can your outside firm log in and update a filing status themselves, or do you have to relay it? What's your split, mostly patents, trademarks, or both?
