# What's the best fire department software for small to mid-size stations managing records?

Hi G2 users, a volunteer or combination department has very different needs from a metro agency, and most fire department software gets built for the metro agency first, which makes finding something sized right for small to mid-size stations managing records take some digging. A few platforms hold up well for that smaller-scale reality:

Emergency Reporting: Incidents, reporting, and occupancy data all live in one place, and pulling a report that used to take hours in an older system now happens in moments. A volunteer fire company uses it to track staff hours for non-emergency events, which has made it easier to show local government the value of the volunteer workforce.

CentralSquare Public Safety & Justice: Records stay searchable even with limited information to start from, and the RMS side gives more visibility once multiple agencies and responder types get tied to a single incident.

RedAlert NMX: Handles incident reporting and truck and equipment checks from a phone, with enough report variety that a secretary can pull exactly what a monthly commissioners' report needs without reformatting anything by hand.

For anyone running a smaller department on software like this, how much of the records work still lands on one or two people day to day? And does the reporting side hold up once an outside audit asks for something specific?

Your first question is the one that decides sustainability at a volunteer department, because records work concentrating on one or two people is a continuity risk as much as a workload one. When that person steps back, the institutional knowledge of how things were entered goes with them. Systems that make routine entry doable from a phone, like the incident and equipment checks described for RedAlert NMX, help mainly by spreading the work across more people rather than by speeding up any one person.
