Day to day, I spend a lot of time in the desktop client, and while it gets the job done, it often feels like I am working in an older tool that requires more effort than it should. Moving or renaming documents sometimes takes extra clicks compared to what my team was used to, and the layout can feel cluttered, especially for colleagues who are still getting used to it. When I train new users, I can see that the look and flow of the client add friction to their first impressions. Instead of focusing on how helpful the metadata concept is, they get hung up on where to find common actions or why simple tasks feel slightly slower. Over a full day, all those little pauses and extra steps add up, and it makes it harder for me to present M-Files internally as a clear upgrade from what we had before, even though I know the engine behind it is stronger. For other long-time users, do you have any practical ways of arranging views or adjusting habits so that the older style and the extra clicking get in the way less of your daily document work?

You could also look at adjusting view settings and shortcuts so you’re only seeing fields and actions you use most often, since even the official terminology guides and training content help make the UI feel less cluttered.

As our usage of M-Files grows, I am noticing more friction tied to speed. Large files can take a while to sync, searches or views over heavy data sometimes lag, and working against the cloud feels noticeably slower than what my team was used to before. Most of the time it is tolerable, but when I am trying to pull up documents during a live client call or move through a big batch of files on a tight deadline, those extra seconds add up and break my flow. It is awkward having to stall on a call because a document is still loading. I also see a bigger impact when the connection is less than perfect, where things can briefly feel like they have stalled completely. That leaves me nervous about relying on the system in environments where connectivity is not ideal. For others who have run into these slowdowns, how are you working around them day to day, especially with big vaults, large files, or heavier cloud use so that you are not left waiting in front of a spinning cursor when you need to move quickly?

It might help to check whether the vault structure or underlying hardware/network might be slowing things down, because M-Files support docs note that performance lags can come from large metadata lists or infrastructure limits and offer ways to diagnose it.

I am convinced that the metadata approach is the right long term move, but getting my team to that same point has been tough. People who have spent years living in Windows folders find the whole idea foreign, and even after training they still ask me where the “real” folder is. On top of that, the number of features, views, and workflow options makes the product feel like too much for newcomers. I see smart colleagues avoiding some of the more powerful tools because they are worried about “breaking something” or getting lost in menus. The result is that I keep fielding basic questions, re-explaining concepts, and double-checking that documents are tagged correctly, instead of focusing on my own work. New hires in particular seem to need weeks, not days, before they are comfortable. For those of you who have already been through this, how do you introduce M-Files to non‑technical users and long‑time folder users in a way that reduces anxiety and gets them productive faster, without turning every week into another training session?

You could also look into formal enablement or champion training so non-technical users get support from peers, since M-Files offers training paths for business admins and champions that help reduce the learning curve.
