I like that Insightful is pretty easy to use in general. It's straightforward to start a task and then stop it when completed, making its usage very easy. Additionally, Insightful records the start time till and end time. It also takes screenshots and records my screen, which helps in validating and verifying that I'm doing work and what I'm doing. I find it kind of annoying that the recording feature is not obvious, so I might forget to turn it off when I'm taking a break. It would be helpful to have some kind of indication or warning if Insightful detects no usage of my computer, so I can delete irrelevant recordings. Another problem I encountered was when I had Insightful installed on different machines, I faced issues logging in, and it took some time to resolve. The initial setup was just average for me. If I took too long, some permissions expired, making it tricky to get it running again. I like the feature of every 9 seconds screenshot in Insightful, which helps me know what an employee was working on if there's doubt. The standard interval screenshots are valuable for understanding any grey areas if a manager suspects an employee isn't actively working, as they reveal actual keypresses, active windows, or stationary screens immediately. The site takes a lot of time to log in, even though our internet speed is high. An important issue is that once I deactivate or delete a user and try to install Workplus after some months, it doesn't work. What I like best about Insightful is the clear visibility it gives into employee work activity and productivity trends. The dashboard makes it easy to understand work time, productive time, idle time, app usage, and utilization without having to manually check every detail.

For our takeoff/engineering team, the most useful part is being able to compare actual computer activity with assigned work. It helps management understand whether delays are caused by lack of productivity, workload overload, meetings, interruptions, or unclear priorities. The KPI options such as productive time, work time, utilization, meeting time, and manual time are helpful because they give a more complete picture of how time is being spent.

Another benefit is that Insightful can support a pilot approach before rolling it out to the full team. The main limitation I noticed with Insightful is that it does not fully support project-level tracking for our workflow. It is very useful for tracking work time, productive time, idle time, app usage, and utilization, but it does not automatically show which specific takeoff project an engineer is working on inside tools like PrebuiltML or other estimating software.

For our team, we still need to manually enter project names, tasks, start/end times, and notes to connect productivity data with actual project progress. This adds some extra effort and may not be practical if employees are switching between multiple projects throughout the day.

Another area that could be improved is integration flexibility. Some project management tools are supported, but we did not see a direct Smartsheet integration, which would have been helpful for our project tracking process. The Microsoft 365 approval process also requires admin review because the requested permissions are broad, so setup may take additional coordination with IT. Our system is 3 days at the office and 3 days at home. When I see our team in the office, some of them spend time on their personal phones and only move the mouse. So I think: if they don’t care and do that at the office, what are they doing at home? I love the screenshots feature, but they can still easily lie to the system.

Another issue is that we made two computer changes for the same person. When we try to install the program again, it says the user is already linked to an account. Yes, but they changed computers, and it becomes very difficult to reinstall. We talked to support and followed the instructions they gave us, but we were never able to set the system up again on our company computers.
