ElderSuite Reviews & Product Details

ElderSuite is adult day care software built for center-based providers: Texas DAHS, adult day health care, and social-model adult day programs. Since 1995, MicroSolutions has served more than 3,600 users across 27 states, processing over $600 million in claims every year. Everything a center does in a day lives in one Windows application, organized into six Centers. Every Center screen carries Ask Eddie, the built-in help panel, and per-user permissions control what each employee can see and do. PROVIDER CENTER (the center itself) Provider Information: center name, contact, NPI, state provider number, tax ID, physical and mailing addresses used on claims and printed forms. Provider Documents: scan or upload licenses, insurance certificates and other center paperwork. Manage Employees: staff records, Full or Limited Access, permissions by Center, and medication-administration credentials for eMAR and eTAR. Employee Documents. Manage Device Installations: the PCs and tablets ElderSuite runs on. Criminal History Check: opens your state's official background-check site. Monthly Fire Drill Assessments (Form 4719). Helpful Links to state and federal sites, including TULIP and the OIG exclusions database for Texas providers. CLIENT CENTER (participants) Client List with full client records and Client Documents (scan directly or attach PDFs). Attendance & Transportation Records, entered on screen or scanned from paper sheets, including daily attendance and pickup and drop-off times. Manage Tasks. Case Information Assessments (Form 2067). Social History Assessments (Form ES2000). Monthly Activity Assessments (Form ES2500). Client Authorizations with authorization number, authorized units, and an expiration countdown on the client list. Manage Routes, Case Workers, and Referral Types. Manage ISS Service Logs for Texas DAHS-ISS providers. NURSING CENTER (clinical records) Health Assessment & Individual Service Plans (Form 3050) with vital signs. Physician's Orders (Form 3055) and Physician's Standing Orders (Form ES3056). Monthly Nursing Assessments (Form ES3500). Nursing Notes. Diagnoses with a printable Diagnosis Profile (Form ES4030). Medications with a Medication Profile (Form ES4000) and Medication Administration Record (Form ES4010). eMAR: the electronic medication administration record, including PRN doses and a monthly MAR. eTAR: the electronic treatment administration record, where treatments are recorded as given, refused or held, with a monthly TAR. Treatments. Physicians, Pharmacies, and Hospitals are managed as contact records the clinical screens draw from. NUTRITION CENTER (meals and CACFP) Contractor Information for your food contractor. Manage Meal Times. Meal Applications (Meal Benefit Income Eligibility Form). Meal Records, entered on screen or scanned. A Meals Without Attendance check flags days that carry meals but no attendance times before you claim them. Nutrition reports include the Claim for Reimbursement, the Claim for Reimbursement Worksheet (Form H4502), Daily Meal Count & Attendance (Form 1535), Daily Meal Production Record (Form H1654), and Letter of Determination (Form H1663). CLAIM CENTER (Medicaid and managed-care billing) A four-step claim workflow: Scrub Claims, Process Claims, View Reports, Reconcile Claims. Claims go out as 837P files through the Availity clearinghouse, or directly to TMHP for Texas, so any payer available on Availity can be billed. Manage Payment Types: each payer is a payment type carrying its clearinghouse payer ID, default billing codes, rate and unit definitions, so private pay, Medicaid fee-for-service and managed-care plans sit side by side. Manage Clearing Houses, Manage Claim Status Types, ERA enrollment, adjusting submitted claims, and a stale-claims banner that flags submitted claims with no payer response. For Texas DAHS-ISS providers: Manage ISS Program Providers, Create ISS Statements with the ISS Statement Wizard, and Reconcile ISS Statements. Claims carry the 261QA0600X adult day care taxonomy code automatically. REPORT CENTER (30 built-in reports) Client reports: Client Roster (ES1200), Attendance Calendar (ES3100), Attendance Summary (ES3000), Client Absence Report (ES1201), Daily Attendance Record (Form 3683), Daily Transportation Record (Form 3682), Birthday List (ES5000), Admission Agreement (ES1100), Contact Information Assessment (ES1000), Case Information (Form 2067), Social History Assessment (ES2000), Activity Assessment (ES2500). Nursing reports: the eleven clinical forms above, including the monthly eMAR and eTAR. Nutrition reports: the six CACFP forms above. Provider reports: Fire Drill Report (Form 4719). Billing reports are printed from the Claim Center. DOCUMENTS AND SCANNING Client, employee, and provider documents are attached to the record they belong to, added from a scanner or a PDF, given a title and description, and kept in searchable lists. Attendance sheets and meal records can be scanned straight into ElderSuite instead of keyed. Sign & Sync closes the loop on signed paperwork: print a form ElderSuite generated, such as a client's Meal Application, collect the required signatures, then scan it, and Sign & Sync attaches the signed copy to the exact record it was created from. DEPLOYMENT AND PRICING ElderSuite is a Windows desktop application installed on as many computers and tablets as your center needs, including remote, home, and central billing offices, with one shared database. There are no iOS or Android apps. Pricing is one flat rate: $299 per month for every feature, every user, and every workstation. Support, training, upgrades, and claim transactions are included. There are no setup fees, no per-user charges, no upgrade charges, and no long-term contracts. Every center starts with a free 30-day trial of the full product, no credit card required.
