Efficient QMS Reviews & Product Details

Efficient QMS™ is a self-hosted electronic Quality Management System for document management, archival, and quality records. Built on PHP and MySQL, it installs on your web server and runs in any browser — desktop or mobile — with no software to install on user devices. Efficient QMS delivers 360° Document Interactivity™ — every person in the organization touches the same controlled documents from every direction: creation, revision, approval, release, retrieval, form fill, electronic signature, event tracking, and audit. Machine operators, inspectors, receiving clerks, engineers, and management all work in the same system daily, not just quality managers. Core capabilities: --Document Control — Create forms and processes using built-in Form Maker and Process Maker. Revision-controlled with full release authority. Every document change produces a new revision letter automatically. --Electronic Signatures — Internal signature images and ESIGN/UETA-compliant typed signatures via secure invitation links. Signed records lock as auditable evidence. --Invitations — Send any form record or process to an external recipient for review or legally binding signature. UUID-secured links with 7-day expiry and IP-tracked access. --User-Expandable — Add categories, subcategories, forms, and processes in realtime without programming. The system grows with your business. --Calendar and Events — Company-wide event scheduling with automated email reminders via web and CLI paths. --Search and Retrieval — Full database search across all records. Revision history with linked document titles. --Backup and Recovery — One-click backup of database, controlled documents, attachments, images, and electronic signatures. --Pre-Release Verification — Built-in verification record for validating system operation prior to deployment, with signed evidence of completion. Architecture and security: Efficient QMS stores controlled documents and credentials above the public web root, serving files through session-gated PHP handlers. Electronic signature images, database credentials, and email configuration are protected from direct browser access. Database-backed session management eliminates shared-hosting timeout issues. All user actions carry traceability — every record, definition change, and signature event is attributed to a user with a timestamp. Ownership, not subscription: Efficient QMS is licensed software with perpetual ownership. Your controlled documents, records, and data belong to you on your server. No recurring subscription fees, no vendor lock-in, no third-party data custody. Free replacement license provided upon server migration. Who it's for: Any organization that manages controlled documents under a quality management system — aerospace, defense, manufacturing, construction, engineering services, or any industry where document control, traceability, and electronic signatures are required by your governing standard. Efficient QMS has been in continuous production since 2004, serving AS9100, IA9100, ISO 9001, Nadcap, AISC, AS9120, ASA-100, FAA Repair Station/ODA, and other quality management standards across multiple industries.
