# What are the best tools for automating desk assignment based on schedules?

Hey G2 experts. For enterprises trying to auto-seat people based on hybrid schedules, team neighborhoods, and recurring office days, Zoom Workplace, Tactic, and OfficeRnD Workplace are consistently highlighted on G2’s Desk Booking page. See my full software list below!

Zoom Workplace – Ideal when you want reservations tied tightly to your calendar stack. Admins can upload floor maps, expose live availability on kiosks/Zoom Rooms, and standardize policies—useful for auto-assign flows that mirror recurring on-site schedules.

Tactic – Built for rules-based seating: recurring reservations, automatic grouping, and predefined neighborhoods help auto-place employees by team or attendance pattern. Calendar integrations round out hands-off scheduling.

OfficeRnD Workplace – Strong on structured seating and policy controls. Features like recurring reservations, seating options, automatic grouping, and predefined neighborhoods support automated, schedule-aware assignments; dedicated-desk workflows help admins blend fixed and flex seating.

Archie – Combines desk booking with automation and hybrid enablement so admins can set rules once and let the system handle repeat patterns and notifications—handy for large offices orchestrating hot desking at scale.

If your organization leans on team zones and recurring office days, start with Tactic or OfficeRnD; if you want reservation and collaboration in one stack, Zoom Workplace is compelling. Would you reorder these or add Joan for mixed hardware and signage needs?

Would you opt for a free software? https://www.g2.com/categories/desk-booking/free

In practice, “free desk booking software” usually means one of three things: a freemium plan with strict limits, a 7 to 30 day trial of the full product, or a DIY setup in Excel or Google Sheets. Those limits can show up fast, and free tiers often come with fewer features and slower support, which can get risky once the tool becomes important. Still, I think free trials are totally worth using to test what actually fits. Also, thanks so much for including Archie in the list. It means a lot!
