"Good Metadata Driven Document Management And Requires Planning Up Front"
4.5/5
What do you like best about M-Files?

What helped me most was simply not having to remember where documents were stored anymore. Before this, I was constantly opening shared folders, SharePoint locations, and old project directories just to figure out which version was the right one. It sounds like a small issue, but when you’re doing it ten times a day, it really adds up.

I mainly used it for project documentation, implementation notes, release-related documents, and internal process files. Once people started tagging documents properly, finding what I needed became much faster than the old folder-based approach. I also appreciated being able to check document history when someone updated something, because it cut down on a lot of those “who changed this?” conversations that usually pop up in team chats. What do you dislike about M-Files?

The biggest challenge for me was realizing that the system is only as good as how people use it. When documents are tagged inconsistently or someone chooses the wrong metadata, search results become less useful pretty quickly. We ran into a few situations where similar documents ended up in different classifications, and then people started wondering why they couldn’t find things easily.

There’s also a bit of an adjustment period for anyone coming from traditional folders. The concept does click after a while, but some team members definitely needed time before it felt natural and became second nature. Review collected by and hosted on G2.com.

"Reliable Platform for Managing Documents and Content Workflows"
5/5
What do you like best about M-Files?

I started using It very Recently. As a Dietitian and Nutritionist and also someone who handles health awareness content for social media, M-Files has helped me manage many different types of work in one organized place. i use it for patient education handouts, clinic follow-up notes, nutrition content plans, awareness post drafts and other daily documents, so the document management feels very practical for real work. The best thing is that files stay connected with proper metadata based search, document collections and version history, so even older nutrition plans or edited files can be found quickly without wasting time.

I also like that the workflow system helps keep documents properly managed when updating health education material or clinic related files. The preview feature, check in/check out system, version history and access control make the work feel more organized, specially when handling many content drafts together. Ease of Use feels good because after some regular use the whole system becomes easier to manage for day to day work.

Metadata based organization, workflow automation, secure document handling, version control, preview, document collections and integration support all help in keeping work cleaner and easier to track. I use it very frequently now because health content, nutrition schedules, patient documents and awareness materials can all stay properly organized together instead of getting scattered in different folders. overall it feels more like a complete document workflow system instead of just simple file storage. What do you dislike about M-Files?

one thing I did not like in the beginning was that M-Files has many metadata, workflow and document management options together, so for a new user the system can feel a little confusing at first. Some features are very useful once understood properly, but learning everything takes some time specially when managing many document categories and workflows together. I also noticed that proper metadata setup and document organization is important, otherwise tracking files can become slightly difficult when many versions and documents are stored together. "Vital for Document Governance, But Setup Challenges"
3.5/5
What do you like best about M-Files?

I find M-Files easy to use, and its performance is satisfactory when you have a broadband connection and are geographically close to the data center. I like that new features keep being added. Basic document management works well within a specialized vault. M-Files plays a vital role in our system with its integrations with other systems like ERP and CRM, making it an essential part of our operations. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

The roadmap is unclear and never provides any target dates for new features. New features are often not ready for production use in the context of a large enterprise. The product often feels more oriented towards medium-sized companies. Additionally, the initial setup was hard and took a lot of work. Review collected by and hosted on G2.com.

"Powerful, Flexible Platform with Stellar Support—UI Could Be More Modern"
4.5/5
What do you like best about M-Files?

Our overall experience with M-Files has been excellent. The product is powerful yet user-friendly, and it consistently delivers great value to our customers. What really stands out is how flexible and scalable the platform is — it adapts easily to different business needs without being overly complex.

The M-Files team has also been fantastic to work with. They’re responsive, knowledgeable, and genuinely invested in partner success. Whenever we’ve needed support or guidance, they’ve been quick to step in and help. It truly feels like a partnership, not just a vendor relationship. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

The user interface could be more modern and consistent. While M-Files works really well, some parts of the UI still feel a bit dated, and new users sometimes need time to adjust.

Occasional complexity in setup and configuration. Because the platform is so flexible, initial configuration can be a little overwhelming without proper guidance — though the support team is always helpful when needed.

Performance can vary with large data volumes. In environments with very high document counts or complex workflows, the system can slow down slightly, but optimization and updates usually address it. Review collected by and hosted on G2.com.

"A Smarter Way to Manage Business Files"
5/5
What do you like best about M-Files?

The thing I like the most, that it was simple for me to learn. I especially like the Access from anywhere feature, whether I am on my laptop at home, on a train or meeting a client on site, I can open and share documents. Then they also have metadata organization, where instead of remembering folders I search by things that represent that folder, like name, project or even a document type. So the features are very useful and there is a lot of them that we have implemented, and it's a good thing for any customer, and we are in a very specific field which is Farming Business, so our documentation, reports, invoices are very specific. The best thing about this product is their AI, it's awesome, it really understands how to store files, It has been a pleasure using it since it most our our digital paperwork for us Review collected by and hosted on G2.com.

What do you dislike about M-Files?

While it brings benefits to my business, there is a small hurdle that I have noticed. Mainly it's the speed it takes to load filed, updates, features. It's not ridiculous, but still something they can improve Review collected by and hosted on G2.com.

"Effortless Document Management and Seamless Organization"
4.5/5
What do you like best about M-Files?

1. Finding documents becomes almost instant because the system focuses on metadata instead of folders.

2. The workplace stays naturally organized, even when many teams are adding files. So, it is not cluttered or difficult to follow.

3. Permission control is very straight forward, making it easy to share documents securely without overcomplicating things.

4. Their support team is genuinely helpful and quick to respond, and the integration experience is also smooth, and no heavy customizations required. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

1. Some actions take a few extra clicks, which slows down quick tasks like moving or renaming documents.

2. Search results occasionally show too many suggestions, so you need to refine what you type to get the exact file.

3. Custom workflows require some technical guidance, which isn't always easy for non-IT users.

4. The implementation phase can feel a bit demanding. Review collected by and hosted on G2.com.

"Great from Managing Brewery Documentation"
5/5
What do you like best about M-Files?

With M-FIles we are now able to bring all our operations into one platform. Whether it's supplier agreements, tap room lease paperwork, or marketing assets, now I can find the specific documents I need within a couple seconds thanks to the Fast Search feature they have, which was greatly explained by their support team. On top the implementation was surprisingly smooth, once we had our initial setup done it just started working. Not a crazy feature, but their interface is very well adjustable, you can pretty much change it to your business needs, remove tabs and options you don't use, and add new ones that are important. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

At the moment there is only one downside our team has noticed, is the AI assistant. It is hard to make him do the job properly, somehow he manages to add wrong tags to wrong files, which really creates chaos. Currently we have it disabled, since it was one of our main reasons for sign up, we will have a call with M-Files team to work on it together. Review collected by and hosted on G2.com.

"Strong search capabilities but steep learning curve"
4/5
What do you like best about M-Files?

The metadata search part of this system is clearly the strongest. Once we’ve got everything accurately categorized, looking up a file takes seconds even if we don’t know just where we’ve placed it. Also, we make a great deal of use of the versioning system that’s provided; it’s easy to understand and isn’t an activity we’ve got reversed very many times now that we know how useful it can actually prove. The interface with Outlook makes managing documents based on email very simple. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

The setup took longer than we had anticipated, and this is largely because the structure of the system varies so greatly from the more common folder structures. Some of the individuals on the team took a bit longer getting used to the idea of the metadata layout system’s approach. The interface could also be considered a bit outdated. They help us out with some basic things, just some simple docs organization and access abilities with ability to share it with team members. The interface is clean which makes it easier to work with during long periods of time. M-Files App provides good features for files storage and stucturization. They also have great guys in setup/support teams they made the whole experience smooth and easy. Review collected by and hosted on G2.com.

What do you dislike about M-Files?

We've had some issues with syncing multiple devices, seems like they don't support some specific firmware models besides that that so far everything is positive. Review collected by and hosted on G2.com.
