Deductia
Deductia is a specialized, cloud-based accounting and invoicing platform designed explicitly for self-employed professionals, legally known as "autónomos," operating within Spain. The platform's primary mission is to automate the tedious and time-consuming administrative tasks associated with freelance bookkeeping, expense tracking, and tax preparation. By leveraging artificial intelligence and integrating with accessible communication tools like Telegram, Deductia aims to eliminate manual data entry, the reliance on outdated spreadsheet software like Excel, and the disorganization that often plagues freelancers at the end of every fiscal quarter. It is a strictly functional, utility-driven software built to handle the unique legal and fiscal demands of the Spanish tax system, ensuring that data is managed securely and is fully GDPR-compliant. The Core Problem Deductia Solves To understand the true value of Deductia, it is necessary to examine the quarterly obligations of a Spanish freelancer. Every three months (January, April, July, and October), autónomos are required by law to file tax returns. This involves calculating the Value Added Tax (IVA) they have collected and paid, as well as managing their Personal Income Tax (IRPF) withholdings. Traditionally, this process leads to a chaotic rush just before the deadline. Freelancers often find themselves searching through physical wallets for faded paper receipts, digging through email folders for digital invoices, and manually inputting all this data into spreadsheets. Furthermore, accountants (gestores) frequently have to chase their clients for missing documentation. Deductia is built to solve this exact problem by capturing expense data at the very moment the transaction occurs, thereby maintaining a constantly updated, error-free financial ledger without the need to reconstruct history at the last minute. Capture Mechanics and Artificial Intelligence Integration The most defining feature of Deductia is its frictionless capture mechanism. The platform is designed so that users do not need to sit down at a desktop computer to log their daily expenses. When a freelancer pays for a business-related meal, purchases office supplies, or receives a digital invoice, they can process it immediately using three primary methods: Telegram Bot: Users can simply snap a photograph of a physical paper ticket with their smartphone and send it to the dedicated Deductia bot on the Telegram messaging app. Email Forwarding: Digital PDF invoices received from suppliers can be directly forwarded to the platform via a specific, dedicated email address. Web Dashboard: Traditional uploading via a mobile-friendly web interface is also available for those who prefer it. Once a document is submitted, Deductia’s built-in Artificial Intelligence instantly takes over. In approximately 30 seconds, the AI scans the document and automatically extracts all critical fiscal data. This includes identifying the supplier's name, extracting the Tax Identification Number (NIF), determining the base taxable amount, calculating the specific IVA and IRPF percentages, and categorizing the expense. The user merely needs to verify the extracted information, effectively removing the need for manual transcription. Furthermore, the system includes smart safeguards to detect duplicate invoices, ensuring that users do not mistakenly claim the same tax deduction twice and face penalties from the tax authority.
