&lt;p&gt;Worth separating the technical override from the deliberate one, since organisers regularly want to squeeze one more person into a full session for a good reason. A system that blocks that absolutely just creates a paper list alongside it. Oh this is a very specific scar, and if you&#39;re asking it means you&#39;ve been burned by a double-booked room already. This comes down to whether the booking system enforces capacity server-side in real time, or just hides the &quot;full&quot; slot in the UI and lets a race condition through. Ask the vendor point blank how they handle two people grabbing the last meeting slot at the same second. If they don&#39;t have a crisp answer, assume it&#39;ll happen to you. Are these self-serve attendee bookings or organizer-assigned? Self-serve is where the overrides usually sneak in.
