How do you manage high volume of duplicated data?
Hello! Currently, we have a high volume of duplicated Account records in our Salesforce. Please, how anyone here who face the same situation deal with that? I already use duplicated rules and third-party apps to help, but it doesn't seem to be enough.

It's easier to remove the duplicates from the .csv file you are using to upload the data to Salesforce prior to doing so. Otherwise you're going to have to search for one piece of info they all have in common, maybe like their phone number and then you can use ctrl+f to search excel for that info and just highlight the data you don't want any longer and remove the duplicates. I used to just upload whatever and remove it afterwards but it's really not a good practice and gets you in a bad spot sometimes because you can end up with a lot of duplicates. Otherwise, depending on how you save your leads/data for uploading; but if it were me I would just delete all of the leads and start over after I updated the excel .csv file to remove the duplicates because it will be more efficient that way.

The first thing to accept is that this usually isn’t just a tooling gap
it’s a process gap. Duplicate rules and third-party apps can only catch so much if duplicates are continuously created through different entry points like manual input, imports, or integrations. The real question she needs to answer is where the duplicates originate from. In most cases, it’s inconsistent naming conventions, lack of standard fields like website/domain, or multiple teams creating records without visibility into existing data.
What tends to work better is combining prevention with smarter detection. Native duplicate rules in Salesforce are often too lenient, so tightening the matching logic using combinations like account name, domain, and phone number makes a big difference. Tools like DemandTools or Cloudingo help because they allow more advanced fuzzy matching and bulk operations, which Salesforce alone struggles with at scale. But even with these tools, you need to guide user behavior by adding soft warnings or required fields that make it harder to accidentally create duplicates in the first place.
For the existing backlog, she’ll need a structured cleanup approach rather than ad hoc merging. That usually means grouping records based on similarity (like domain or name), defining clear rules for which record should be retained, and then using batch deduplication tools to merge them in bulk. Doing this manually inside Salesforce is slow and inconsistent, so external tools become almost necessary once the volume crosses a certain threshold.
The part most teams underestimate is governance. If there’s no clear ownership of data quality and no agreed standard for how accounts should be created, duplicates will keep coming back no matter how many times you clean them. Setting simple rules like always capturing website domains, avoiding abbreviations, or standardizing naming formats combined with periodic monitoring (weekly or monthly checks) helps keep things under control long term.
In short, what works is not just “better deduplication,” but fixing the system that allows duplicates to exist in the first place. Once prevention, cleanup, and governance are aligned, the problem stops feeling like an endless loop and becomes manageable.
