What do you like best about ZenQMS?

There are several reasons why I would recommend ZenQMS. First, customization is a real (and the biggest) advantage: the system lets us build our own workflows the way we want, with little to no limitations. As a growing SaaS company, it helped us to improve our internal processes to fit our needs.

Another key point is the frequent updates. New features are released regularly, including both improvements to existing functionalities (such as the new dashboard and UI, conditional fields, etc.) and entirely new functionalities (AI prospective features, integrations with other softwares).

I also find the platform quite instinctive. The different dashboards help us navigate the system and quickly find the tasks we need to complete (either trainings, documents signatures, which workflows are due, etc.). Most functionalities are also easy to use once you get familiar with them. Finally, the onboarding and implementation were very well supported. We had regular follow-ups and clear updates on the overall status, which made a big difference. Since some steps were quite heavy (more than 10.000 documents to migrate), this support really helped us manage expectations and requirements before moving on to the next step. What do you dislike about ZenQMS?

I find the Search feature a bit limited, as it struggles to find documents when typing multiple keywords, notably when they don't follow each other. The training completion task could be improved, as when you click on the document, it leads me to the document itself, and not the training task I would need to complete. What problems is ZenQMS solving and how is that benefiting you?

The main reason we moved to ZenQMS, and what supported us the most until now is the ability to manage our own workflow, so that we can tailor the system to our needs.

The best example would be to compare the previous system for change approvals compared to ZenQMS Change Controls module: in the previous system, we had to maintain the process paper-based, and only use the system for the approval of the document. While it worked, it led to several limitations (outdated templates used, multiple versions of the documents incorrectly tracked, etc.)

With ZenQMS ability to create our own workflow, the issues were tackled easily at the same time: a single workflow that still runs in two steps, and can be documented directly in the system.
