**What do you like best about Zapier?**

Something I love about  Zapier is that it is easy to use. It's not a complicated automation tool. You can easily use it to automate tools with the help of the AI built in it, which is great whenever you get stuck. The initial setup is very easy because it's well explained from the trigger part to the action button. And when you get stuck, the AI in Zapier helps to solve the problem. I also appreciate that it makes work easier and saves time by automating tasks and reducing errors, especially those caused by fatigue when doing manual tasks.

**What do you dislike about Zapier?**

When you are using the advanced part of Zapier, like the 'code by Zapier' and other features, it can get hard. I wish they would create a course to teach people how to use these advanced features. Also, when they make updates, like in the formatter and utility parts, it can cause issues with the past setup and cause confusion about what you already know about it.

**What problems is Zapier solving and how is that benefiting you?**

I use Zapier to automate tasks, which saves time and reduces errors caused by fatigue in manual work. It makes my work easier.

**What do you like best about Zapier?**

What I like most about Zapier is how effectively it automates repetitive operational workflows between systems that normally do not communicate well with each other. In project coordination, reporting, lead tracking, notifications, and workflow management, it significantly reduced the amount of manual copying, updating, and follow-up work across different platforms.

The biggest advantage for me was the integration ecosystem. I regularly used workflows connecting tools like Salesforce, Google Sheets, Slack, Jira, Notion, forms, and reporting systems to automate notifications, task creation, data synchronization, and approval-related processes. Instead of manually updating multiple platforms, workflows ran automatically in the background, which improved operational consistency and reduced human errors.

I also appreciated the UI/UX because even non-developers can build useful automations quickly using the visual workflow builder. Features like Filters, Formatter, Webhooks, multi-step Zaps, lookup tables, and conditional logic helped create more advanced workflows without requiring full development support. The onboarding process was straightforward overall, and testing automations step-by-step made troubleshooting easier during setup.

Another unexpected benefit was how much time it saved during repetitive operational activities. Tasks like lead routing, internal alerts, project updates, reporting synchronization, email triggers, and approval notifications became fully automated, saving several hours every week and improving workflow reliability across teams. The newer AI-assisted suggestions and Copilot-style automation guidance were also helpful for simplifying automation setup and optimization

**What do you dislike about Zapier?**

One limitation is that pricing can scale quickly once workflows become more complex or task volumes increase significantly. For organizations running many automations across multiple systems, the task-based pricing model can become expensive over time.

I also noticed that debugging larger multi-step workflows sometimes becomes difficult, especially when failures involve APIs, webhooks, filters, or multiple connected systems. Basic automations are very easy to configure, but advanced workflows require additional troubleshooting effort and ongoing maintenance.

**What problems is Zapier solving and how is that benefiting you?**

Before using Zapier, many operational workflows required manually transferring information between different tools, which created delays, repetitive work, missed updates, and inconsistent reporting across systems.

Zapier solved this by automating data synchronization, notifications, task creation, approvals, reporting updates, and workflow triggers between platforms that otherwise operated independently. Instead of manually updating spreadsheets, CRMs, ticketing systems, forms, and communication tools, workflows became fully automated and much more reliable.

For example, when new project data, form submissions, reporting updates, or operational requests were created, Zapier automatically triggered Slack notifications, created Jira tasks, updated tracking sheets, synced CRM information, and routed alerts to the correct teams without manual intervention.

The biggest benefit has been reduced repetitive work, fewer operational mistakes, improved workflow consistency, faster coordination across teams, and significant time savings during daily project and operational activities.

**What do you like best about Zapier?**

What I like most is how easy it is to connect tools that normally don't work well together without needing engineering support every time. We mainly use it for automating sales and ops workflows between Salesforce, Slack, Jira and a few internal reporting tools.
And the setup for simple automations is pretty quick and the UI is easy enough for non-developers too. It saves a lot of repetitive manual work especially around lead updates, notifications, task creation and syncing data across teams.
The huge integration library is probably the biggest advantage. Even when a direct integration is missing there's usually some workaround using webhooks or APIs which is pretty useful.

**What do you dislike about Zapier?**

The task limits can get used up pretty fast especially if you have multiple automations running across systems, debugging more complex workflows can also be a little messy sometimes. For basic automations it's super straightforward, but once you start adding filters, paths, webhooks or multi-step logic it takes some time to properly troubleshoot failed runs.
Some integrations also feel slightly limited unless you use custom APIs or webhook based workarounds, though that's not a huge issue if you're comfortable working with technical teams.

**What problems is Zapier solving and how is that benefiting you?**

Zapier is mainly helping us reduce repetitive manual work between different systems that don't naturally communicate well with each other. A big challenge for sales and operations teams is keeping data synced across platforms without constantly doing manual updates and follow-ups.
We use it to automate things like lead routing alerts, Slack notifications, Jira task creation and syncing updates between Salesforce and internal reporting workflows. It honestly saves a good amount of time and reduces small operational mistakes that usually happen with manual processes.

The drag-and-drop workflow builder makes it straightforward to create, manage, and adjust automations (Zaps), which improves the overall UI/UX experience. Even basic setups can be completed quickly, and the onboarding process feels simple enough for beginners to follow.

In my day-to-day work, Zapier has significantly reduced manual effort and consistently saves me a few hours each week. That time savings translates into a solid return on investment (ROI), especially when I’m managing multiple workflows at once.

Performance can sometimes be an issue, especially when dealing with multiple Zaps or high task volumes, where delays or failed runs can affect workflows.

Pricing is another concern, as costs can increase quickly when scaling usage, which may impact ROI for smaller teams or businesses.

Zapier solved this by automating these processes and connecting different tools seamlessly. Now, leads are automatically synced between CRM and marketing platforms, and workflows trigger instantly without manual intervention.

As a result, we’ve significantly reduced manual work and improved process consistency. It saves us several hours each week and reduces the chances of human error.

**What do you like best about Zapier?**

I use Zapier for several automation workflows like integrating forms with my CRM and bringing data from Facebook Leads into my CRM. Even if my CRM doesn't have native apps, I often find workarounds. The interface is really friendly and intuitive for anyone starting with automations. The support and AI features are getting better. Although the initial setup felt scary, I got familiar with the options and tools really fast, and the ability to create complex workflows with just a few clicks is great.

Also, the speed of the workflow is incredible. 
You can test each step in less than a second.

The email parser tool really was a game changer, because I can bring a lot of data from my emails and adapt them to bring data into the automation.

Filters and Lockuptables also made my experiences more tailored, so I can make automations that fit my specific needs.

Formatter and Storage tools made it possible to make a round robin scenario to deliver deals to different users.

**What do you dislike about Zapier?**

The AI bot isn’t always fast at finding errors, but it’s improving. Also, some really important apps are marked as “premium,” and at times the billing conditions aren’t the best. In the beginning, the setup felt a bit “scary,” but you get familiar with the options and tools pretty quickly.

I also think LinkedIn could use more triggers as an app, because I have a lot of usage scenarios that just don’t fit into Zapier.

Finally, I prefer the “drag and drop” approach for building automations.

**What problems is Zapier solving and how is that benefiting you?**

Before, I couldn't connect all my apps into my CRM, because they didn't have a native integration. But using Zapier changed this. 

Zapier simplifies complex workflows, allowing me to integrate forms with my CRM and import data from Facebook Leads seamlessly, even without native CRM apps.

Also, I can find solutions for my constantly changing daily workflow.

**What do you like best about Zapier?**

Zapier is the bridge between systems that don't speak to each other. The integrations allow you to make a big difference in so many ways. 

Plus, I like the UI better than some alternatives. Having Copilot is a big plus! 


Something that the alternatives don't have. Zapier has allowed me to streamline inefficiencies and saved hundreds of agent hours! 

Another plus is the free trial/plan -- it allowed me to build out the concept to show leadership what could be done without any cost. They quickly bought a year membership once I showed them what I built!

**What do you dislike about Zapier?**

So far, there isn't a lot I dislike about Zapier! I have spent a lot of time in the system and built out many different zaps, even going back and creating V2 and V3 of the first zaps I created.

**What problems is Zapier solving and how is that benefiting you?**

So many things! The latest zap I built helped auto solve 200+ Zendesk Child tickets that were
 left open after their individual parent tickets were solved. And that was in the first ~11 days!

The ease of setting up automations is what makes it stand out from competitors. The functionality and UI/UX are convenient and straightforward to understand, so even a non-technical person can set up automation workflows with ease.

**What do you dislike about Zapier?**

I can’t build complex systems or advanced AI agents using Zapier. I can add small JavaScript snippets, but I can’t include libraries, which limits what I’m able to do. If Zapier offered more functionality for building complex AI agents in a more user-friendly way than competitors, it could become the best AI automation software.

**What problems is Zapier solving and how is that benefiting you?**

I’ve built many automations in Zapier to learn how automation works and to streamline my day-to-day tasks. One simple automation I set up automatically sends emails to my clients when they fill out a form to show interest in our service. It saves me around 30 minutes each day—time I previously spent manually sending those emails. I’m still learning Zapier so I can automate even more repetitive tasks.

Overall, it’s improved both consistency and speed, and performance has been reliable even when handling high volumes of tasks. **What do you like best about Zapier?**

Zapier basically takes care of all the boring stuff that used to eat up my whole morning. Instead of copying lead info from one place and pasting it into another, it now happens automatically. That’s a huge relief, because I don’t have to worry about typos or forgetting to update a spreadsheet. It connects the different apps we use so they actually work together, and I can finally focus on my real work.

**What do you dislike about Zapier?**

My main issue is how quickly the cost adds up once you start relying on it for everything. Since they charge based on how many tasks run, a busy month can make the bill a bit of a shock. It can also get messy when a "Zap" stops working because one of the connected apps changed something on their end. Then you’re stuck digging through the settings to figure out what went wrong, which can be a real pain—especially if you have a lot of different steps and automations set up.

**What problems is Zapier solving and how is that benefiting you?**

It mostly solves the problem of having a bunch of different tools that don’t talk to each other. Before we started using this, I was spending way too much time moving data around by hand, which was a total waste of energy. Now I can basically set it and forget it. The biggest benefit for me is the peace of mind: when someone fills out a form or pays an invoice, the right people get notified, and the information goes exactly where it needs to be without me having to think about it.

**What do you like best about Zapier?**

What I like best about is how I use it to connect Notion with tools like Google Sheets. Whenever I add data in a form or sheet, it automatically creates an entry in Notion. I don’t have to copy-paste anything manually anymore. This has saved me a lot of time in managing content and tasks.
I also use it to get instant updates or notifications when something changes. Once the workflow is set, it runs smoothly without issues.

**What do you dislike about Zapier?**

The task limit on the free plan, When I connected Notion with Google Sheets, my tasks got used up very quickly. Even simple automations started hitting the limit faster than expected. Because of that, some workflows stopped in between. Also, multi-step automations are only available in paid plans. So I couldn’t build more advanced workflows without upgrading.

**What problems is Zapier solving and how is that benefiting you?**

The problem of doing repetitive manual work between apps. Earlier, I had to copy data from Google Forms or Google Sheets into Notion manually. Now it happens automatically as soon as new data is added. This saves a lot of time and reduces chances of mistakes. I also use it to trigger notifications when new entries are created. So I don’t have to keep checking things again and again.

**What do you like best about Zapier?**

Being able to jump right into using agents with zero coding experience is just amazing. The ability to describe what you want in normal written text and have that executed is just next level. The UI is simple to use and took only a couple minutes to figure out.

**What do you dislike about Zapier?**

No specifically about Zapier but using API in Zapier was also brand new to me. I struggled to get the agent to do what I wanted using an API.  I think I did not have all the permissions properly set up but Zapier could only help me so much in this regard.

**What problems is Zapier solving and how is that benefiting you?**

I was able to automate daily searches across multiple platforms and consolidate the data recovered and have that sent to me by email. Definitely a time saver. I was on the free plan but I will upgrade to a paid plan. it is obvious that this is the future for me. With no coding backround, I found this really handy.

**What do you like best about Zapier?**

Zapier allows us to automate in ways that make our business' day easier, get more accomplished, reduced errors and follow the same processes. We use Zapier to tie together our HubSpot CRM, Quickbooks, home-grown systems and other applications without having to deal with custom coding and all the APIs.    The user interface allows us to very rapidly introduce new Zaps and Zapier forms when we identify the needs.   And, since we rarely ever experience issues with Zapier, our systems run in a 99.9% uptime.  Over the past 10 years of use, we have expanded our Zapier subscription as needed, allowing us to keep the costs inline with our actual usage.   Support has been excellent; they even contacted me regarding a functionality request with MySQL and had me test it when ready (which really opened up a lot more functionality for us).   Their adoption of AI for use in the workflows and agentic use has created an entire new pathway for us to use Zapier to assist our team.

**What do you dislike about Zapier?**

To our company, the only issue to Zapier is it required us to actually take the time to review everything we were doing (which often pointed out things we should be doing better).    Since we grew with the platform's expansion over 10 years, I have had to updated many of our Zaps to keep up to date with the newest App connections, but that is small price to pay.

**What problems is Zapier solving and how is that benefiting you?**

At a high level, our use of Zaps most impacted our ability to communicate internally and externally in a clear, concise and timely manner.   At a deeper level, using Zapier for connections with many platforms such as Google Calendar, Quickbooks and MySQL allowed us to more rapidly expand our home-grown application's functionality without having to constantly dela with the APIs for those applications.  My team does not manually move data around anymore - we use Zapier!

From my experience, Zapier stands out because it balances ease of use with a surprisingly powerful set of capabilities. The UI/UX is intuitive enough that I was able to start building workflows quickly without much ramp-up, and the sheer volume of integrations meant I could connect almost every tool I was using without needing custom development. Performance has generally been reliable for the types of automations I’ve run, especially for operational workflows that don’t require real-time precision. From a pricing and ROI perspective, it’s easy to justify when it replaces repetitive manual work, though you do have to be mindful as usage scales. I also found the onboarding experience straightforward, with plenty of templates and guidance to get started, and support resources that helped fill in gaps when needed. I don't love the limits on the number of paths you can have, although the limit has increased since it was first launched. The biggest thing I dislike is their pricing model. Also, once you try to build more advanced workflows, it can get a bit messy. Things that seem simple in your head sometimes require multiple steps or workarounds, and debugging those flows can be frustrating. Like advanced workflows with multiple agents and decision trees like what Langgraph can handle needs to be incorporated, but still a W platform

Zapier is solving a very real problem I was facing, too much repetitive manual work in our HR process.

Before, hiring interns and managing attendance was honestly messy. Applications would come in through the website, then I had to manually check them, copy details into Google Sheets, send emails, and coordinate Zoom meetings. Same with attendance, tracking everything manually in sheets and updating it again and again. It was time consuming and easy to mess up.

What I did with Zapier was connect everything together using APIs. Now when someone applies on our website, their data automatically goes into Google Sheets, triggers a workflow, and even helps set up Zoom meetings for interviews. For attendance, data flows directly into sheets without me having to update it manually every time.

So the problem it solved was all that repetitive, manual back and forth work.

And the benefit for me is huge

I really appreciate how Zapier makes setting up its different products easy to understand. Most of the time, little to no coding knowledge is needed, which expands the number of people at Koddi who can use Zapier’s products. I also like their recent change where a single subscription cost covers all of the products in their offering, and that made it much easier for us to decide to keep our Zapier subscription. They also are always adding connections to their program, and improving on connections that already exist. Even subscribing to their blog has been helpful in determining how to go about regular business use cases, and provides a valuable insight into the possibilities of the Zapier product as a whole.

**What do you dislike about Zapier?**

I believe there should be a way to configure reusable Zaps or mini-Zaps across our Zapier ecosystem, so we don’t have to rebuild the same three or four steps each time—especially the steps required to set up case assignments in our automations. That said, they’ve recently released “sub-zaps” in beta, and I’ll be actively testing them to see whether this feature solves the problem.

Our teams have been able to automate reports at a very basic level. However, I think Zapier’s biggest impact on our company has come from using their Forms to set up a portal for our CS team to submit tickets to our Financial Operations team in a consistent, uniform format. This portal has significantly reduced the need for the FinOps team to reach back out to the CS team for missing details, and the end result has been much faster turnaround on financial tickets. Overall, our turnaround time decreased by almost two full working days (16 hours).

As a result, our CS team has fully embraced the portal created for them. They’re seeing more positive interactions with their clients, and those clients have greater confidence in our company’s ability to manage their accounts. With that added confidence, the company’s expansion and scaling has increased year over year.

Zapier has saved me a ton of time and sanity! I'm a one-person marketing department for a company with 7 locations, 100+ employees and 650+ clients. I have a lot on my plate, and Zapier has helped me set up automations for things that I otherwise wouldn't be able to keep track of. The most helpful integration is with Google Ads, specifically for transferring over information from form completions into my CRM. It's super user-friendly and easy to set up, and I find the "duplicate zap" feature to be especially helpful as I often need to run the same automations for multiple campaigns. It's very reliable and I rarely encounter technical issues with it, but if I ever have questions or need assistance their customer service team is really helpful and responsive.

The main thing I dislike about Zapier is that, while there are SO many platforms and softwares that it integrates with, the specific CRM I use (Intellikids) has very limited integration capabilities. The things I'm able to use Zapier for are extremely helpful, but I have encountered a few situations where the integration I'm looking for (from one software/platform into my CRM) isn't possible. I'm using a Zap that was created by the CRM company though, so I think this issue lies more with them than with Zapier. That it's intuitive and visually appealing. For me, it's important to be able to see flows visually and Zapier makes that easy - like a puzzle. Copilot is also a great tool for when I'm lazy, and the amount of integrations and apps it can connect to is very good. I recently automated it to add my new TypeForm leads to my CRM and no matter how many leads it gets, it does not lag or fail and they are quickly added to my to-do list.

I don't think there are many downsides. I use the free version of it, and arguably at times I would like to have a few more steps included in the free version, but it's not a major setback. I would say, for some beginners, it can be a little cryptic if they don't onboard properly (most don't), so they may need some more help or they may give up on the product too soon. I personally have a coding background so I understand the flow, but I have had discerning opinions on how the language is used.

The biggest issue we have noticed with Zapier is the pricing model.  While we appreciate the pricing structure, we believe there should be a price tier in-between the Free and the Professional tier.  This would allow perhaps a limited number of "steps" and a collection of premium apps to help startups like ourselves to benefit a bit more. Currently the jump from Free to $29.99/month ($19.99/month paid annually) is a bit steep for us.

Zapier is amazing. It extends the functionality of some software and is a glue between software so you can expand the functionality and tasks between one or more different products and have it do things that weren't even possible before.

**What do you dislike about Zapier?**

The only thing I dislike about Zapier is that all tasks are counted as a zap, regardless of how many steps are in the zap. You may have a zap with 10, 15 steps or a zap with two steps and they're both counted the same way.

**What problems is Zapier solving and how is that benefiting you?**

We have several Zaps running in our company but the one that truly gave us a benefit is connecting Zapier up to our AMS and our Circle community and being able to assign badges as the AMS is updated. We don't have to do a manual update or CSV import into the Circle community.

The initial setup was very easy and the support was good too.

**What do you like best about Zapier?**

I used Zapier to automate sentiment analysis for different clients by transforming data and moving it into spreadsheets for human interaction. I've automated weekly reports and put together a website that was updated with Zapier events. What I really like is the ability to integrate to pretty much anything. The tools available within Zapier to transform data are great, and it's easy to work with the Zap creator. Zapier made it easier to communicate with the clients' Google suite, mine data from hundreds of thousands of rows to focus only on what's important, reduce manual input, and auto-update Asana with project updates, reassigning next steps to owners. The initial setup was as straightforward as it gets, and it was easy to understand how to create Zaps and use the tools.

**What do you dislike about Zapier?**

I would have loved more API availability to connect to the company’s developed LLM, which would keep us using it. We had to remove it due to security concerns. Clearly state GDP compliance and ISO best practices, open the ability to connect to private LLMs and not just to direct platforms would allow to scale within my business cases. The only difficult part was connecting it to OpenAI.

**What problems is Zapier solving and how is that benefiting you?**

I use Zapier to automate tasks, saving me about 20 hours per week. It reduces manual work, integrates easily with tools like Google Suite, Asana, and Excel, and helps in optimizing workflows and providing project visibility.

**What do you like best about Zapier?**

What I found most useful about Zapier was it's innate connections to other platforms - especially prior to the adoption of Chat GPT And or Claude. Zapier enabled me to have automatic executive updates curated from one input into Jira Premium that then triggered a slack update for real time conversations. This saved a lot of back and forth in meetings. It helped a lot with manual coordination work. 

Zapier also was more technical than other products - it enabled the MCP use prior to make.com and other competitors - and was appealing to al ot of engineers I previously worked with. It isn't however, HIPAA compliant, so I am no longer able touse Zapier without a BAA at my current company.

**What do you dislike about Zapier?**

I have never liked Zapier's UI. IT is not intuitive, and for those in a product or less technical mindset - it really was hard to navigate and learn on my own. I even know internal employees at Zapier who claim not to like it. I preferred Make.com - it was much more inviting to non-technical users and was easier to adopt.

**What problems is Zapier solving and how is that benefiting you?**

Right now I haven't used Zapier as much anymore. I use claude - it has memory of all my conversations in specific projects, and it has enough connectors and MCP connections to other platforms that I use that I no longer have Zapier in my daily use of platforms.

While the AI features and conversational copilot are useful for basic logic setups, the intelligence engine occasionally struggles to parse deeply nested or poorly structured JSON payloads from custom webhooks. When this happens, you have to bypass the natural language interface and write custom JavaScript or Python steps to sanitize the data manually.

Additionally, error tracking and debugging within complex, looping paths can be clunky. If a single task fails mid-workflow due to an external API timeout, finding the exact point of failure within the run history takes more time than it should. Zapier can get confusing if you are unfamiliar with the software. I think the help questions assist when needed, but I have relied on external AI to answer questions I can't find

I think that Zapier makes it easy to connect different products and services together in a detailed and complex manner.

I find that the user interface and user experience is difficult to use. As someone who has tried to get it to work several different times, I find a hard time when connecting uncanny items together. The AI offering within Zapier is not very intelligent, and has led me down many rabbit holes. There was also no support and no onboarding for the service. Even an intro email leading me to product support guides or more instructions would have been helpful. I also found that the performance was not the strongest.

I used Zapier to integrate between Klaviyo, Google and Shopify. It did not work as intended and I was forced to use a manual integration. Not all of the features that were claimed were included and this made me feel that the ROI and the price to continue to use Zapier was not justified.

I use Zapier for marketing lead integration, specifically for channels like Meta and LinkedIn to easily route lead generation forms from platform to CRM. It helps save time by automating the lead transfer from marketing channels into CRM, which previously required manual downloading, editing, and sending to our marketing operations team. Once Zapier was set up with the actual logic and workflow, it turned out to be a pretty simple setup. The return on investment is profound given the man hours it took to complete the work Zapier does in seconds.

**What do you dislike about Zapier?**

There are times when the integrations get disabled for some reason, specifically with LinkedIn. Every thirty or sixty days or such, we see a break in the actual integration, and leads do not route into our CRM. I wish that wasn't the case and that Zaps did not need to be re enabled, this is specific to LinkedIn automation however. Performance wise this really kills our time to first touch rate, which is a bummer.

I use Zapier for marketing lead integration, saving time by automating the process of routing lead generation forms from platforms like Meta and LinkedIn into our CRM, eliminating manual downloads and uploads. Zapier allows my team to quickly route on platform marketing leads to our CRM. Previously we had to manually upload these leads from the platform which was time consuming and hurt our lead to demo rate, and overall pipeline.

What I really like best about this awesome tool is the flexibility of the automations. We use it with PropertyRadar to automatically organize leads and update contact data, which saves a lot of time compared to doing everything manually.

One small downside is that some advanced workflows take a little time to set up properly at first, especially when using multiple apps together. But once everything is configured, the automation runs reliably and saves a lot of time.

**What do you like best about Zapier?**

I love Zapier because it helps us create a flow that works for us, especially when some tools are clunky on their own. I'm able to set up a zap easily once I get the hang of how Zapier works, and their AI feature does a lot of the legwork for me just by describing what I want it to do. The AI tool is usually pretty accurate, requiring only minor tweaking to get things running. I also appreciate that Zapier helps us migrate users into our software from a CSV file, taking a lot of mundane tasks off our plate. Plus, it has been very beneficial in connecting various tools like Stripe, Airtable, and our own software for enhanced data analysis and project creation.

**What do you dislike about Zapier?**

I find the support from Zapier itself to be a bit lacking. I think it could be better.

**What problems is Zapier solving and how is that benefiting you?**

Zapier helps integrate Stripe with Airtable and other software, simplifying our workflow. It connects clunky tools, automates financial data transfer for better analysis, and eases user migration via CSV files. The AI feature simplifies setup by handling much of the initial work.
