**What do you like best about When I Work?**

I find When I Work to be very user-friendly for both management and employees. It's easy to export hours for payroll into Gusto, which saves us a lot of time and greatly reduces the risk of human errors. Managing it on both the computer and the mobile app is straightforward. The interface is so intuitive that we rarely have to troubleshoot with our employees. They can do what they need to do, management can access what they need, and HR can see everything they need to keep payroll moving smoothly and on time. I also appreciate that the setup process has only gotten better and easier to manage over time.

**What do you dislike about When I Work?**

It would be really lovely if there were a way to see availability for all employees at once so scheduling could be a little more seamless. This is a frustration that our managers have dealt with a lot.

**What problems is When I Work solving and how is that benefiting you?**

I use When I Work for scheduling and time tracking, which integrates with Gusto for accurate payroll. It's user-friendly, saves time by exporting hours directly, and reduces human errors. Management and HR find it easy to use, keeping everything smooth and on time.

**What do you like best about When I Work?**

Currently i like the short cuts for the scheduler to draft the schedule. The ability to have multiple schedules if needed. The chat feature and tag features are also pretty cool!

**What do you dislike about When I Work?**

Nothing at this time. I like that there are articles that can be used as reference guides. I did initally struggle with finding more of the video training links vs the written

**What problems is When I Work solving and how is that benefiting you?**

It is a night and day difference from our previous scheduling tool "CrewHQ". My teams have an app to use now and can reference their schedule on the go. There is less error for missed communication with the notes feature. So far my team is loving this and its saving them a lot of time to be able to quickly reference their schedule

The scheduling efficiency and ease of managing staff across multiple locations. It streamlines communication, shift coverage, and schedule changes, saving significant administrative time.

**What do you dislike about When I Work?**

One challenge is managing schedules across multiple locations. When schedules are organized by a larger area or town rather than by individual site, I often have to switch back and forth between views to make staffing adjustments. This can make it difficult to keep track of changes and increase the risk of overlooking coverage issues. A more streamlined way to view and manage multiple sites simultaneously would improve efficiency.

**What problems is When I Work solving and how is that benefiting you?**

When I Work solves the challenge of creating and managing schedules efficiently across multiple locations. The recurring shift feature saves me a significant amount of time because I don't have to manually enter the same shifts each week. This allows me to build schedules much faster and focus on staffing needs rather than data entry. One enhancement that would make it even more beneficial would be the ability to repeat a group of staff members or an entire team for a specific day, rather than setting recurring shifts for employees individually.

**What do you like best about When I Work?**

The app and shift notifications are nice and the system works quickly. I like that you can customize shifts and just click the one you want for next time.

**What do you dislike about When I Work?**

TOO MANY COLORS it is so overwhelming to look at. I also don't like that I have so much information for other stores on there-it is un neccessary. I don't like the time off request features either. Our previous system was automatically color coded based on job position and that made a lot more sense to me-the options to custom color different shifts is just too much. Not a fan.

**What problems is When I Work solving and how is that benefiting you?**

Its not solving any problems for me-it is not any better than our old scheduling system which was easier because it was included within our payroll system so comparing actual payroll hours worked vs hours scheduled was much easier then. I dont like when I work very much. I thought it might be useful for attendance reporting as well but since it reports for the entire company under 4 different banners its too difficult to get any real use out of the reports provided. No options to filter them prior to generating either.

I like that any corrections get sent to the employee right away. I like that every employee can see their schedule and their coworkers schedule.

**What do you dislike about When I Work?**

It takes a bit to input all schedules (my team doesn't have set schedules) and I color coded it so that they can tell when looking at the schedule where they are that day, but that takes a lot of time to do.

**What problems is When I Work solving and how is that benefiting you?**

I don't have to make schedules in WORD anymore and when there were errors or staff called out or couldn't do a shift, it wasn't always made aware to the entire team. This is more efficient for everyone.

I like that When I Work is easy to use and the team loves it for dropping and picking up shifts. The secret sauce is that it's automated and reduces mistakes, especially in getting the right team members involved or keeping those who shouldn't volunteer because they're already on the schedule. It shares shift details exactly and only goes to people who qualify and aren't already on that shift. This automation helps to avoid confusion and ensures that everyone has the correct schedule.

**What do you dislike about When I Work?**

Only that we have to manually keep When I Work mirrored with our other system.

**What problems is When I Work solving and how is that benefiting you?**

When I Work automates scheduling, reducing mistakes from missed texts and miscommunication by team members dropping/picking-up a shift. It ensures only qualified members receive shift offerings, mirroring our system accurately and sharing exact shift details.

  ### 7. Effortless Setup, Budget-Friendly but Needs Better Gusto Integration

**What do you like best about When I Work?**

I like the ease of setup with When I Work. I was able to have 25 employees set up and using the system within a few hours, which is great because we do not have IT support. I also appreciate the low cost of the application, which is about one-fourth the cost of many other options on the market. The flexibility to scale up or down and control costs is a huge benefit.

**What do you dislike about When I Work?**

Two items. When I Work is supposed to automatically upload hours into Gusto, our payroll system. Unfortunately, that has not worked. We have had to download the hours and upload them into Gusto. That method works ok, but it is not optimal. The second item is service. When I put in tickets, I need to chase down the resolution and each new person I meet requires that I repeat myself.

**What problems is When I Work solving and how is that benefiting you?**

When I Work lets us manage scheduling and hours tracking efficiently. Employees can easily accept or swap shifts directly from their device, which updates the calendar. It's easy to set up and cost-effective, allowing us control over expenses without needing IT support.

I love the schedule feature in When I Work. It's easy and time-perfect. The app allows for clocking in and out, which is incredibly convenient. Scheduling is made easy, and staff can pick up and drop shifts whenever they feel like it. I appreciate that the schedule is accessible to everyone, eliminating the need to email multiple copies when changes occur. The initial setup of When I Work was very, very easy.

The option to have a sliding bar so people can pick up portions of shifts and not the entire thing.

I like the option to see everyone’s schedule and communicate through the app with my employees, which makes it easy to pick up and drop shifts within a reasonable timeframe. It keeps the communication channel open between me and my employees, allowing us all to stay on the same page. I appreciate that When I Work is more affordable and a little easier to use compared to ATTO. The initial setup was great, as my staff and I were able to set up our profiles with no issues.

I like that When I Work is fairly intuitive. I appreciate that we can track team members' lack of availability there. I like the ability to customize shifts so you can clearly designate if one is going to be for a different kind of activity. It's not just about being on or off but what you're doing that day, which is helpful. I also like that you can add shift tasks, and there's a lot of customizability.

**What do you dislike about When I Work?**

I find that the text notifications can be a bit obnoxious. I get a notification every single time if someone's signing off or on, and it didn't map very closely to our actual geographic location, so that's a bit annoying. Also, I'm not sure if When I Work sends out an email if I change a schedule, or it might just be easy for folks to miss. I think probably due to the number of automatic notifications you get, it might be easy to tune them out sometimes. I wish that you could copy a shift from the mobile app. It seems a lot easier to schedule on my desktop.

I use When I Work to create and manage schedules, reducing errors and complexity. It allows for easy shift notifications, integrates clocking, and centralizes schedules and attendance, eliminating previous annoyances.

I like the flexibility that When I Work provides. From having open shifts to scheduling to being able to publish and post shifts whenever needed, it allows us to accomplish our business's needs. Initial setup and adding additional employees is very, very simple.

**What do you dislike about When I Work?**

The only issues we ever have are with staff missing notifications. Not sure that this is a When I Work issue, but wish there was a texting feature to push further notifications to employees. Sometimes our employees struggle with getting the notifications, a texting feature where it pushes messages to employees would be a great add on.

**What problems is When I Work solving and how is that benefiting you?**

I use When I Work to track all our instructors' availability and adjust schedules weekly based on staff needs. It offers flexibility with open shifts, scheduling, and posting shifts as needed, which helps meet our business needs.

**What do you like best about When I Work?**

I use When I Work for scheduling staff in my store and managing hours. It simplifies scheduling and allows staff to swap amongst themselves. In particular, I love the prebuilt schedule patterns. It simplifies and allows one to get a schedule put together rather quickly without having to sit down and add everybody's hours individually. I can just grab a preset schedule and drop it in per staff. The initial setup of When I Work was very easy. I don't have anything to add to that; I like it.

I like the product - no complaints.

I use When I Work for scheduling my store staff. It simplifies the process, lets staff swap shifts, and I love the prebuilt schedules that speed up organizing work hours without inputting them individually.

I like that I can easily view the team’s schedule, and I appreciate being able to share my open staffing needs across departments.

Sometimes, in the phone app, I’m not able to see everyone’s schedule.

When I Work is a big benefit for me because I don’t have to spend so much time creating staff schedules. I can also approve PTO requests and accept open shift requests easily.

I like the functionality of When I Work. I find it pretty user-friendly, and it works well in the university setting with student workers. It makes scheduling easier, especially with 60 plus employees, and saves us time by reducing the legwork needed to organize and restructure schedules weekly.

**What do you dislike about When I Work?**

As far as I know, the app doesn't allow for a mass delete of multiple shifts vs the whole schedule. There are some limitations with getting reports outside of absences sent to my email on demand.

**What problems is When I Work solving and how is that benefiting you?**

When I Work assists with payroll efforts, scheduling, viewing student schedules, creating templates, and checking attendance. It eases the organization of schedules for 60 plus employees, reducing legwork in setting up and restructuring schedules weekly.

It has been useful to synchronize the employee scheduling of the staff. It is great to track the time and offers reminders that are easy to understand. We use When I Work frequently.

**What do you dislike about When I Work?**

When I work has been least helpful to log the information that we need from the staff with the data from clients. It also takes some time to change schedules with deliberate actions and not as swiftly.

**What problems is When I Work solving and how is that benefiting you?**

When I Work solves the issue with employee tardiness and gives tech reminders. It has been useful to have the staff synchronize their schedules using When I Work and as an admin it is more easy to organize. The benefit is saving time and energy for time management for the company especially staffing.

We appreciate the resaonable pricing, and the program is flexible enough to accommodate our needs since we can pause our subscription for episodic events. It functions well without requiring all members to be logged in, which is great because our staff can interact with the system via text. It offers visibility that we didn't have when using Excel or Stackby. The initial setup was relatively easy.

**What do you dislike about When I Work?**

The interface seems cramped, which might be unavoidable given all the information that needs to be displayed. Also, the platform is very noisy by default, sending more text notifications to users than we would prefer.

**What problems is When I Work solving and how is that benefiting you?**

We use When I Work to prevent double-booking, equalize workload, and visualize each person's responsibilities.

**What do you like best about When I Work?**

I use When I Work for scheduling, timesheets, and payroll. It helps out when people miss clocking in or out because I can just go back and put their time in, and the same for lunch. The scheduling feature is valuable because I have 50 people to schedule. Overall, it's a great app, and the initial setup was very easy.

**What do you dislike about When I Work?**

I don't like how the break feature works because sometimes it doesn't allow my team to take a 15-minute break if it's not scheduled. It affects us since my team has to clock out for both 15 and 30-minute breaks.

**What problems is When I Work solving and how is that benefiting you?**

When I Work helps with scheduling, time sheets, and payroll. It lets me adjust clock-ins and outs when missed, which is crucial with 50 schedules to manage.

**What do you like best about When I Work?**

I like that When I Work is very simple to use and not very complicated like other scheduling platforms. It makes it easier to visualize other schedules, especially when it involves more than 50 coworkers. It's really convenient and easy to notice schedules in a way that’s not overwhelming. I also appreciate that setting up When I Work was easy, with no complicated features to deal with, making it good for someone just starting remote work. Plus, it helps a lot with visualizing work schedules. I find the built-in feature to give shift reminders very helpful, as I can set up reminders hours before my actual shift to anticipate my schedule.

**What do you dislike about When I Work?**

I think When I Work can be improved in terms of setting customizable features like customizing your own schedule with color-coded patterns and adding notes for personalization. Also, there are sometimes clash issues and the platform doesn't load on time. It would be helpful if they posted maintenance issues ahead of time so we can anticipate them.

**What problems is When I Work solving and how is that benefiting you?**

I use When I Work for managing my timesheets. It solves problems like coordinating my schedule, checking coworkers' schedules for swaps, and aligning our schedules. It's simple to use, not complicated like other scheduling platforms, and lets me visualize schedules easily, even for over 50 coworkers.

I love the ease at which I can monitor my staff. Super easy for me to add and move around shifts, create templates ( especially color  coded ones so I can see with a glance), check in with those clocking in late or missing shifts, it's easy to use and intuitive for my needs

**What do you dislike about When I Work?**

Some of my employees have a hard time clocking in, esp those with an android

**What problems is When I Work solving and how is that benefiting you?**

We needed a program to allow our staff to clock in and clock out that was easy, accessible to them and easy for me to monitor on the backend for payroll. It also solves the problem of when they need a shift covered- they can communicate amongst themselves and not need to get involved. I find that this generation of employees are terrible at emails and so this was easy for them to jump on. I am busy at the time that everyone rolls in and this helps me know in real time if someone is late or if they aren't where they need to be.

**What do you like best about When I Work?**

I really appreciate how When I Work helps me stay organized and on top of my schedule. The reminder notifications are a big help, if I ever forget to clock in, it immediately alerts me so I won’t miss my shift. Once you get familiar with the system, it’s very easy to navigate. The shift copy and repeat functions make scheduling fast and effortless, saving a lot of time. I also find the attendance tracking feature useful since it allows me to double-check and verify attendance records with ease. Overall, it’s a dependable and efficient tool for managing work schedules.

**What do you dislike about When I Work?**

To be honest, there’s very little to dislike about When I Work. The platform performs so well that it’s hard to find another scheduling tool that matches its quality and ease of use. . Overall, it’s such a well-built system that I now use it for both of my companies,  a clear sign of how effective and dependable it is.

**What problems is When I Work solving and how is that benefiting you?**

I mainly use it for time in, time out, breaks, and filing leaves. But I think what helps me most is that I can easily see how many minutes I’m late or if I’ve exceeded my break time.

When you list an employee and salaried it is still calculating their hours after 40 into the total scheduled which is counter productive. I also wish there was a "modified date" and "printed date" "published date" on the schedule that acannot be changed.

I like how When I Work is pretty easy to use, similar to a spreadsheet where you can easily find your name and the time you're supposed to be there. It's straight forward, making scheduling simple. I see that it's easy to use When I Work to see when I'm scheduled to work. It's nice that the notification feature is there to help me know what's going on, even though sometimes I get too many notifications.

Sometimes I get too many notifications, which can be overwhelming. I kinda wish it was easier to see available shifts and have a better dashboard for this. The notifications feature could be a little bit nicer or better managed.

When I Work helps student workers sign up for shifts and see when they're scheduled to work, which makes scheduling easier.

I like that I can easily enter my timesheet, sign out, and update it for clients. It helps me keep track of my work, ensuring I don’t end up working for free. Setting up the software was easy because I received an invitation from my employer.

I would update the UI and interface of the app. Sometimes I enter the timesheet and it doesn't update properly for me to get paid, although it doesn't happen frequently.

I use When I Work to track freelancing hours so I'm not working for free. It makes entering and updating timesheets for clients easy.

It's really easy to see important information upon opening the app - my next scheduled shift, who else I will be working with, and requests for time off or coverage. I like getting a reminder notification that I have a shift starting soon or I'm still clocked in to a shift that already ended. It's also easy to see my current timesheets.

**What do you dislike about When I Work?**

I wish there were a little more customization, such as being able to see the schedule laid out for the entire month, rather than just by the week.

As a user, When I Work helps me keep track of my schedule so I can make sure I'm getting enough hours. From the management side, it helps keep track of employee's punctuality and time management.
