"All-in-One Production, Inventory, and Invoicing—Without a Clunky ERP"
4/5
What do you like best about Vyapar?

What I love most about Vyapar is how it ties our production runs, raw material stock, and customer invoicing all together without forcing us to learn a clunky, overpriced ERP. I’m Moritz Cohul, Operations & Digital Systems Coordinator at Apex Manufacturing Partners LLC. We’re a small metal component shop, and before Vyapar, our purchasing, shop floor, and accounting teams were all working off separate spreadsheets. We’d log material receipts in one sheet, production output in another, and our sales invoices lived in yet another file. That setup blew up on us hard last quarter with our aluminum stock supplier, Midwest Alloy Supply. We placed a bulk order of 6061 aluminum bar, received the material mid-month, started cutting parts right away, but nobody updated the inventory spreadsheet. Our buyer re-ordered another full batch thinking we were low, and we ended up stuck with way more aluminum than we could use. It sat in our storage rack for months, tying up cash and taking up floor space we needed for our active jobs. That’s when I started testing Vyapar to get everything synced.

The production consumption feature is the big winner for our team. When our shop foreman logs a finished production job inside Vyapar, the system automatically subtracts all the matching raw materials from our stock count. We don’t have someone manually typing out every material line after a run wraps. Just a few weeks ago, we were building custom mounting brackets for an industrial client, using steel plate plus outsourced powder coating from our subcontractor, Summit Finishing. The foreman marked the production order complete in Vyapar, and the aluminum, fastener, and coating cost all pulled through automatically. We could instantly see what the job actually consumed, instead of guessing later. It helped us catch that Summit Finishing had added a small rush surcharge we hadn’t factored into the original job cost. We flagged it early, adjusted our customer invoice accordingly, and didn’t eat that extra expense ourselves.

I also really value the low-stock alerting. Back when we tracked stock manually, we’d frequently run short on small items like grub screws or cutting inserts right in the middle of a production run. That would stall the shop and push delivery dates back. Now I set threshold limits for every raw material in Vyapar. When the quantity drops below that line, we get a notification immediately. It saved us last month on a repeat order for stainless steel washers; Vyapar alerted us we were running low before our next big job kicked off, so purchasing could place the order with our fastener supplier ahead of time, no downtime on the floor.

The mobile app access is huge too. Our receiving crew doesn’t sit at a desk all day. They can scan items and log receipts from their phones right at the loading dock, instead of scribbling notes on paper and entering everything at the end of shift. Before, those handwritten receiving slips would sometimes get lost, and we’d end up reconciling missing lines with suppliers weeks later. Review collected by and hosted on G2.com.

What do you dislike about Vyapar?

The first and most annoying issue is how it handles layered subcontract work in BOMs. We send out tons of parts to outside vendors for secondary work like powder coating and precision grinding. Vyapar’s BOM structure only works cleanly if the subcontract service is a simple line item, it doesn’t natively track partially completed subcontracted work against a PO. A couple months back, we sent a batch of cut steel blanks to our grinding vendor, Summit Precision Grinding. They finished half the parts in one week and the rest two weeks later. We logged the first receipt in Vyapar, but there was no easy way to split the PO cost and accrue for the unfinished portion. I had to export all the lines to a spreadsheet, split the cost manually, and keep a separate tracker. Our accountant almost booked the full subcontract expense too early, which messed up the profitability view for that client job.

I also wish the vendor bill matching wasn’t so basic. Vyapar lets you attach an invoice to a PO, but it doesn’t auto-reconcile variances well when the supplier adds surcharges or freight fees after the PO is locked. Our aluminum supplier Midwest Alloy Supply often adds fuel surcharges to their final invoice that weren’t on our original PO. The system just matches the PO value and leaves the variance hanging without any built-in space to document why the difference exists. Last close cycle, our auditor asked for a clear trail explaining that surcharge, and I had to paste screenshots of email threads and supplier quotes into separate notes outside Vyapar. It made our audit packet way messier than it needed to be.

Another thing that slows us down is the limited user permission controls. We want our receiving staff to log incoming stock and nothing else, but Vyapar’s roles are pretty broad. If I give someone access to log receipts, they can also edit product rates or alter existing BOMs. A few weeks ago, one of our receiving guys accidentally updated the unit cost on our stainless fastener stock while entering a delivery. That error rolled through our job costing for three active production runs before we caught it. Now I don’t let the floor team touch the inventory entry screen unsupervised, which means I end up processing a lot of receiving logs myself after hours. Review collected by and hosted on G2.com.
