What do you like best about Vtiger All-In-One CRM?

I’m a Project Operations Lead at a civil engineering firm in San Jose, and Vtiger has genuinely made our day-to-day project coordination way less chaotic. We handle tons of land development, site design and infrastructure jobs all over the Silicon Valley area, and our biggest headache used to be scattered client records and disjointed team communication. Before Vtiger, we relied on emails, shared sheets and random team notes to track projects, and it was super easy to miss permit follow-ups or client revision requests.

What I love most about Vtiger is that it’s truly all-in-one, tailored enough for our engineering workflow instead of just basic sales use cases. We don’t need to juggle separate tools for client outreach, document storage and task tracking anymore. Everything lives in one system, which saves our team so much extra work.

We had a perfect example on a recent residential site development project last month. We were working with local city planning staff plus two subcontractor teams, and we had constant back-and-forth on design tweaks, inspection scheduling and permit document submissions. In the past, all these updates were buried in long email chains. If our field team was out doing site surveys and missed a message, the whole project timeline would stall. Now we log every conversation, every revision request and every submitted document directly inside the client and project profile on Vtiger. Any team member can jump in and see the full history instantly, no more scrambling to catch up.

I also really appreciate how flexible the customization is. We adjusted the pipeline stages to match our actual engineering process, from initial client consultation and site survey, all the way through design drafting, permit approval and project closeout. We added custom fields for permit numbers, inspection dates and revision logs, so every critical project detail is accounted for.

The mobile functionality is a game-changer for our field staff. They’re constantly on job sites across the bay area, and they can update project statuses, upload site photos and log client feedback right from their phones. No more waiting until they’re back in the office to update records.

What do you dislike about Vtiger All-In-One CRM?

While Vtiger works well for our core project tracking, there are several frustrating limitations that slow our civil engineering team down. We manage land development projects around San Jose, and a lot of our work relies on uploading large site plans, survey PDFs and technical drawings. File handling in Vtiger feels really restrictive. We recently uploaded a full set of civil site drawings for a subdivision project, and the system kept throwing upload errors for larger multi-page PDFs. Even when files did go through, loading them inside the CRM was slow, and we couldn’t preview drawings directly. Team members still had to download every file just to review, which adds extra steps for our design crew.

Report building is another pain point. We need custom reports to track inspection deadlines, permit submission timelines and project labor hours for our ongoing infrastructure jobs. Vtiger’s report builder is clunky and lacks the flexibility we hoped for. It can’t easily pull data from our custom project fields into a clean, shareable dashboard. Last quarter I tried to build a report showing all projects waiting on city permit reviews, and I spent hours tweaking filters. The final output still didn’t format correctly, and I ended up exporting raw data into Excel anyway.

The mobile app also has consistent small bugs that create headaches for our field survey team. Our staff out on job sites often try to edit task notes or attach site photos. Sometimes changes they make on mobile won’t sync back to the desktop version right away. On one occasion, a field engineer logged an inspection note and attached photos, but the update never synced. Back in the office, we had no record of that site visit until he resubmitted everything. That created confusion with the client and almost delayed our next design milestone.
