As a Game Production & Partner Project Coordinator at a San Francisco game studio, the best part about the Vendasta AI Platform for me is how it simplifies repetitive administrative work and speeds up our cross-studio partner coordination. We work with tons of external indie developers and freelance art studios, constantly juggling asset deliveries, project check-ins, and feedback loops. Before Vendasta AI, my days were filled with copying notes, summarizing long partner meeting recordings, and sorting through messy update threads just to keep our production milestones on track.
The built-in AI workflow and content summarization tools are hands down my favorite feature, and they’ve completely changed my daily workflow. A great recent example is our ongoing casual mobile game co-development project with an external art partner. We have weekly hour-long sync calls where the partner delivers asset progress updates, lists pending revisions, and calls out roadblocks like delayed texture deliveries and rigging delays. In the past, I’d spend 30 to 40 minutes after every call manually typing up meeting notes, listing action items, and sorting milestone updates for our internal dev team. Now I drop our meeting recordings directly into Vendasta AI, and it instantly summarizes key updates, pending tasks, and bottlenecks.
It pulls out exact action items for both our internal team and external partners, organizes milestone progress, and flags any timeline risks automatically. This saves me so much tedious busywork and ensures nothing falls through the cracks between our studio and external vendors.
I also love how the AI-powered organizational tools clean up our scattered project communication. We receive dozens of partner updates weekly via emails and messages, covering asset revisions, schedule adjustments, and resource requests. Vendasta AI sorts all these updates, categorizes them by project, and generates quick status snapshots I can share directly with our production leads. It eliminates the need for me to compile manual weekly progress reports for our partner projects.
For a mid-sized game studio managing multiple external collaborations at once, Vendasta AI is a huge quality of life upgrade. It cuts down hours of repetitive admin work each week, keeps our cross-studio workflows consistent, and lets me focus more on actual production coordination instead of endless note-taking and report building. While Vendasta AI has helped us cut down on note-taking work for our partner game projects, it has several frustrating limitations that get in the way of our game production workflows. We collaborate with multiple external art and animation studios, and we constantly share large asset references, concept art, and detailed revision notes. The platform struggles to handle visual context well, which is a big problem for game development work.
A few weeks ago, our external partner sent over a batch of character concept art along with written feedback for revisions. I uploaded the images and their notes into Vendasta AI and asked it to summarize all the requested art changes. The AI missed several nuanced details about color palette adjustments and mesh topology fixes. It only picked up the broad comments, and I ended up having to go through every piece of feedback manually anyway. That meant I couldn’t fully trust its summary for asset-related work, which defeats a lot of the purpose for our team.
The customization for project workflows is also pretty rigid. Game production has unique milestone stages like concept approval, blockout, asset polish, and playtest iteration. Vendasta’s default templates are built for marketing and local business services, not creative game projects. I tried to build custom project pipelines for our partner deliverables, but the system wouldn’t let me add the specific milestone triggers we need. I had to shoehorn our whole production cycle into their pre-builtstructures, which felt clunky.I also ran into issues with integration. We use Asana to track all our game production tasks and asset milestones. I hoped to connect Vendasta AI with Asana so summarized action items could auto-generate tasks. The native integration doesn’t support custom task fields, so any AI-generated action items would come over without critical details like asset IDs or delivery deadlines. We tried a Zapier workaround, but it’s inconsistent and sometimes drops notes entirely. Review collected by and hosted on G2.com.
