"No-Code In-App Onboarding That Saves Hours and Streamlines Client Training"

What do you like best about UserGuiding?

As IT Operations & Client Solution Manager at Northwood Tech Solutions, I oversee client project coordination, technical delivery scheduling, external vendor management, and hands-on SaaS tool evaluation for our US IT services firm. Our lean 11–50-person team does not have a dedicated IT security or documentation team, and UserGuiding’s no-code interactive onboarding walkthrough builder is the standout feature that has reshaped how we deliver training and self-service support to our B2B clients adopting new cloud platforms.

UserGuiding’s drag-and-drop walkthrough editor saves me roughly seven hours each week building guided product tours for our client deployments. Before adopting this tool, our team spent days drafting static PDF guides, recording screen recordings, and scheduling repeated live training sessions for every client rollout. Each time we updated a client’s SaaS environment, we had to rewrite documents and host follow-up training calls, which ate heavily into our project delivery timeline. Now, I build layered interactive guides that pop up directly inside the application our clients use. For a recent small-business client implementing a new cloud project management system, I created segmented walkthroughs covering account setup, permission configuration, and report generation. The guides trigger contextually: users only see the tutorial for the screen they are currently viewing, instead of scrolling through a lengthy static manual. This reduced our live training sessions for that project from four separate 90-minute calls down to a single quick kickoff meeting.

I also rely heavily on UserGuiding’s hotspot and tooltip functionality paired with its user segmentation rules. I can tag different client user groups, such as client admins, regular team members, and finance stakeholders, and serve only the relevant guidance to each group. When rolling out a CRM deployment for a manufacturing client, admins received walkthroughs for user provisioning and access controls, while end users only saw tooltips focused on lead entry and task updates. The platform’s analytics panel tracks which steps users complete and where they drop off, so I can refine guides before support tickets start piling up. This targeted guidance eliminates confusion for non-technical client staff and cuts down repetitive support questions our team handles during active technical delivery.

An unexpected benefit I’ve discovered is UserGuiding’s in-app announcement modals for communicating planned system maintenance and configuration changes. Our clients often struggle to keep up with scheduled platform updates that impact their daily workflows. We now deploy brief, targeted modals directly within the SaaS tool days before any scheduled change, outlining what will shift and where to find updated guidance. During a recent cloud infrastructure upgrade for one of our long-term clients, these in-app notifications reduced related support tickets by more than half, preventing last-minute emergency calls that would have disrupted our project schedule.

For our IT services team without dedicated documentation staff, UserGuiding centralizes interactive client training and in-app communication in one no-code platform. It drastically cuts the time spent building and updating static training materials, reduces repetitive support inquiries during SaaS deployments, and gives our B2B clients self-service resources to resolve basic questions independently. This frees up our engineering and project team to focus on core technical deliverables and consistently hit tight client project deadlines. Review collected by and hosted on G2.com.

What do you dislike about UserGuiding?

As IT Operations & Client Solution Manager at Northwood Tech Solutions, I manage client project coordination, technical delivery scheduling, vendor oversight, and SaaS evaluation for our US IT services firm. Our lean 11–50-person team has no dedicated IT security or documentation team, and while UserGuiding delivers solid no-code walkthrough building, its unstable element targeting for dynamic single-page applications, limited native analytics, and lack of native mobile application support create recurring roadblocks during client SaaS deployments.

The most frustrating issue is unreliable tooltip and hotspot targeting on dynamic SPA platforms that many of our B2B clients rely on. When client portals load elements dynamically after page refresh or user input, UserGuiding’s selector engine often loses track of UI elements, causing tooltips to misalign, duplicate, or fail to appear entirely. Last quarter, we built a multi-step onboarding flow for a CRM SPA deployment for a wholesale manufacturing client. The walkthrough worked perfectly in our static staging environment, but once pushed to the live tenant, the guide broke whenever users filtered data tables. I spent nearly eight hours manually adjusting CSS selectors and re-recording every step, delaying the client’s user training rollout and pushing our technical deliverable timeline back. For complex client web applications, every UI change requires re-testing and reworking guides, which adds unexpected maintenance overhead to every project.

UserGuiding’s built-in analytics dashboard is also far too basic for our client reporting requirements. The platform only tracks simple metrics like guide views and step completion rates, with no native capability to tie user engagement data to client project KPIs, support ticket volume, or user permission groups. After wrapping up a cloud ERP deployment for a regional retail client, I needed to quantify how much the interactive guides reduced helpdesk tickets for different user roles. I had to export raw UserGuiding event data as a CSV, then manually merge it with our CRM and support ticketing datasets in spreadsheets, a process that consumed four hours of my week. There is no built-in way to create segmented dashboards for each client tenant, so every project performance review requires manual data stitching.

Additionally, UserGuiding cannot overlay guides on native mobile applications, which limits our scope for end-to-end client onboarding. Many of our B2B clients deploy paired web and mobile SaaS tools for their field teams. We can build web walkthroughs with UserGuiding, but mobile app training still requires separate static PDF manuals and recorded screen videos. When we rolled out a field inventory management system for a construction client, office staff received interactive web guides, but field technicians using iOS mobile apps only got static documentation, leading to a spike in support calls from mobile users. We had to maintain two entirely separate training formats, doubling our content creation workload.

An unexpected pain point we encountered is limited multi-tenancy controls. When supporting multiple client environments within the same SaaS platform, UserGuiding does not cleanly isolate guides between different client tenants. On one occasion, a test walkthrough I built for a prospective client briefly appeared inside an active existing client’s portal, forcing us to pause deployment and audit all active guide triggers to prevent repeated cross-tenant contamination.

For our lean IT services team without dedicated documentation resources, UserGuiding’s unstable SPA targeting, shallow analytics, and absence of native mobile support force us to maintain redundant static training materials and spend extra hours troubleshooting broken guides. These limitations eat up time reserved for technical delivery and vendor coordination, while multi-tenancy risks introduce avoidable errors that can compromise client trust during critical SaaS rollout deadlines.
