"Sermuno Unified Our Security Operations—and Cut Our Monthly Software Costs"

What do you like best about Sermuno AI?

We are a security company and our people work everywhere: on client sites, in the car, at the office and on night shifts. The biggest win with Sermuno is that everything is the same everywhere. Whether I answer an email on my phone or a colleague does it at the office, we see the same inbox, the same client details, the same schedule and the same status. Nothing lags behind and nothing falls through the cracks. Even small things are solved: our email signature is set up once and follows us on every device, so we no longer fix it per phone or laptop.

Our mail runs on a plain IMAP server and connecting it took minutes, no migration. All shared addresses (control room, planning, administration) sit in one inbox with clear ownership. The AI sorts incoming mail, summarises long threads and has a draft reply ready, so reports that come in outside office hours get picked up much faster. Spam and virus filtering happens before anyone clicks, which for a security firm is a must.

Every client and every site lives in the CRM with contacts, contracts and the full mail history. Notes are the standout for us: per site we keep the instructions, patrol route, opening and closing checklist and the shift handover. A guard types the handover on his phone on location and the office sees it instantly. No more loose papers or chat messages that get lost.

Planning and personnel are the core of our business. Shifts per site, who is where, hours with night and weekend surcharges, and timesheets flow straight into payroll. We get an automatic alert when a guard's security pass or certificate is about to expire, so nobody stands on a site with expired papers. Temporary staff from partner firms are scheduled in the same planning and only see their own shifts through their portal.

A client's email becomes a task in one click, such as a broken camera or an incident report that still needs to be sent. Site visits and client meetings sit in the shared calendar linked to the client. Floor plans, key plans and contracts are stored with the client and open directly on the phone. The night shift uses the team chat with a quick voice or video call when something happens, and an open shift is filled by texting the available guards. Monthly contracts run as recurring invoices, extra shifts and surcharges come from the planning straight into the invoice, and clients pay via the payment link.

As a security company we also look at the security of the tool itself: two-factor login for everyone, permissions per role so a guard only sees his own shifts and sites, and a full audit log of who did what. That is exactly what our clients expect from us.

Then the cost. Before Sermuno we paid around 4,000 euros per month for separate tools for mail, planning, CRM and invoicing. Now we pay around 350 euros per month for the whole office, with every module and much better AI support, which matters a lot these days. That is roughly 3,650 euros per month saved, and everything is easier as well. The team was working in it on day one and support responds fast and actually fixes things. What do you dislike about Sermuno AI?

Because the platform is still new, we occasionally run into a bug. That is honestly the only thing. On the other hand, there is a dedicated page in the app to report a bug, and what we report there is usually fixed within a few hours, even on weekends. So it has never been a problem for our daily work. Review collected by and hosted on G2.com.
