What do you like best about Semsto?

I like how Semsto blends client‑relationship management with internal project tracking all in one place, which fits our arts‑and‑crafts business really well. Early last year, we had a big corporate commission for a local hotel chain, our lead designer fell sick mid‑project. Back when we only used HighLevel and spreadsheets, we once wasted an entire business day hunting for that client’s material preferences and revision feedback because everything was scattered across emails and separate Excel tabs. That exact mess no longer happens with Semsto. I really value the practical, no‑fuss task‑assignment functionality. We split our craft‑project workflows into clear stages: concept draft, material sourcing check, prototype review and final production. Semsto triggers automatic internal notifications whenever a task gets marked finished. For that hotel art installation job, once our workshop team updated the prototype‑completed status, our account manager got alerted instantly and reached out to the hotel stakeholder for feedback without any internal follow‑up reminders from me. It's also easy enough for our less tech‑savvy workshop staff to pick up. Several of our senior artisans are experienced craftspeople but not comfortable with complex business software. They only need to click a few buttons to update production progress inside linked client‑project records. The linked client‑project record feature is where most of our value comes from. Every commission stores contact info, revision history and project milestones under one single profile. Semsto merges customer profiles and project‑based task management in one system, which is crucial for our project‑heavy arts‑and‑crafts business. What do you dislike about Semsto?

The default reporting templates in Semsto are too focused on standard sales‑target metrics, which don't fit our craft‑focused business. We can't pull the specialized views we need, like overviews on active commissions or exhibition‑generated leads, right out of the box. Last quarter after our major Frankfurt craft fair, I had to rebuild our lead‑performance report manually from zero. I missed one contact filter during setup and accidentally excluded over forty fair‑sourced prospects, skewed our internal performance review until I spotted the mistake two days later. Building custom reports from scratch every time is repetitive and error‑prone since there's no way to save report templates for reuse. Also, the lack of granular permission controls for project‑specific data is problematic. We can’t limit access to sensitive client billing information while enabling necessary updates to production status and workshop notes. A few months back, I granted write access to one of our workshop supervisors so he could log prototype updates. Unintentionally, he could view full pricing details for our high‑value private art commissions, which created real data‑privacy concerns for our German‑based operation. This broad permission setting forces us to either give too much access or restrict essential features. Additionally, the limited third‑party integrations require extra manual work. We have to manually sync project‑related data with our local German invoicing tool, and there's no auto sync with tools like Webex, DRACOON, Sylius, and Omnisend. One admin member mistyped a client billing address during manual data transfer, which delayed an invoice for a custom‑craft order. The initial setup also required significant manual effort to tailor the system to our creative workflows, involving custom field creation and data cleanup without pre‑built industry templates for creative teams. What problems is Semsto solving and how is that benefiting you?

Semsto unifies client records and project tracking, solving our old fragmented workflow pain point. Before rolling this tool out, our team bounced between HighLevel, Excel spreadsheets and DRACOON cloud storage. I still clearly remember one bad incident: a repeat private‑art client reached out to re‑order custom wall‑art pieces, the responsible account manager was out on sick leave. Nobody could quickly locate past revision notes, material specs and previous pricing; our team spent nearly eight combined work hours digging through scattered email threads and separate document folders just to recap that customer’s full history. Now it houses all client data and communication history inside linked project profiles, drastically improving cross‑team coordination. Task assignments are clearly mapped to each craft commission, automatic internal notifications keep everyone updated on draft submissions, prototype feedback and delivery timelines. Our designers, workshop leads and client‑operations staff no longer rely on easily‑buried chat messages to pass along project updates. That said, limited integrations still force plenty of manual processes. We still copy‑paste meeting notes from Webex, transfer invoice data manually to our local billing software, and export‑import contact lists for Omnisend mail campaigns. Even with those ongoing manual burdens, the biggest benefit is we no longer lose critical client‑project context when team members take time off or hand‑over assignments. It cuts down costly miscommunication, prevents repeat‑client delays, and keeps our whole mid‑sized workshop aligned across dozens of running art commissions at any given time.
