What do you like best about Ontraport?

Honestly, what I appreciate most about Ontraport for our Bay Area e-learning studio is that it’s an all-in-one platform that lets us consolidate our student enrollment tracking, freelance instructor management, and operational automation — all without needing a dedicated IT team. As the sole tech and operations coordinator for our small team, I juggle course launches, cohort management, and vendor admin daily, and most CRMs are either too basic for e-learning workflows or way too complex to customize. Ontraport hits that perfect middle ground of powerful and self-manageable.

What stands out the most to me is its reliable automation paired with clean, organized contact segmentation. We run multiple overlapping course cohorts year-round, and each group has unique schedules, content deadlines, and communication timelines. Previously, we relied on manual spreadsheets and scheduled emails to follow up with learners and check in with instructors, which led to missed follow-ups and inconsistent student engagement.

I put this to heavy use during our summer skill-building course cycle. We had six active learner cohorts and a rotating team of freelance instructors handling different course modules. I built simple, targeted automations in Ontraport that trigger personalized check-ins for students falling behind on module completions, and automated reminder alerts for instructors with upcoming content submission deadlines. This eliminated my need to send dozens of manual check-in emails every week.

Additionally, Ontraport’s customizable record system makes vendor and cohort tracking far more structured. I’m able to tag every instructor and learner with custom parameters like contract term lengths, cohort assignment, and course progress status. When I need to pull monthly operational reports on course completion rates or instructor deliverable performance, I can filter and sort data directly in the platform instead of cross-referencing multiple tools.

Unlike rigid LMS tools that only handle course content, Ontraport ties student engagement data, vendor admin, and operational tracking together in one place. It drastically cuts down my repetitive admin work, keeps our multiple course cohorts running smoothly, and lets our small team deliver consistent, high-quality e-learning experiences without extra headcount or external tech support. What do you dislike about Ontraport?

Ontraport’s automation and contact segmentation are really helpful for our e-learning studio, but there are some frustrating limitations that create extra manual work for me, especially when managing learner cohorts and freelance instructor records. As the E-Learning Operations & Technology Coordinator, I spend a lot of time working with CSV imports and custom fields, and that’s where Ontraport can get messy.

The biggest pain point is inconsistent CSV bulk imports. When we onboard new learner cohorts or add freelance instructors, I often upload large CSV files with our custom fields for module status, cohort grouping, and contract details. A couple months ago, we imported a new batch of 130 learners for our advanced workshop. The import finished without throwing any obvious errors, but when I reviewed the records later, many of the custom cohort tags and module status fields didn’t populate correctly. I had to go line by line and fix hundreds of entries manually. It was incredibly time-consuming, and there was a real risk we could have sent wrong automated emails to learners grouped under the wrong cohort.

I also find the webhook setup overly complicated. Our team needs to connect Ontraport to our LMS to sync learner completion data. Since we don’t have an in-house IT person, I was left to configure webhooks on my own. The documentation is vague, and debugging failed data syncs took multiple days of testing. Every time a webhook trigger failed, Ontraport didn’t give clear error messages, so I couldn’t quickly tell if the issue was on our LMS side or inside Ontraport.

The reporting tools are another weak spot. I need monthly reports showing course completion rates grouped by cohort, alongside freelance instructor deliverable tracking. While I can build basic reports, combining custom learner fields and vendor data in one view is not supported.
