## About OnPay
OnPay is designed for business owners who want to spend more time running their business — and less time managing back-office tasks. This award-winning payroll and HR software helps small and mid-sized businesses save over 15 hours each month by automating time-consuming processes and simplifying workforce management. “It’s an easy, quick, mobile-friendly system that doesn’t require a steep learning curve,” according to Entrepreneur, and it is rated “Outstanding” by PCMag. With OnPay, you can run payroll in minutes, automate federal and state tax calculations and filings, and reduce compliance risks with built-in accuracy. Employees can access their own pay stubs, tax documents, and personal information through self-service tools, which helps reduce administrative work for business owners and HR teams. The platform also makes it easy to streamline HR processes, manage employee records, and offer top-tier benefits in all 50 states. Payroll essentials start at just $49 plus $6 per worker per month. This includes full-service payroll processing, automated tax filings, year-end forms, and seamless integrations with popular accounting software like QuickBooks and Xero, as well as leading time-tracking tools. OnPay also provides onboarding support and account migration at no additional cost, making it easy to switch from another payroll provider. For businesses that need more advanced HR features, the optional HR add-on is available for $15 base plus $2 per worker per month. It includes tools like employee self-service, PTO management, and org charts to help you better manage your team. You can also add integrated benefits, a 401(k) plan, and pay-as-you-go workers’ compensation, giving you a scalable payroll and HR solution that grows with your business.

## OnPay Reviews
  ### 1. Intuitive, Reliable Payroll with Great Support with Transparent Pricing

**Rating:** 5.0/5.0 stars

**Reviewed by:** Brenda B. | Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** June 02, 2026

**What do you like best about OnPay?**

One of OnPay's greatest strengths is its intuitive interface, which allows administrators to process payroll accurately and efficiently while minimizing administrative burden. The platform's automated tax calculations and filing services have helped ensure compliance with federal and state regulations, reducing the risk of errors and saving valuable staff time.

OnPay's customer support has been responsive, knowledgeable, and readily available whenever assistance has been needed. The platform integrates well with accounting and benefits administration functions, providing a streamlined approach to workforce management.

OnPay has consistently demonstrated excellent performance as the payroll management system. The platform is reliable, efficient, and easy to navigate, allowing payroll processing to be completed accurately and on time. The software experiences minimal downtime and operates smoothly across payroll, tax management, employee recordkeeping, and reporting functions. Automated calculations and compliance features have significantly reduced administrative burden while helping to ensure accuracy in payroll processing. The system's performance has enabled staff to devote more time to serving clients and supporting organizational goals rather than managing payroll-related tasks.

OnPay offers strong value for the services provided and has proven to be a cost-effective solution for Joi Counseling Center. Its pricing structure is transparent, predictable, and competitive within the payroll services industry. Unlike many payroll providers that charge additional fees for essential services, OnPay includes a comprehensive set of payroll, tax filing, human resources, and employee self-service features within its standard pricing model. This affordability allows the organization to access high-quality payroll and HR management tools without incurring excessive administrative costs. The combination of functionality, reliability, and reasonable pricing makes OnPay an excellent investment and a fiscally responsible choice for a growing organization.

**What do you dislike about OnPay?**

The platform is designed to be user-friendly and straightforward, which can limit customization. Organizations with complex payroll structures, unique reporting needs, or specialized workflows may find fewer options for tailoring the system to their specific requirements.

**What problems is OnPay solving and how is that benefiting you?**

OnPay's pricing model is straightforward, typically consisting of a flat monthly fee plus a per-employee fee. As an organization, we appreciate the transparency because there are fewer add-on charges for essential services. The other payroll program become more expensive as additional features, services, or higher-tier plans were added.

**Official Response from Ron Kagan:**

> Thank you for your feedback on OnPay's performance and pricing structure. We understand the importance of transparent and predictable pricing, and we're glad to hear that our platform has proven to be a cost-effective solution for Joi Counseling Center.

  ### 2. Efficient, Simple, and Perfect for Nonprofits

**Rating:** 5.0/5.0 stars

**Reviewed by:** David D. | Small-Business (50 or fewer emp.)

**Reviewed Date:** June 20, 2026

**What do you like best about OnPay?**

I find OnPay simple and easy to set up, which is crucial for our nonprofit since we don't have a lot of administrative staff. It's efficient to handle payroll without spending much time on it. I appreciate the flexibility to set up different types of employees, like a W2 or a 1099, effortlessly. The setup is very straightforward, making it an excellent tool for our needs. Additionally, OnPay helps with submitting tax documents to other states, which I find incredibly useful.

**What do you dislike about OnPay?**

I would probably like to have the ability to automate the process because several of our employees are salaried and their payroll does not change.

**What problems is OnPay solving and how is that benefiting you?**

OnPay's simplicity allows us to handle payroll for our nonprofit effectively without a lot of administrative staff, saving time. It's easy to set up for different types of employees, and it submits all the tax documents for us.

  ### 3. Outstanding Human Support and Straightforward, Affordable Pricing

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Religious Institutions | Small-Business (50 or fewer emp.)

**Reviewed Date:** May 23, 2026

**What do you like best about OnPay?**

The human support from the start. Within minutes of signing up I heard from an onboarding consultant - a real person, not an automated sequence. When I called support to run my first payroll, I got through immediately with no hold time and the rep walked me through everything patiently.
The pricing is also very reasonable for a small nonprofit - straightforward and affordable for an organization just getting started.

**What do you dislike about OnPay?**

The first payroll reminder email came with less lead time than I would have liked, though in fairness, I signed up very close to my first pay date, which happened to fall on the Friday of a holiday weekend. A bit more proactive outreach for new users in that situation would be helpful.

**What problems is OnPay solving and how is that benefiting you?**

I had no prior payroll experience and needed a solution that could handle compliance, tax withholding, and payroll processing without requiring an HR background. OnPay made the process manageable for a non-expert. A key differentiator over competitors like Gusto was the ability to add unlimited reimbursement payments per payroll, which is important for tracking ministry expenses. I can now pay myself accurately and on time with taxes handled correctly.

  ### 4. Straightforward, Affordable Payroll Solution

**Rating:** 4.5/5.0 stars

**Reviewed by:** Derek F. | Owner, Mid-Market (51-1000 emp.)

**Reviewed Date:** May 04, 2026

**What do you like best about OnPay?**

I love how OnPay made processing payroll super simple and doesn't take long to process. The fees are super straightforward and it's more affordable than other options. I like the all-in-one pricing model as it means no hidden fees or surprises. I also appreciate being able to print checks in-house for those not utilizing direct deposit. The initial setup was fairly easy since they took care of nearly everything for me.

**What do you dislike about OnPay?**

Sometimes it feels a bit too basic. For example, it currently doesn't support tracking gender/sex for employees, which I need for certain reporting requirements for insurance carriers and government agencies. I use a separate system for time clock entry, as OnPay doesn't offer that. I have to import the hours from that system into OnPay.

**What problems is OnPay solving and how is that benefiting you?**

OnPay makes processing payroll super simple and quick, with straightforward and affordable fees.

  ### 5. Easy to Use from Day One with Flexible Payroll Runs

**Rating:** 5.0/5.0 stars

**Reviewed by:** Brenda M. | Broker/REALTOR, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 28, 2026

**What do you like best about OnPay?**

I appreciate the ease of use. Started using the platform right away and I also enjoy the flexibility to change payroll runs. The pricing is standard. The onboarding is good. it performs well and integrates well with other platforms. I have not used the AI (artificial intelligence) features yet but feel they will be helpful with I do.

**What do you dislike about OnPay?**

Nothing that I can think of. Everything is simple to use.

**What problems is OnPay solving and how is that benefiting you?**

It is solving my payroll and tax paying problems.

**What do you like best about OnPay?**

I appreciate how OnPay handles payroll and time off efficiently, making calculating actual payroll straightforward. I like that it supports taxes and w-9 filings, which is especially helpful since I'm not an accountant. OnPay assists with all the legal aspects, making it easier for someone like me. Additionally, the setup process was pretty easy.

**What do you dislike about OnPay?**

Okay. I think notifications and the HR aspect can be improved.

**What problems is OnPay solving and how is that benefiting you?**

I use OnPay for payroll and time off. It solves calculating actual payroll and helps with all the legal stuff because I'm not an accountant.

  ### 7. Smooth Onboarding, Helpful Video Calls, and Excellent Customer Service

**Rating:** 5.0/5.0 stars

**Reviewed by:** Stevenson Boys Hauling Inc. . | Chief Operations Officer, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 14, 2026

**What do you like best about OnPay?**

The onboarding process was smooth. The video calls were very helpful for getting set up and familiarizing myself with the software. Customer service was excellent as well—everyone was very friendly and helpful.

**What do you dislike about OnPay?**

I haven’t found any part of the software system that I dislike at this time.

Very easy to set up and use. The help articles are very thorough and made the entire process very fast. I liked having an onboarding specialist to walk me through the process. Everyone was very friendly that I dealt with.

**What do you dislike about OnPay?**

Can only schedule a payroll 30 days out.

**What problems is OnPay solving and how is that benefiting you?**

OnPay is filing our taxes for us automatically and that take a lot of headache off of us!

  ### 9. Outstanding Customer Service and Seamless Onboarding

**Rating:** 5.0/5.0 stars

**Reviewed by:** Ben R. | Founder/CEO, Small-Business (50 or fewer emp.)

**Reviewed Date:** January 10, 2026

**What do you like best about OnPay?**

The customer service was incredible. I had a very tight deadline to buy, onboard, and run payroll. Their onboarding leader got on the phone and walked me through everything and ensured I met my payroll deadline.

**What do you dislike about OnPay?**

There is nothing that I "dislike." Opportunities for improvement: refined tutorials using more video and in-product guidance.

**What problems is OnPay solving and how is that benefiting you?**

Since I am a solo business, I am only onboarding myself. I need to be able to easily onboard myself, but do not need onboarding documents, training from my company to myself like I would if I had employees.

  ### 10. Seamless Year-End Transition and Outstanding Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Caroline W. | President, Small-Business (50 or fewer emp.)

**What do you dislike about OnPay?**

To date, I haven't observed anything significant enough worth of being addressed.

**What problems is OnPay solving and how is that benefiting you?**

OnPay started near the end of the year. Its teams was able to catch up data prior to my on-boarding and seamlessly placed the data for 2025 in time to file year end tax reports. I appreciate very much.
