I’ve also used SharePoint document libraries to maintain shared project files and keep track of documents that my team members can easily collaborate on. A key feature for me is being able to access a stored file and connect it directly to a workflow for automation. Overall, it’s very reliable as a backend data source for Power Apps and for reporting solutions. **What do you dislike about Microsoft SharePoint?** Sometimes the permission and access management can be confusing for first-time users, especially when multiple groups and inherited permissions are involved. Large files may load slowly, and certain changes can end up duplicated or not properly updated for other team members. **What problems is Microsoft SharePoint solving and how is that benefiting you?** The most useful feature is that SharePoint solves the problem of local file storage by providing a centralized file storage system. It makes it easier to share file changes and updates with all team members consistently, without having to resend the file to the team every single time something is updated. It also helps control file access permissions; for example, if someone leaves the project team, we can restrict their access to the files. It’s very easy to set them up, and they’ve improved a lot of the layouts while also providing ready-to-use templates. Overall, this has been great for our internal communications. **What do you dislike about Microsoft SharePoint?** There’s still no way to create a truly dynamic site yet. SharePoint also has a lot of limitations when it comes to building pages—especially adding photos and using different font types. Overall, it feels very basic, almost like a website made back in the early ’90s. **What problems is Microsoft SharePoint solving and how is that benefiting you?** I’m able to create sites for stakeholders who want to add their information in a digital format and have it saved in the cloud or a database, rather than in Word files. This also helps me create a more graphical representation of the information. In addition, I can integrate different tools like PowerBI or YouTube websites, as well as PDFs and PPT files, which helps me improve reporting performance. In my case, it’s where all the data is stored; from there, Power Automate and Power Apps can pull the necessary files and use them for automation. It also makes it easier for me to connect to multiple SharePoint sites, which simplifies my automation work overall. The UI is helpful and easy to navigate. For each SharePoint site, we can assign roles and permissions to users based on their functionality and designation, which makes access management straightforward. **What do you dislike about Microsoft SharePoint?** It’s hard to manage permissions, and customization is a bit difficult. Maintenance is required as well. In some cases, files can’t be updated at the same time; when I modify them, it takes a short while to refresh. **What problems is Microsoft SharePoint solving and how is that benefiting you?** It’s solving my problem of storing everything in a single OneDrive account. It helps me share through a SharePoint site instead of relying on OneDrive. I can use it as a shared drive by creating different SharePoint sites for different types of folders and for each client. It makes it simple to find a list of items. You can create different lists and then narrow those lists down in a way that makes sense to you. It also makes it easier for older people who grew up using Access to find the information they’re looking for. **What do you dislike about Microsoft SharePoint?** The most challenging part for me has been attempting to integrate an Excel workbook, as I can only import one tab at a time. Additionally, it is necessary for the fields in SharePoint to match those in Excel, which adds another layer of difficulty. **What problems is Microsoft SharePoint solving and how is that benefiting you?** We’ve been managing our tribal membership records in SharePoint for several years. Personally, I find it much easier to use than Access. I also like that I can create customizable lists, even while I’m working in the list I’m currently viewing, which makes it simple to adjust things as we go. SharePoint lets me track voting members (those age 18 and over) by filtering for people born before a specific date. It also helps us keep addresses current, so newsletters go to the right people and our records stay accurate. ### 8. Now Microsoft has shifted to Power Automate and other Power Platform tools, which you have to pay for. We used to be able to do much more with the native SharePoint workflows without any additional cost, but now it’s essentially the same capability under a new name—Power Automate—and you’re expected to pay for it. It feels like Microsoft started charging for something that was previously native to SharePoint. **What problems is Microsoft SharePoint solving and how is that benefiting you?** SharePoint is not only helping us store information; it also helps us share, collaborate, and coordinate around that information. Features like document libraries, lists, etc. in SharePoint are very useful. They help us automate and digitize many of our processes without trouble. We can digitize and automate many of our day-to-day work processes without any knowledge of coding. As a result, it maximizes our output and makes our work more efficient. ### 9. I find that being able to open share point via both program and browser gives you two options to access, in case something is faulty. I personally like that I can open share point in the web browser and find the interface easier and the performance is faster to use than using the microsoft apps. **What do you dislike about Microsoft SharePoint?** I do not like that the Microsoft Sharepoint homepage is hard to navigate to. I also dont like how you have to be an owner in a group sharepoint in order to edit documents uploaded to a group sharepoint. **What problems is Microsoft SharePoint solving and how is that benefiting you?** It is way easier to organize and visually see documents in sharepoint. Being able to use it on the phone if I am away from the computer is a good intergration, especially if the company is use all Microsoft 365. We can use them all at once. ### 10. When I need to access something for training purposes, or to learn how to format specific communications or writing, anyone can highlight the relevant files and I can find them quickly. I can also share files for collaboration with team members who work in other locations or remotely, and I’m able to see their changes in real time. **What do you dislike about Microsoft SharePoint?** To be fair, I don’t like that I don’t have access to everything on SharePoint. Certain files and sections require specific permissions to view, and I sometimes can’t find the information I need because of that. It’s not really a SharePoint problem so much as a security/clearance issue. That said, I can see how this is a positive for organizations, since it helps limit who has access to what. **What problems is Microsoft SharePoint solving and how is that benefiting you?** The main problem it solves for me is not having to store even more files on my laptop’s hard drive. It also cuts down on the back-and-forth emails about specific files and documents.
