**What do you like best about Knowify?**

Since my original review, Knowify has added so much functionality. They have completely reworked their service module to make it a far more robust experience which truly helps us manage this part of our business. They have added markups to documents, reworked and upgraded project scheduling, and recently added AI features which speed up processes for bills.  Knowify continues to have stellar customer service, and speedily  respond to customer needs. They are true partners, and are right there to help us when we need things like a customized report. I remain their biggest fan!

**What do you dislike about Knowify?**

At the moment, the need to calculate commissions remains a challenge.  The most urgent item right now is a desperate need for a service report that shows each comment and image by asset that we can generate on demand to provide to customers when invoicing them. 

**What problems is Knowify solving and how is that benefiting you?**

Before Knowify, we had no accurate way to measure how productive, and how profitable we are.  Now we know!  This knowledge gives us the benchmarks we need to define processes, improve productivity, and manage expectations on the jobsite.

**What do you like best about Knowify?**

User friendly, implementation process was fairly quick. Very responsive support team. Have an audit log and comments trail on the transaction. Ability to mention other users in the comment. Integration with Zapier does allow us to build certain automation that helps with workflow. Custom templates works well. Mobile app is easy to use.

**What do you dislike about Knowify?**

The inventory management module isn't synced with QBO. Need to add product assembly to help with faster quoting and purchasing. Need a more robust reporting tool since we can only run preset reports and not able to have access to the entire data set for custom reporting. Need to add payroll code for users to enter their time with proper code like straight time, over time, stat holiday, personal days, etc.

**What problems is Knowify solving and how is that benefiting you?**

Manage our project quotes, purchase orders, expenses and labor time very well. With Knowify, we are able to control our project cost and stay close to our budget easier.

**What do you like best about Knowify?**

The interface is extremely user-friendly. We were able to navigate the majority of the portal just by feel. The onboarding that they provide is very helpful and completely customized to your needs. All the staff we have worked with have been professional, caring, and customer service-oriented.

**What do you dislike about Knowify?**

We utilize Quickbooks Online for our accounting software and that was one of the reasons we signed with Knowify since the two are integrated.  I do wish that the Contract Jobs worked a bit more similarly to the 'Customer Projects' in Quickbooks from a hierarchy stance - it would be helpful to manage large-scale contract jobs that have multiple lots (we have projects that can be 300+ lots).

**What problems is Knowify solving and how is that benefiting you?**

We brought on Knowify to start implementing Purchase Orders for our Field Technicians. This will give us the platform that we can use both in the field and in the office. We are also using Knowify to help manage our job bidding - its a good tool to help organize your RFIs from multiple vendors. Before Knowify, we would only use email - this helps to streamline the process for us and the vendors to keep all the right info in one place. Now we do not need to search through our emails trying to find what is what and from who. We are also planning on using Knowify to help with Job Costing and be more transparent - seeing the budget vs actual cost to the profit.

**What do you like best about Knowify?**

What keeps us at Knowify - invoices with option to have detailed SOV
I didn't see anything like this at any other software.
It looks very presentable - all our customers like them. 
And it was smart to make a column with  current numbers in a different color background, as when we have many pages, otherwise, it would be easy to lose track of what columns present.  

Also I like a fast help available if any problems occur.

Connection to QuickBooks online - precious option, it is well integrated. Vendors, projects, invoices and bills - all we need and easy to sort out
 
Convenient that we can search bills by names, by paid or no, invoices by numbers (if some general contractor has a few projects with us, they write only invoice # in their submittances - and the fastest way to find what project it is - to type invoice # in Knowify). Even though I can find it in many places, but just Knowify is the fastest way because of less clicks.

I like flexibility in due dates on bills (Knowify doesn't have the same flexibility at invoices, but i correct it in QuickBooks then)

We use Knowify daily, for all bills (also some of them which are not on projects) and invoices

We have many projects, some of them small, some big, start and finish at different time - we appreciate that we have unlimited projects ,
Sometimes we need to activate old projects, to add something there, and disactivate them again - thank you that is is available.

It was easy to start and learn how to use it. Now the design is even better -everything is on the main page.

**What do you dislike about Knowify?**

Payroll option - expensive, with constant rotation of people in construction and weekly payroll, it is too difficult to keep track of active people, plus, it is not easy steps to fill in all info. 
Not all employees are computer geeks to ask them to sign   in and report hours, and to assign hours to correct projects (very they have a few projects in one week, sometimes even  two projects on the same day) - all this makes impossible to use payroll. So we keep track of the costs in Excels .
Plus the cost for each employee who active, even if they are not on payroll for a while (but we didn't turn them off) - the costs look as too much.
Wagepoint is much cheaper .
Now, for example, we have 1.5 times rate, 2 times rate. and it is in the same week. Employees cannot enter it - they hardly understand what they should report us. We have it all in Excel, having extra lines for another rate - can you imagine how we should calculate the cost each week in Knowify? 
So it would be us (me and my assistant) who enters all in Knowify, in Excel, and in Wagepoint. No time for that.

Another one issue- the reports are too expensive and they don't have all we need, also we don't need them on a regular basis, but mostly once per year, sending the same report (WOH to insurance, bank, different software of the customers) . What I need to keep track - I have own Excels for separate projects and for all projects together on one Excel. 
If you wish, I could show you the Excels we have - maybe you can figure out what want customers like we, 

When we tried to use Knowify reports, I still had to adjust all manually. I don't know if you changed it now, but in general it takes less time and have constantly updated data on my Excels. Also, I have one interactive Excel, which is connected to all other projects we have, so I always have current data in all I need for reports.

For example, one details I had - Knowify WOH reports had NET data (projects cost, etc), but when payment comes, it has HST. So technically your reports should calculate NET from the paid amount, but because it didn't, the reports didn't make sense and were useless. To calculate %, I added manually a column that calculated NET on payments of the invoices.

So, these two functions we didn't like - payroll and reports

**What problems is Knowify solving and how is that benefiting you?**

Knowify created option for Holdbacks - that was amazing. It is not only time saving and clear invoices, but also looks super when we submit these invoices to our GCs
Knowify updated  our invoices as we asked  - it saved our time manually edit PDFs
Whatever gave us errors, Knowify fixed it very quick. So it makes easier when I don't need to have plan to finish something another day, but all isa done instantly
Maybe I forgot something, as we are many years users. But I know that Knowify never left us without help, and any help - always contribution to our better project management, accounting etc

**What do you like best about Knowify?**

- Knowify's integration with Quickbooks very good, reduces a lot of time with entries and reduces mistakes.
- Time tracking works well and is very easy to invoice projects while tracking expenses and bills.
- Is possible to export the projects to .cvs to make analysis of the costs, which is very useful.
- Phone App works well for the people on site. Very easy to use (check-in and out) and enter purchases.

**What do you dislike about Knowify?**

- The profit is not accurate for Canada, as it costs includes sales. Skewing the numbers and making  dashboard useless.
- Estimating material using the templates is useless as the system will only allow you to enter two decimals for material and time. So for example, if you make a template for painting using 1 sqft as the base, the system will round up your time and material resulting in an insane amount that doesn't make sense. The only option is to increase the base, for ex. calculate per 100 sqft your time and material, which results in an additional step to work around the system.

- It becomes hard to estimate cost (time and material) using plan & track. For big projects is easier to do the work in excel and then import it to Knowify. Having sort of a spreadsheet embedded would be very valuable.
- There are very few reports available and no way to automate a weekly reporting, for example,
- Would be nice to have more functionality in the phone App for Admins.
- Right now only has English and Spanish. Having French would be useful too.

**What problems is Knowify solving and how is that benefiting you?**

Centralization of data for projects with synchronization of bills and purchases with Quickbooks and project invoicing.

A: We actually have a feature to remove taxes from profit in Canada. It can be enabled in Admin>Customize>Taxes. Hopefully this helps!!

**What do you like best about Knowify?**

The user friendly layouts are incredible. The integration with quickbooks is seamless and really simple to navigate. The organization of data is delightful to see everything in one place for each project.

**What do you dislike about Knowify?**

The proposal part- for a software as advanced as Knowify, I am so shocked at the way proposals are handled. There should be a way to have multiple proposals for each job- with Different Revision Numbers for each time a revision is needed. This is crazy to me the process of making a revision on proposals. This should definitely be corrected. 
Get a numbering system for the proposals and have an option for revisions where the previous proposal can still be referenced or easily accessible for editing. The saved copy thing in documents is strange and the whole process of revisions is very cumbersome for our business. Please do better! 
We often revise our proposals and would really benefit from a easier process on that.

The app for the phones is buggy too. Why do i get a push notification on my phone saying i have been assigned a task, and when i click that option it takes me to the Knowify App, notifications tab, and there is nothing there. I do get an email, yes and I can close the notification tab and go to tasks-- but like why not just take me to the tasks section- its annoying to have to do that over and over. Please fix that to where the notification registers to the "notifications tab" or just route the click directly to tasks.

Invoicing- Is there a way to view invoices under the job file? That seems odd to me that it doesn't save it to the documents and we would have to upload it to knowify, when the invoice is already in the system. That seems like an extra unnecessary step. I know we can view them in the invoices section, but it would be easier to have it in the actual job file as well.

**What problems is Knowify solving and how is that benefiting you?**

it is bringing all our estimating, job costing, and projects all together in ONE place. No more excel spreadsheets is incredible. I have more visualization over my projects and can track and view real time costs a lot easier.

A:There absolutely is! While in a contract job, if you navigate to the "Activity" tab, you are able to filter your view to be exclusively invoices, using the "view" drop-down. You're also able to look at specific date-ranges when in this view, and easily export the data.

We’ve had a great experience using Knowify. 
Their customer service is excellent, responses are always quick, and the team is consistently friendly and helpful whenever we need assistance. The platform is also easy to use, especially when it comes to creating and sending proposals. We haven’t encountered any major issues so far, aside from the tax dropdown when preparing proposals.

**What do you dislike about Knowify?**

There are still a few features that we’ve been hoping to see implemented for years, such as improvements to the sales tax section in proposals. It would be much easier if the tax options were sorted by city or state, or if there was a search bar or wildcard search to find what we need quickly, instead of scrolling through a long list.

Overall, Knowify has been reliable and user-friendly, with excellent support and just a few areas where additional functionality would make it even better.

Issues getting Knowify to talk with QuickBooks sometimes, Limitations when you have multiple brands within one Entity, Duplications in processes(could have preloaded areas based on what you put on other areas, i.e. proposal work scope goes into work order tab), I wish it had a better Vehicle and Equipment section, Not a fan of the scheduling app, Mobile App is ok, Wish the CRM was a little more involved

Knowify has allowed us to continue to grow and add sales people while still keeping tabs on what they are bidding and the performance of the jobs they are executing. It makes things simple and easy to where our staff can talk to each other without having to talk to each other.

**What do you like best about Knowify?**

Very easy platform to use once you have gone through the training. I like to 10% holdback options that we are able to add to contracts. I like that is it easily synced with QuickBooks to be able to track materials against jobs and deal with the bookkeeping at the same time. Customer support is great as someone is always reposing in a timely fashion.

**What do you dislike about Knowify?**

-More reports such as WIP reports
- Wish that service jobs were still part of the base price instead of as an add on
- CRM built in
- I find that sometimes the tax does not match that of Quickbooks- therefore each invoice that I send I have to make sure the tax aligns in QB

**What do you like best about Knowify?**

Knowify has provided a good way to streamline tracking our employee's hours and receipts for job site material purchases. It has also be easy to use for sending invoices to clients and recording subcontractor's invoices.

**What do you dislike about Knowify?**

I would like to be able to create fixed price job and then add Time and Material change orders to it as the job progresses. We often have large jobs that are bid as fixed price jobs, but part way through the job the client will request some additional work that we just complete on a Time and Material basis.

**What problems is Knowify solving and how is that benefiting you?**

It eliminated our company needing to use separate programs for each of the following: employee's tracking their hours, employee's entering material purchase receipts, creating client invoices, and tracking job costs by job.

I feel I'm too new of a user to answer this yet, but so far very easy to use.  Also, support is excellent, they answer any questions right away.

**What do you dislike about Knowify?**

When I first spoke with Knowify, I felt that some of the information I was given wasn’t entirely accurate. For example, I was told that the invoice template could be customized in any way I wanted and that all project-related information would automatically transfer over. In reality, the process turned out to be more complex than it was initially made to seem.

**What problems is Knowify solving and how is that benefiting you?**

I’m still fairly new to using the system, so I don’t feel I can fully answer this question just yet. That said, everything has been great so far! 🙂

**What do you like best about Knowify?**

1.  Job Costing information and how it's displayed.  We can see at a glance how we are doing at any point in the job. 
2. Integration with QuickBooks.  QuickBooks doesn't have the job costing abilities we needed, but we need to use it for our accounting.
3.  The Support Team - There was quite a learning curve for us because we had been using an antiquated system.  We had also been doing things in an old way.  Our Knowify Coach helped us identify some of those things and showed us easier ways to run our business.  
4.  Knowify has customized templates and helped us with our internal workflows to be more efficient.
5.  Once we have been trained and have been using it for awhile, it's easy to use.  It took us a while to really understand, but that's expected when starting a new system.
6. The training and support team have been been available for any training session we've needed.

**What do you dislike about Knowify?**

There was a report I wanted, but it couldn't be done.  I'd still like to be able to run a phase report for specific time periods without having to download it and sort it by date and then delete the dates that I don't want.  

However, my team did explain to me that most people just look at the percentage done and use that for invoicing.  But, sometimes, you just need to be able to double check things by date.

**What problems is Knowify solving and how is that benefiting you?**

Job Costing is the main reason we chose Knowify.
Syncing with Quickbooks so that our Accountants can do their job easily.

Knowify is great for tracking and organizing without being overcomplicated

**What do you dislike about Knowify?**

I would like to be able to use the "TAB" key instead of having to rely on my mouse.

Previously, I worked in ServiceTitan, which has many features that I greatly miss. Here are a couple of suggestions for improvements:

- It would be helpful to have an overview of each contractor/customer, including open jobs, open invoices, and scheduled jobs.
- When scheduling a job, it would be nice if that action were automatically logged, rather than needing to type it in manually.
- I would prefer the ability to accept a payment while viewing the job, instead of having to navigate to the invoice screen. It would be much more efficient to see everything on one screen—such as invoiced amounts, deposits, payments, and customer contact information.

I understand that some of the challenges may stem from my current learning process with Knowify, but these are the main features that come to mind.

A: While Knowify doesn't have this top-level customer view today, it is possible to filter every screen with customer info (open jobs, invoices, etc) can be filtered to individual customers. I know it's not exactly the same thing - but hopefully it helps.

A: This is tricky because there can be more than one invoice can be on a job, so the link to pay doesn’t quite happen at the job level but at the invoice level.  However, you may be able to use Knowify's customer portal to handle this - you're able to show all invoices to your client, along with status, and they're able to download or pay invoices directly from that portal.

**What do you like best about Knowify?**

Knowify has truly transformed our operational workflow! The integration process was surprisingly smooth; while our team did encounter a few new terms, the underlying concepts were quite similar to our previous system, making the learning curve manageable.

What truly sets Knowify apart is its absolutely supreme customer service. I've personally benefited from several one-on-one training sessions, and there's a wealth of helpful YouTube videos available. Within the platform itself, there's a convenient window for immediate Q&A, and the support team's response time is superior – they've consistently provided clear answers to all my questions.

The most valuable aspect for us has been the ability to review our workflow forecast, rather than simply looking in the rear-view mirror. This forward-looking capability is a game-changer. I also love the immediate scheduling of follow-up reminders, which helps keep us on track.

**What do you dislike about Knowify?**

One improvement I would like to implement is a process for marking estimates that require review by a supervisor. I would also like a way for my field team to mark jobs completed so that the office staff know when to invoice them.

I would also like to have integration with Google Calendar for tasks, follow-ups, and specific resources' job schedules.

**What problems is Knowify solving and how is that benefiting you?**

Problem Solved: Previously, we were only able to review past workflow.
Benefit: Knowify provides a forward-looking workflow forecast, which is a significant advantage for proactive planning.
Problem Solved: Difficulty in consistently tracking follow-up actions.
Benefit: The platform allows for immediate scheduling of follow-up reminders, ensuring tasks are not missed.

I like that is software is easy to use and intuitive, it links directly to quickbooks and syncs all your transactions and allows e-payments that work great and are seamless. They have great customer service when there is a issue that needs resolved. I like the customizable forms like PO's, Invoices, Bills. The job costing is great because you always know the status of your job in real-time with quick read graphs. The mobile app is great also to update projects while on the go and also take payments in the field for quick service jobs.

**What do you dislike about Knowify?**

Its on the more expensive side. I'd could track the revenue associated with internal jobs. I would like to do drawings markups directly in the software for larger jobs that have associated plans.

I like how it tracks job budgets and progress, and the ability to have most of our project info on one platform. We can track time, bill, and invoice all in one spot, and customize how we track projects fairly easily.

The scheduling features need to be streamlined and easier to use. We also wish it was easier to track what components have been ordered, what still needs to be ordered, and what is sitting in the shop already assigned to a project. All this info is in Knowify, but there's not an easy way to display it company-wide.

keeping track of materials and labor costs - helps us streamline procurement and operations. It also allows for flexibility in billing different types of jobs and tracking expenses and labor for different types of jobs.

They don't seem to update the software very often and there are small bugs like recently used vendors that don't populate correctly. Also generating retainage on an AIA form requires additional steps.

I liked that it is easy to set up a job and very user friendly and that you're able to send your bid directly to your customer. It is layed out in a simply way so no explanation is needed for your customer. I recently had one customer tell how they like our simple billing and invoices from our company.

How well it syncs with quickbooks, the onboarding process is streamlined, and because of how well it works with quickbooks it has saved me a lot of time. Knowify also has some of THE BEST customer service I have ever encountered. Very prompt, helpful and friendly.

Issues with the app, specifically no allowing employees to clock in and still several glitches, this unfortunately does create additional work for me (yesterday alone I had two employees that had to completely delete the app from their phone and reinstall to be able to clock in.).

It is streamlining our onboarding process, we no only have to use one platform.  The integration with quickbooks has also saved me hours of time with payroll.

We fully use knowify to track our time now as well. We love the check in and out features through their mobile app. Each of our employees do these types of entries. The support team is always improving the platform - they host webinars and reaching out to get help is super easy. Can't recommend them enough!

Additional reporting - maybe job specific. They do offer quite a few reports but maybe additional options.

Customer Support is excellent. Anytime I have an issue, the Knowify team is on it immediately and are able to resolve it quickly.

That you have to set up deliverables for a job before you can invoice; that the deliverables don't always pull up when invoicing so have to add them manually; that the system doesn't easily identify what supplier the expenses are from when looking at the activity list. It would be nice if invoicing was available from the Contract & Change Orders tab.

Tracking hours per job-able to bill a job correctly according to hours billed against it.

Over the past 20+ years I've used many ERP systems and Knowify is by far my favorite and easiest to use in the Construction industry.  It seamlessly integrates with QB online and our BIll.com platforms to reduce extra data entries among all three.  The team is full of hard-working intelligent members that care about our processes and are always willing to help.  For a $1-20M company I would highly recommend using Knowify for PM, Acct, and Sales functions.

One of the big downside is that our Foreman's need to have access to estimating in order to create a daily log.
Please change this. Foreman's should never have access to estimating or financials.

E-signature contracts helps  Get the project started sooner. All the billimg and invoicing tools help us get paid on time and keep track of profit loss

sometimes the format of my estimates can be off, for example when i hit the terms and conditions, I like that portion to be on a separate page after the total amount.

**What do you like best about Knowify?**

What is most helpful to me is that there aren't a lot of extra menus to click through to send out nice-looking proposals to homeowners. The interface is very user-friendly, and the Knowify support team is always an email or call away to help answer any questions you might have. It offers many features to stay organized with invoicing, bills, scheduling, and many other things contractors need to be on top of to remain profitable. This will change how your contracting business is run, and you will find yourself using the software daily. It also offers integration with Quickbooks, which is helpful, and the ability to teach others how to use the software very quickly as they join your team.

**What do you dislike about Knowify?**

I can't imagine running my business without this software. Still, one thing I wish it did have was the ability to upload pictures to specific project phases so that there is easy access to before, during, and after photos of each project phase.

**What problems is Knowify solving and how is that benefiting you?**

Knowify is a one-stop shop to keep track of project costs, proposals, invoicing, etc., and that helps me save time as I only need one software to do all of it.

**What do you like best about Knowify?**

Ability for job costing to be more accessible for everyone overseeing the job has been an improvement, although keeping up with that has been a bit of a chore for me. The  big advantage to Knowify for me was an ability to have someone cost code our job purchases so that I could take the responsibility off my plate. Also having our budgets side by side with the software that we generate billings out of has made my life much easier.

We use the software on nearly a daily basis, and even our oldest members of the team have been able to implement it into their workflow which has helped dramatically.

**What do you dislike about Knowify?**

There have been conflicts with importing back and forth with quickbooks desktop. This could be remedied I believe if we were to switch to quickbooks online, but we haven't gotten to that point yet. I wish there was a little bit more functionality as far as tracking permit/inspections and constructing submittals out of, but we have learned to work around the limitations since we have yet to find an all in one solution for these things.

**What problems is Knowify solving and how is that benefiting you?**

I have one central point in Knowify to keep all of my bids at my fingertips. I can also get a pulse pretty quickly on where we are sitting with the budgets of our ongoing jobs so that I can talk to our superintendents about them on a more timely basis.

**What do you like best about Knowify?**

Knowify has been an incredible tool as we've transitioned to a project management system. It is easy to use and it has helped us get organized and track profitability on our projects. We started from ground zero, so it was easy to implement. We have used it both with Quickbooks online and now Quickbooks desktop. Honestly, the integration has worked well for both overall. The best part about knowify is the customer service, though. It's truly unmatched. I've worked with a handful of people over the time we've been with them but Christian and Vinny have been my go to team!! They are truly the most helpful and kind. One thing I have learned in business...and life...is that you can do everything else incredibly well, but if you lack customer service and people who care you will never be exceptional. Christian and Vinny are what have made knowify exceptional for us!

**What do you dislike about Knowify?**

There are a handful of things that I think could be added or modified to improve the experience for my specific industry. From the accounting side (and being a company in California) one of my biggest "complaints" is sales tax tracking. I know this is not an issue for every company or every industry. I will say...a lot of the other things are a Quickbooks issue and not a Knowify issue (Quickbooks is picky about what information it will accept). It would be super cool if Knowify had it's own accounting platform so it would be an all in one system ;)

**What problems is Knowify solving and how is that benefiting you?**

My favorite part about them is that if I email with a question or request or SOS...they 1. get back to me quickly (like often within an hour or two) and 2. if they don't have an answer or can't do what I'm asking they give me alternatives! 

The latest thing they've helped with is the transition to Quickbooks desktop...It was a little bit of a learning curve and there have been some issues syncing things but Vinny & Christian are literally always there and do an incredible job of problem solving and helping figure out the problems!

**What do you like best about Knowify?**

I like there everything from time tracking to budgets to scheduling is housed under one system. I have demoed countless job costing/time tracking softwares in my job as office manager of a custom carpentry company. Knowify is the only one that has it all. It checks boxes for me for bookkeeping and invoicing, for our project managers and estimators when running scopes and for our carpenters who at tracking their labor. I also love that I can send purchase orders directly from Knowify so in that way, I can use it as an inventory tool for our stock lumber

**What do you dislike about Knowify?**

I wish there were more customizable reports. I know I can download anything to excel and manipulate it but there is so much good information in Knowify, I wish you could design a report around it to use every time without having to manipulate in other software.  I also wish we could have multiple documents signed at once in Knowify. We send a lot of architectural drawings with our proposals and have to use Docusign to do so. Lastly, it's a pain that invoices and expenses can only sync to one income/expense account in QBO. We have two divisions and would love to be able to categorize before syncing

**What problems is Knowify solving and how is that benefiting you?**

I use to have to track everyone's labor and job expenses in a spreadsheet. Now they enter all of that in the field and I'm able to invoice from it. It makes bidding, invoicing, accounting and purchasing much more streamlined
