What I like best about Jotform Workflows is that it gives me my time back. Prior to using workflows, I had to remember to email people individually, find their information, locate their email address, recreate or find an old email, update it and then send it. It was a lot of back and forth.
I also depended on reminders and alerts on my phone, but if the reminder came while I was driving, in a meeting or handling something else, I could easily forget to go back and do it. Jotform Workflows takes care of that for me. The communication goes out when it is supposed to, which helps me stay consistent and timely.
I use Jotform for almost everything we do administratively, including registration, membership, recruitment, classes, quizzes, surveys, lunch orders and directories. I've also connected Jotform with an app for one of our classes and used it to collect payments for different orders and registrations. I like being able to connect what I'm already doing in Jotform with other parts of the process instead of having to manage everything separately.
The performance of the workflows has made a real difference for me. I would estimate that Jotform saves me at least 20 hours of work throughout the week. It keeps accurate records, keeps information in one place and reduces the amount of manual work I have to do. For the amount of time and stress it saves me, I believe what I currently pay for Jotform is reasonable. It doesn't just save me time... it gives me some peace because I'm not constantly wondering if I remembered to send something. Review collected by and hosted on G2.com.
My biggest challenge with Jotform Workflows has really been the learning curve. The workflows are much easier for me to find now, but when I first started using them, I didn't really know what I was doing or where to go for help. I actually started Googling workflows, but then I wasn't sure if what I was learning would apply specifically to Jotform. I would love to see an easy-to-find beginner tutorial that walks you through creating your first workflow from beginning to end.
Podo helped me tremendously because it actually walked me through creating a workflow, but there were still some things I didn't know. For example, I didn't realize that I needed to actually type the content of an email into the workflow. I thought Podo was taking care of everything, so I ended up with emails going out with blank information. I would love for Jotform to have some type of final check that says, "It looks like something may be missing. Are you sure you're ready to send this?" It could check for things like a blank email, missing date, time or other important information before the workflow is activated. That would have saved me time and a little embarrassment too.
I also learned that I have to be very careful when using Podo by voice. I was having a personal conversation with someone while working on a workflow, and Podo heard the conversation and began changing information in my workflow based on what I was saying to the other person. I didn't tell Podo to make those changes. That was concerning because parts of a personal conversation were being placed into something I was creating. It would be helpful to have clearer instructions about when Podo is listening, or for Podo to require a specific command before changing something. There were also times when Podo misunderstood what I was saying, so the voice recognition could use some improvement with different ways people speak and use everyday language.
My other concern is pricing for smaller organizations. I think the price I currently pay for Jotform is reasonable, but I would love to have at least one or two additional users in our office without having to move to Enterprise. I don't want to share my password, so right now most of our Jotform work falls on me. Moving to Enterprise just to give another person access would be a tremendous increase in cost for a smaller organization like ours. A small-team option between an individual plan and Enterprise would be extremely helpful.
Jotform definitely gives me time back, but those changes would help me get even more of my time back and make it easier for other people in our office to share some of the work. Review collected by and hosted on G2.com.
