As a Design Operation & Project Delivery Coordinator at a mid-sized design agency in Kansas City, my favorite thing about Flowlu is how it blends flexible project tracking, customizable data fields, and centralized document management all in one lightweight platform. Our team juggles dozens of active client design projects, freelance vendor relationships, and constant creative asset revisions. Before Flowlu, our project data, approval statuses, and freelance contract terms were spread across separate spreadsheets, cloud folders, and chat threads. It was tough to keep our creative, production, and account teams aligned, and tracking asset versions and project phases was always messy.
Flowlu’s fully customizable fields and bulk CSV import functionality have completely streamlined our day-to-day operations. I regularly onboard new client projects and freelance designers in bulk, and Flowlu lets me upload entire project lists and vendor rosters via CSV in minutes. I built custom fields tailored specifically for our design workflows, including project phase tracking, client approval status, creative deliverable version numbers, freelance rate tiers, and contract expiration dates.
A perfect real example is our recent brand refresh campaign for a regional retail client. The project had multiple phases — mood board development, logo iterations, brand guideline drafts, and final file handoff — with tons of versioned assets and external freelance support. I set up a dedicated Flowlu project workspace with our custom phase fields and logged every deliverable version, client feedback status, and freelance task milestone. Our creative team could instantly see which design iterations were client-approved, which files were pending revisions, and which freelance tasks were due. No more digging through scattered Google Drive folders or long email threads to verify project status.
I also love that Flowlu ties task tracking, client communication logs, and document storage directly to each project. All approved assets, signed vendor contracts, and client feedback records live in one centralized spot. This makes my monthly cross-department operational reporting way faster. I can quickly pull organized project data to compile team performance metrics and project delivery timelines without manually compiling data from multiple tools.
Overall, Flowlu’s adaptability to our unique design studio workflows is its biggest strength. It eliminated our disjointed project management system, cut down hours of manual data entry and version tracking, and keeps our entire creative team aligned on project delivery deadlines and client expectations. The biggest issue is its file handling and asset versioning support. We constantly upload design source files, brand mockups, and revised deliverables for client review. When our creative team uploads multiple iterations of the same design asset into Flowlu, there’s no built-in way to auto-tag versions or compare previous file revisions side by side. A few weeks back, we were wrapping up a brand identity project and had seven different logo mockup versions uploaded. Our account manager accidentally pulled up an older, unapproved file to share with the client because Flowlu didn’t clearly highlight the latest approved version. We had to add manual naming rules and extra notes on every upload, which creates more work for our busy creative team.
Custom reporting is another weak spot. I rely on reports to put together our monthly cross-department operational reviews. I set up custom fields in Flowlu for project phases, approval status, and freelance contract terms, but the report builder doesn’t let me combine all those fields smoothly. I tried to build a report showing active projects grouped by client approval stage and vendor spend, but the filters kept dropping some of our custom field data. I ended up exporting all the raw data to Excel and building the report manually, which ate up a big chunk of my month-end time.
The integrations are pretty limited too. Our team uses Figma for design work and Dropbox to store large source files. There’s no native Flowlu connection to sync Figma updates, and the Dropbox link setup only embeds basic file links, it won’t automatically pull updated asset versions. We tried a Zapier workaround, but it’s inconsistent and sometimes fails to push new task updates into Flowlu. Review collected by and hosted on G2.com.
