I’m Lindsey Graham, People Operations & HR Systems Specialist at SouthEast Tech Innovations Inc, a 127-person hybrid B2B SaaS company based in Atlanta. I use Elastic Email alongside our Humaans HRIS and Greenhouse ATS to send HR communications: new hire pre-onboarding emails, benefits open enrollment reminders, FLSA policy updates, and EEOC survey outreach. I manage subscriber opt-out records and campaign logs to satisfy CCPA employee PII rules and internal HR audit requirements.
My favorite feature is the clean, guided onboarding dashboard paired with a consolidated left navigation menu, which cuts roughly 6 hours of manual HR email campaign setup and contact list validation work each week. The homepage walks me through clear step-by-step tasks to build and test campaigns, and the mandatory phone verification gate before unlocking full sending capabilities acts as a built-in safeguard to protect our sender reputation. The sidebar groups all core tools: audience management, campaign builder, automations, verifications, exports and settings. I can quickly jump between drafting open enrollment reminders, cleaning employee contact lists, and exporting campaign delivery logs for compliance review without switching multiple browser tabs. The guided workflow tutorials also simplified training our junior HR coordinator, so they can independently build simple policy announcement emails without my constant oversight.
The audience verification and segmentation tools are incredibly useful for our hybrid workforce communications. We separate our lists into active employees, new hires, former staff, and job candidates sourced from Greenhouse ATS. Elastic Email’s contact validation tool automatically flags invalid or bounced email addresses before I launch a send, which protects our domain reputation and reduces unnecessary messages to terminated staff. I sync new hire contact data from Humaans into Elastic Email through Zapier, so newly onboarded team members automatically get added to our benefits communication list. The automation builder lets me trigger scheduled sequences, such as pre-day-one paperwork reminders sent 72 hours before a new hire’s start date.
An unexpected benefit I’ve discovered is the detailed, filterable log export feature. I can export campaign delivery records, open rates, and unsubscribe history as CSV files. When our compliance team conducts CCPA employee PII reviews, these exports give timestamped proof of consent and opt-out activity for our HR communications. Last quarter, during our EEOC reporting cycle, I pulled an export of our employee engagement survey emails to prove we distributed the survey evenly across all departments and remote/hybrid teams. This eliminated hours of manual evidence collection from our corporate Outlook mailboxes. The platform’s API access is another strong plus; I can build custom webhook triggers to log email open events back into our HR tracking workflows, giving our team better visibility into whether employees have viewed mandatory policy updates.
Suggestions for the product team: Build native Humaans and Greenhouse ATS integration to remove Zapier dependency for employee and candidate contact sync. Add HR-specific audience suppression rules that automatically exclude terminated employees from internal HR mailings. Add granular role-based permissions so only HR admins can access employee PII contact lists. Add tagging for HR message types such as benefits, policy, or EEOC survey to simplify audit log filtering. Improve automation triggers to tie directly to Humaans lifecycle events like promotion or offboarding. Overall, Elastic Email’s guided dashboard, contact validation and robust export functionality streamline our HR outreach and help us maintain audit-ready records for our fast-growing SaaS team. I’m Lindsey Graham, People Operations & HR Systems Specialist at SouthEast Tech Innovations Inc, a 127-person hybrid B2B SaaS company based in Atlanta. I use Elastic Email for HR communications including new hire onboarding reminders, benefits open enrollment alerts, EEOC surveys, and policy updates, while maintaining audit trails to satisfy EEOC, FLSA and CCPA employee PII requirements alongside our Humaans HRIS and Greenhouse ATS.
The biggest pain point is the lack of native HRIS or ATS connectors, forcing all employee contact syncing to rely on Zapier, which creates silent sync failures during our fast hiring cycles. Last quarter when we onboarded a batch of new remote hires, the Zapier sync timed out and failed to push their contact records into Elastic Email. There was no built-in alert for this failure, so those new team members never received their pre-day-one onboarding email sequence. I only caught the oversight three days later when a new hire reached out asking for paperwork instructions. This creates compliance risk because we need documented proof that mandatory HR notices were delivered, and missing sends break our onboarding audit trail for EEOC and CCPA reviews.
Second, role-based permission controls are far too limited for an HR team handling sensitive employee PII. Elastic Email only offers basic admin and standard user roles, with no granular permission sets to restrict team members to specific contact lists or campaign folders. My junior HR coordinator needs access only to benefits reminder campaigns, but I cannot block them from viewing candidate or terminated employee contact lists that contain PII. This violates our least-privilege access policy and increases exposure risk for employee private data. There is no separate read-only audit view for our compliance team either, so auditors must use full admin access to pull campaign logs.
The audit log exports also lack HR-specific tagging and filtering capabilities. The CSV output is flat, and I cannot tag emails by message type such as benefits, policy updates or EEOC outreach. When our compliance team requests evidence for CCPA employee data reviews, I must manually sort thousands of log entries and cross-reference them back to Humaans employee records, which takes roughly seven hours of spreadsheet cleanup for each audit cycle. The platform also lacks built-in suppression rules for terminated employees; I have to manually export and scrub the contact list before every HR send, and a single missed entry could result in sending sensitive internal communications to former staff.
Automation triggers are another limitation. There is no native way to trigger email sequences based on Humaans lifecycle events like promotion, leave start or offboarding start date. Every workflow has to be manually built or triggered through clunky Zapier webhooks, adding extra maintenance work as our headcount grows quickly.
Suggestions for the product team: Build native integration with Humaans HRIS and Greenhouse ATS to auto-sync employee and candidate contacts without Zapier. Add fine-grained role permissions to limit access to PII contact lists and create read-only audit accounts. Add message tagging and filterable audit exports built for HR compliance for EEOC and CCPA. Add automatic suppression rules to remove terminated employees from all HR email lists. Expand automation triggers to listen for HR lifecycle events including hire date, promotion and offboarding. Overall, these upgrades would reduce manual list maintenance, close access-control gaps and make audit preparation easier for our fast-growing SaaS HR team. Review collected by and hosted on G2.com.
