What do you like best about CreateSurvey?

As our telehealth and client virtual engagement systems administrator, the centralized survey dashboard and robust status management system in CreateSurvey is my favorite feature, which streamlines how I build and manage confidential client feedback, intake screening, and post-session satisfaction surveys for our behavioral health outpatient practice. The main survey listing dashboard lets me search surveys by ID, title or folder, and filter records by favorite, active, stopped, or archived status all in one view. This dashboard saves me roughly three hours each week sorting, auditing and organizing HIPAA-aligned patient surveys for our telehealth programs.

I build many surveys to support our Confrere virtual consultation workflows, including pre-appointment intake questionnaires, post-telehealth session feedback forms, and quarterly client experience assessments. The prominent “ADD NEW SURVEY” button on the dashboard lets me quickly launch new surveys without navigating through multiple nested menus. I organize all patient-facing forms into dedicated folders, separating intake screening surveys from post-session feedback surveys. The table view displays survey ID, creation date, title, response count and quick access panel, so I can instantly check response volume without opening each individual survey. For example, at the end of each month, I filter for all active telehealth feedback surveys to review how many clients submitted responses after their Confrere video sessions.

The conditional question branching tool is another function I rely on daily. I design intake surveys that adapt based on client answers. If a respondent flags elevated anxiety symptoms, the survey automatically routes them to additional screening questions, while low-risk clients skip those sections. I also leverage webhook integrations to push anonymized survey response data via Zapier into our EHR platform, ensuring collected information is properly attached to client records while maintaining HIPAA and CCPA safeguards for protected health information.

An unexpected benefit I found is the survey lifecycle status controls for compliance auditing. Once a survey collection window closes, I can switch it from Active to Stopped, then archive it once the retention period ends. This simple status framework lets me easily separate active data collection from archived patient responses, making HIPAA audit preparation far simpler. I can quickly demonstrate which surveys are actively gathering client PII and which records have been locked for retention schedules. The top navigation’s built-in Video Lessons library also helped me train our clinical team members to build simple client feedback surveys independently, cutting down on the number of support tickets sent to my systems admin inbox.

Suggestions: I hope CreateSurvey adds HIPAA-specific survey templates pre-built for behavioral health intake and post-session screening. It would also be helpful to add custom tagging directly on the dashboard listing page, so I can tag surveys by intake type or clinical program and filter tagged surveys with one click, rather than relying solely on folders. What do you dislike about CreateSurvey?

As our telehealth and client virtual engagement systems administrator, the biggest frustrations with CreateSurvey tie back to gaps that create extra compliance risk and manual overhead for our HIPAA and CCPA regulated behavioral health practice. The first major limitation is the lack of custom tagging on the main survey dashboard. Right now, I can only organize surveys into folders, and there is no way to add tags such as “intake screening”, “post-Confrere session feedback” or “PHI-containing” to label surveys directly on the listing page. When I prepare for HIPAA audits, I have to manually open every survey to confirm what type of data it collects. This adds hours of manual review work, and there is risk I miss a survey holding protected health information. For example, during our quarterly compliance audit last month, I spent over four hours manually reviewing each survey to separate intake forms from general feedback surveys, because I couldn’t filter by clinical use case on the dashboard.

The second critical issue is inconsistent webhook payload reliability for sensitive client data. I use webhooks through Zapier to push survey responses to our EHR platform after clients complete intake forms before their Confrere telehealth sessions. Sometimes, custom survey fields containing PHI or PII fail to populate in the webhook output, so client screening data never syncs to our EHR. When this happens, I have to manually export CSV response files, clean the data, and upload records individually. This manual workaround creates unnecessary exposure to protected health data and breaks our automated workflow for pre-session intake. If a missing screening response slips through, our clinical team may enter a telehealth session without critical client mental health information.

Third, the platform’s user permission model is overly broad for clinical staff. I cannot restrict field-level access for shared survey editors. If I give a therapist permission to view a survey, they automatically see every response field, including sensitive identifiers like client emails and phone numbers. I cannot hide PHI fields while still letting them review symptom screening answers. To mitigate HIPAA risk, I must duplicate surveys and create redacted versions for clinical team review, which bloats our dashboard and creates version control errors.

Lastly, there are no native HIPAA-specific audit log filters for survey access events. I can view basic access logs, but cannot quickly filter logs to show who opened PHI-containing surveys or exported responses. I need to manually compile these logs for our compliance audits, which adds administrative burden.

Suggestions: First, add customizable survey tags and tag-based dashboard filters so I can instantly identify PHI-bearing intake surveys. Second, stabilize webhook delivery for all custom survey fields, with failure alerts when payloads do not send. Third, add field-level permissions to hide sensitive PII/PHI fields for shared survey editors.
