
I love that Calendly has evolved from simply keeping my calendar, to helping me with client management. Strong growth and evolution is a value to me and to the DNA of my business. So, it makes me proud to be working with a company that holds that value.
Out of the AI notetaker, the transcripts, the evolved client contacts features, and even more incredible features being developed right now — I would say my favorite is the AI Notetaker, with highlights and transcripts. It has made my high-touch coaching — with actual notes tailored from each session — more powerful in less time.
With some clients I can just send the notetaker link, with others I can take those notes and transcripts and customize them. I have noticed that it saves me about 4-6 hours per week in getting my notes out.

One ongoing frustration I run into is the inability to meet a client who needs a fast reschedule, forgot to choose Zoom, or needs to switch from in-person to Zoom because life happened. Right now I can’t schedule a client right then and there if we’re even two minutes past the hour. I have to wait until a future time. I wrote a book about time travel, called How the Stars Tell Time, so it seems appropriate that I would advocate for time travel! But seriously, I would love a back-end feature that allows me to schedule or modify a client session retroactively within perhaps 10 minutes of the start time. I don’t necessarily need clients to have that power themselves.
I’m also frustrated that I have to depend on ongoing clients to “accept” text notifications. As a coach, I often set up a client’s recurring series on my end once we have established a regular day and time. Some clients rely heavily on text reminders to stay aligned with their schedules, yet the people who benefit most from texts are often the least likely to complete additional notification steps. I understand that privacy and consent requirements may limit what Calendly can do here. Still, I would love a compliant way for an administrator to document an existing client’s consent and enable text notifications on their behalf—particularly when we already have a coaching agreement and established relationship. This would make my life much easier and prevent a lot of client miscommunication.
I haven’t checked this recently, but because I have many event types, setting up a Mailchimp integration event by event has historically been time-consuming and overwhelming. I would love a global or default integration setting so that new Calendly events can automatically funnel into the appropriate mailing list, group, or workflow unless I choose otherwise.
The mobile app is another pain point. I see many changes that are improving Calendly’s overall performance, and in general the platform performs reliably for me. However, the mobile app still feels more limited than the desktop experience. Just today I tried to change an existing client session from in-person to Zoom for the same day and time, and the app wouldn’t let me do it. I had to wait until I returned to my home office and make the change from my laptop. I would love the app to offer much closer feature parity with the desktop experience.
Occasionally the AI Notetaker doesn’t join or work as expected, and I don’t always know why. Because the Notetaker has become such an important part of my workflow, reliability here matters a lot. I appreciate having Zoom’s transcription as a redundant backup, but I would love the Calendly Notetaker to work consistently for every scheduled session.
For recurring series, classes, or membership calls, Zoom’s recurring-meeting structure sometimes works better for me than scheduling each session through Calendly. But when I schedule directly in Zoom, I lose the Calendly AI Notetaker and notes workflow. I’d love a way for Calendly’s Notetaker to work with recurring Zoom meetings even when the individual sessions aren’t scheduled through Calendly.
In terms of pricing, I think Calendly provides good value for what we pay. Resolving some of these workflow limitations would make the return on investment even stronger.
Finally, support has consistently been timely, thorough, and helpful. However, when I bring up issues like these—and my history will show that some are longstanding—the response often ends with some version of “Calendly can’t do that.” I would love more of a feedback loop between support and product development: “Calendly can’t currently do that, but we’ll document your use case and share it with our product team.” Even if the answer remains no, knowing that recurring real-world use cases are making their way upstream would make the support experience feel much more collaborative.
